1 Page 1 of 6 July 2008 Newsletter 16 Southwestern Ontario Digital Imaging Network Newsletter What's in this issue Success comes in cans; failure in can'ts South West Summary RSS Update Privacy Team Update Crossword Puzzle South West Summary It has been a very busy and productive spring for the project team and a great deal has been accomplished. In addition to a number of SWO project activities there has been a great deal of activity upgrading the existing infrastructure and preparing the data centre to house an increasing number of hardware components. This is the first implementation of the GE DI-r in Canada and as a result we are forging new ground. The DI-r will accept order information and images from multiple HIS/RIS and PACS systems throughout Southwest Ontario and combine the information in a single patient jacket. This requires multiple integration points with multiple vendors which can be challenging. Each of these integration points is referred to as a hub. We have 6 hubs in LHINs 1 & 2 that require integration. The team has worked collaboratively with GE to define a set of integration specifications that have been standardized and can be used to facilitate the specification activities in other hubs. We have also spent a great deal of time looking at ways to standardize procedure code descriptions to facilitate the grouping of orders within the longitudinal patient jacket. In the event that there are numerous exams for a patient this will help logically organize the data. Procedure codes will remain as defined within each of the hub HIS/RIS systems. Over the summer months we will be engaged in a great deal of testing activity integrating one Meditech and two different Cerner HIS/RIS systems to collect patient demographic and order information. We will also be testing the integration of a GE Centricity and Kodak Carestream PACS system into the DI-r and ensuring that the images are related and associated to the correct orders. Another critical component of the testing is the application interface between the local PACS application and the DI-r clinical information application that serves up the longitudinal record to the clinicians. We have already tested the integration of the GE PACS application desktop and will be testing Carestream this month.
2 Page 2 of 6 An early integration milestone has been reached with the GBIN hub On July 3rd. Four images were transmitted from the Carestream PACS test system in Owen Sound and successfully received and archived by the GE test system in London. This initial test achieved its goal of validating some of the requirements for integration of the two systems. This was made possible by excellent cooperation among both vendors and members of the hub and core teams. The team is energized seeing the vision become reality and we are excited to be on track to be the first project in Ontario to go live with integration of multiple vendor applications into a regional DI-r. The reason this is possible is because we have a great team of dedicated people on the PMO, Grey Bruce and TVHPP/Huron Perth hub teams and I can t thank them enough. Well done teams!! Babette MacRae, Project Manager, SWODIN project RSS Update - "Batten down the hatches..." Not literally of course, but an appropriate phrase when you look at the efforts being expended to prepare for the SWO 2.2 project. A key focus as of late has been preparing the data centres located in London where the GE OneView servers will be located. Scott Charlton has been leading this initiative and leaving no stone unturned. So what makes a Data Centre State of the Art? Proven technologies, robust architecture, best practice network and systems integration strategies, and strong vendor partnerships just to name a few. Of course, the less glamorous aspects like cooling and power requirements are equally important. Cooling a large open space can be a challenge in itself, but cooling a large space that is packed with
3 Page 3 of 6 hundreds of servers that have seemingly been designed to give off heat is a different story altogether. And ensuring constant power to all these servers on a 100% uptime basis whether there is power coming from the grid or not is certainly not without its challenges either. Scott has been diligently working to ensure if and when the power goes out, there will be more then enough power available through the UPS (Uninterruptible Power Supplies) located on site to ensure we don t experience so much as a blip. And in the case of an extended power outage, a diesel generator connected directly to the data centre can run almost indefinitely. Great work Scott! While a robust architecture will be critical to the success of this project, there is more work that is required to ensure a smooth running system however. Regional policies, adoption and adherence to industry standards, and close collaborative working relationships between all the hospital partnerships will be absolutely crucial. On the flip side - flexibility, scalability, and site specific configuration options will also be required to ensure the unique requirements of each individual hospital can be met. To that end, Lynn Bender, the RSS OneView Administrator, will be exploring different workflow and Use Case Scenarios to look for opportunities where standardization could be of benefit. How and where we can utilize industry standards and guidelines like SNOMED and IHE as guiding principles will go a long way in helping us understand where we should look to regionalize policies and procedures. While it s still too soon to begin to address some of these questions, we are certainly looking forward to working with each hospital as they come on board and tackling these issues together. David Veeneman, DI Manager, Regional Shared Service Privacy Team Update Before giving the update, I wanted to take the time to acknowledge the addition of some new team members: 1. Wendy Komar has been seconded to the SWO DI Privacy team and will serve as the team s Privacy Specialist. 2. Anzen consulting has joined the project to undertake the PIA. The team consists of Ron DeJesus, Kevin Rodkin and Don Macpherson. Wendy and Anzen have already made great contributions and we look forward to working with them going forward Welcome! SWO DI Privacy Update: In line with the historical norms of this newsletter, it is only fitting to include a quote that reflects the current state of affairs for the SWO DI 2.2 Privacy Team: Coming together is a beginning. Keeping together is progress. Working together is success. Henry Ford On June 18th, the Privacy team accomplished the first component of Henry Ford s quote. Several Privacy Delegates representing the various HUBS in the SWO region along with Anzen Consultants, came together to kick-off the beginning of the work required to ensure participants are able to comply with the Privacy Addendum of the Memorandum of Understanding and to complete the Privacy Impact Assessment (PIA) that is required by Canada Health Infoway (CHI). All meeting attendees were very engaged and eager to tackle the PIA in an effective and timely manner. Collaboration became the word of the day as everyone agreed that the PIA should not re-invent the wheel, but rather leverage preexisting best-practices, while identifying key GAPS needed to prepare the HUBS to go live. The June 18th meeting also showed promise of this team Keeping together and working together as delegates requested a follow-up meeting to learn more about the technical architecture of the DIr and to further collaborate on common privacy-related policies and practices. Furthermore, the Privacy team and delegates are committed to providing Anzen with the appropriate information required to complete the PIA. An encouraging sign is the positive feedback given by Anzen commending the preparedness of the privacy team in terms of collecting relevant information and drafting a Privacy Addendum to the Memorandum of Understanding. Given the strong consensus on working together and the positive feedback, the PIA process will certainly be a success. In terms of timelines, we are aiming to have the PIA completed by early September in preparation for the Grey Bruce Hub golive this upcoming fall.
