3 MAIN MODULES Legal Agreements This module has been designed to ensure that local planning authorities handle the obligations and financial implications of section 106 and section 278 agreements. From initial enquiry through to completed project, the Legal Agreements module will track and manage every part of the process, ensuring that all work is completed and finances received and forwarded as stated. Cost (includes 2 days training) Annual Maintenance 2000 Affirm II Now in its second incarnation, the Affirm module has been designed to manage the transition, processes and intricacies of the Section 38 Road Adoption, part adoption and APC procedures with ease of use and efficiency in mind. It provides a logical system that automates processes and enables effective analytical reporting whilst ensuring that milestones are met. Cost 3000 (including 1 user licence) Annual Maintenance 3000

4 MAIN MODULES (CONT) Development Control (including Appeals and Enforcements) At the heart of the MasterGov XP suite, the development control module (MasterPlan) has been designed to deal with the full life cycle of a planning application from initial receipt to determination of the application. Supporting all application types and the latest in planning legislation, this module covers every aspect of a planning application. Cost Annual Maintenance 2400 Building Control (Unitary and District) The building control module (MasterBuild) is the perfect companion for the development control module. The module handles the full life cycle of a building control submission through to production of the final certificate. The module handles the concepts of work items and individual inspections for them. Cost Annual Maintenance 2000

5 PLANNING ENHANCEMENTS econsults Phase 1 In this era of electronic delivery, people continue to demand electronic information. Your consultees are no different. This enhancement allows you to your once paper documents to consultees so that they can consult based upon an electronic representation of your data. This saves in postage and printing costs. econsults Phase 2 Web Service This add-on is a link between your own web site and the MasterGov XP back office suite. It allows data captured from your own forms to be automatically imported, the purpose being to take consultee representation and directly import it into the database. This saves time and therefore money and ensures the element of human error is removed. Cost 1500 Cost 1500 (Web form not included) Annual Maintenance 300 econsults Phase 2 Web Form Following on from the econsults web service, if you don t have a web form or don t have the resources to produce one, DEF Software can fill the gap between your online planning register and aforementioned web service. eneighbours Phase 1 The eneighbours option does for the members of the public what econsults does for your consultees. Instead of posting thousands of letters each year, why not them? You will not only save money but provide your customers with an excellent level of service. This is a major time saving addition to the MasterGov XP suite. Once again DEF Software can fill the gap left by a lack of IT resource. 1APP Integrated Connector With 1APP now standard in England and Wales all applications will be received in the standard application format. You will already be taking advantage of the Planning Portal application submission system so why not go fully integrated with this automated connector? 7 PLANNING ENHANCEMENTS (CONT) Internal Consultee Tab (also known as the Countryside tab) All local planning authorities have to consult both internal and external bodies. This enhancement allows internal departments to enter data directly into MasterGov XP in a controlled manner, allowing that department far more control and freeing up more of the planner s time. Cost 2500 Copy Neighbours from One Application to Another Sometimes when applications have a common geographical link it is useful to reuse the list of neighbours to consult. Of course this could be very time consuming to populate by hand. This copy facility can copy all responses in the list from the current application to any other simply by entering the destination application number. Cost 1500

8 PLANNING ENHANCEMENTS (CONT) Search Facility on Responses Tab With a lot of planning applications the list of public consultees can stretch to thousands. As such, finding individual records can prove to be tricky. The optional search facility allows the user to quickly search by name or address and be taken to the first matching record. All matching records will be highlighted. Cost 1000 Validation / Checklist Screen Most planning departments have some form of paper checklist, a place to quickly get access to the key pieces of data. Well why not have one as an electronic list? A tailored screen to show whatever data your authority considers key. Cost 1500

Once you determine the application you will be asked if you would like to create schemes. These schemes can then be monitored. This report and export file option allows the MVM system to be updated with current information. Cost 1500

10 BUILDING CONTROL ENHANCEMENTS Submit-A-Plan If you have Resolution s Submit-A-Plan and would like the benefits of being linked with your MasterBuild module then this is the add-on to have. This two way link allows incoming submissions into the back office whilst allowing MasterBuild users to open associated technical documents stored in DataSpace. Cost 3000 Annual Maintenance 600 Competent Persons Import All building control departments have to process competent persons data and there s a lot of it. This handy enhancement takes the XML data files provided by FENSA, NICEIC, CORGI etc and imports the data directly into the database. This of course saves a lot of time and eradicates human error. MVM Export Report For those customers that utilise MVM s land charges product, having updated planning data is paramount. 11 E-GOVERNMENT OPTIONS Online Register ASP Providing electronic information to the public and consultees has never been more important. A searchable online register that has been corporately branded can deliver all the relevant data and associated attachments. No need to print and send plans in the post again. Ongoing cost savings delivered whilst improving overall customer service. This module allows the authority to take their data and attachments out of the back office for use with other DEF Software products or own content management system. 13 CROSS MODULE ENHANCEMENTS New Tab Page As each of our MasterGov XP systems is tailored to the authority we do get subtle differences in functionality between sites. This often means that authorities may have extra tab pages. These additional pages can be purchased at any time. Images Module The Images module allows you to store links to the associated files within each application and module. These files can be quickly accessed by selecting the appropriate one from the onscreen display. Files can also be printed from here. Cost 1500 (average) Cost 2000 Annual Maintenance 500 Document Handling Handling the volume of the documents that come through any Planning department can be very time consuming. If you don t have an expensive document management system what is the alternative? Built around Onstream Trapeze, the document handling add-on for Images allows you to scan directly into MasterGov, index documents in one screen without having to open individual applications and convert scans into PDF documents. This option can also import groups of files which is especially useful if you have received a CD full of scans from a bureau service. Cost 6000 Annual Maintenance 1200

