4 Forward Everyday, from the moment you open your mail to the end of the day when you leave the Fedex in the lobby, you handle an envelope of some type. While there have been a few booklets published about envelopes, they are not often circulated to the people who need them. If you re a graphic designer, print buyer, business owner or simply need to check envelope specifications, you ll find this information helpful. Many of the envelopes listed here are stock items, but there is no limit to what can be created. It is possible to manufacture a custom size envelope, on any stock, printed in any combination of colors and in virtually any shape, providing a) the budget will allow b) it conforms to USPS postal standards, and c) minimum quantity requirements are met We hope the information presented in this booklet will help you more fully comprehend the hundreds of envelopes currently available. 6 Envelope anatomy So many of us are not totally familiar with envelope sizes, shapes and configurations even though we handle them frequently. The illustrations detail the major parts of an envelope, useful information especially when discussing envelope fabrication. Seal Adhesive Seal Flap Front or Face Shoulder(s) Throat Side Flaps / Side Seam Bottom Flap Bottom Flap Open End Envelope (OE) - center seam The opening and seal flap are located on the short dimension. Suitable for hand insertion. Larger open end envelopes are also called Catalogs. Open Side Envelope (OS) - side seam The opening and seal flap are located on the long dimension. 7 Choosing the right envelope It is the envelope, like a business card, that conveys a first impression of your company. Keep this in mind when planning a project. Your envelope will have considerable impact on the presentation of your total package. In fact, all manner of correspondence, particularly direct mail where the open rate is critical, depend on the appearance of the outer envelope its paper color, texture, printing, window position, size, and shape. Start planning at the end Interestingly enough, the designer should actually work backwards when planning a mailing since the envelope will dictate both the flat and folded size of the enclosure(s). Shape, paper color and paper stock will dictate a stock envelope or an envelope that may require converting. Consider the contents Thought should be given at the outset to both size and total weight with the contents to assure a correctly prepared envelope. The thickness of the envelope with its contents inserted will impact size choices as well as postage costs. Make a dummy, test it, and weigh it! This booklet contains many of the more common styles specified by print buyers, designers, and purchasing agents. 8 Printing and converting envelopes The nature of envelope manufacturing operations make it difficult to create envelopes that are perfectly square. Because of this, printing on ready-made envelopes requires a great deal of care. Gripper and bleed Printing a return address or corner-card in the upper left corner or on the back flap is standard. Some small bleed areas may be OK (such as a rule or bar), but in most instances, allowance must be made for gripper, about 3/8 clear area on the short side. If you re not sure, check with CJPW ahead of time. Envelope converting If the design includes heavy solids, such as a flap or side with full bleed or when a special text or coated paper or special size is desired, chances are the envelope will have to be printed on a flat sheet and converted. Minimums Envelope conversions normally require a minimum run of 5,000 pieces. However, as little as 500 envelopes can be converted, but at higher unit cost since final gluing and finishing is done manually. 9 Custom envelopes Custom stationery suites (letterhead, envelope, business card) are often designed with uniquely printed and configured envelopes. CJPW can manufacture many types of envelopes, including those requiring custom flaps or special window positions. In addition to converting, many custom envelopes require offset printing in combination with other processes like embossing, engraving, foil stamping and thermography, all of which are offered at CJPW. DETERMINING ENVELOPE SIZE FROM THE ENCLOSURE SIZE To determine the length of an envelope: Measure length of enclosure, add 1/2 plus thickness of enclosure To determine the width of an envelope: Measure width of enclosure, add 1/4 plus thickness of enclosure THE ENVELOPE BOOK 7
10 For your information Scheduling The envelopes shown in this booklet are considered by most standards to be stock products. More often than not, they are available within normal delivery times, plain or printed. However, due to standing orders, manufacturing conditions, paper availabilities and production schedules, some styles may be temporarily out of stock at the time of order. Please call ahead and check availabilities for your specific envelope. Paper stock Envelopes are made on many types of paper including white and color woves; krafts in white, brown, gray, manila; recycled papers, sulphites, translucents, text grades, opaques, bonds and writing grades. The most common envelope paper is 24 lb white wove, the industry standard. This paper is approximately equivalent in bulk to a 60 lb offset sheet. 28 lb white wove will bulk to about the thickness of a 70 lb offset sheet, and 32 lb approximates an 80 lb offset. Making envelopes on paper heavier than 80 lb requires special handling. Envelope dimensions Sizes listed are inches with the shortest dimension first. Designations depend in part on the location of the opening and the seal flap (see page 4). Basis weights Envelopes listed without a basis weight designation can be assumed to be 24 lb white wove stock. In some cases, the basis weight of a particular envelope will increase along with the overall envelope size. 11 Flap styles Pointed Elegant, traditional, more formal. A flap style found on baronial, greeting card and social stationery envelopes. Square* A-square envelope with the same dimension on all four sides and a square flap. Has