It includes the page separator logic to allow multiple documents to be scanned at the same time. 15 CROSS MODULE ENHANCEMENTS (CONT) Search Screen Manipulation Although MasterGov XP is tailored per site, sometimes individual users want to customise things. This handy addition allows the end user to change the layout of the search screen grids. Columns can be added, hidden and resized. The row height can also be set. At any time the user can reset the grid back to default. Cost 1000 Escrow DEF Software offer Escrow services through NCC Group. If you have a web based viewing tool such as PlanWeb, ArcIMS or other, why not leverage that investment with a link to MasterGov XP? This provides an effectively free viewer for case officers. 17 CROSS MODULE ENHANCEMENTS (CONT) Audit Log Report MasterGov XP logs changes to data via an internal audit log. If you would like to get easy access to this data then this report is perfect. Filter by application number, user id, tab page or date. This is the perfect way to appease the auditors. Cost 1500 Sybase Anywhere to MS SQL Server Conversion Although a great database product, Sybase ASA is not always well supported by ICT. If you would like to move to an industry recognised platform then why not upgrade to SQL Server 2000 / 2005? Cost 3600 (including 1 day on site)

18 CROSS MODULE ENHANCEMENTS (CONT) Crystal Reports Viewer Report generation is an important aspect of any computer system. Although MasterGov XP has a whole range of standard reports, sometimes a bespoke report is required. This plug-in allows normal users to run pre-written Crystal Reports from directly within MasterGov XP. What s more you can have MasterGov XP pre fill the key parameter when dealing with reports for a single application. Cost 3000 Ad-hoc Query Builder There are times when you need to access data but not in a formatted report. This is what the ad-hoc query builder does so well. Use the graphical interface to build up the data that is required and then execute the query. The raw data can then be saved as an Excel spreadsheet, XML or CSV file. Cost 1000

19 CROSS MODULE ENHANCEMENTS (CONT) Search Screen Criteria Save We all know that the search screens within MasterGov XP are an excellent way to produce basic database queries. The results can be seen on screen, diverted to MS Word or even saved as an MS Excel spreadsheet. The only thing missing was the ability to save and then reload the contents of the search criteria. Not anymore. With the new search screen criteria save option you can store the criteria used in a search as a file to be used at a later date. Common searches can be stored and reused again and again. Therefore making efficiency savings and promoting accuracy of searches. The new option is available to all tabbed module search screens and is simple to use. Variant One Off Letters MasterGov XP has long had the concept of a one off letter, a miscellaneous letter to the applicant or agent. Until now this was fixed to one letter category per module. Now you can have multiple one letters per module. Simply assign a letter type prior to creating the letter and it will use the master document of your choice. What s more, you can then merge these documents into other letters. Cost 1000 Cost 500 GIS Connector (Arc GIS, MapInfo, Cadcorp, SIA Datamap) If you have a GIS system then you want to leverage the most from your investment. A GIS link to MasterGov XP will allow you to digitise your application and return back a wealth of geospatial data such as constraint layers and coordinates. You can also return local neighbours for use with letter production. This will save the planners a huge amount of time. Cost 5500 Annual Maintenance 1100

20 CROSS MODULE ENHANCEMENTS (CONT) Auto Save Letters MasterGov XP provides a lot of control to the user when it comes to letter production. This enhancement takes that control even further. You can assign a letter as being marked for saving and when it s produced the resulting letter will be automatically saved. A link to the document will also be stored in the Images module. Cost 1000 Link to Web Based DIP If you have a document management system that has a web based interface, why not link it to MasterGov XP? Allow users to link to the associated documents by simply clicking on a hyperlink on the MasterGov XP edit screen. Cost 2500

You have scheduled some work in MasterGov XP but haven t had the time to put the same information into your calendar to schedule a reminder. The result is you miss a very important date! Alternatively, a certain task must be started once another is complete but without trawling through all the data on the system you have no way of knowing and as a result the work is delayed. DEF Software s Reminders & Alerts Agent for Master- Gov XP has been designed to specifically address these issues. With this Agent messages are sent via or by SMS to the applicant, agent or case officer. You don t even need to be in the application to receive your reminders. 22 MISCELLANEOUS (CONT) PDF Conversion Agent Today s challenge is sharing electronic documents amongst applications, employees, departments, suppliers and customers. By automatically creating PDFs from documents our software allows this to be done easily. The conversion agent monitors the Images module to convert documents to PDF based upon pre-configured rules. The agent can also monitor network folders for files and even read a dedicated mail box so that the user can the document requirements. The processed documents are then ed back automatically.
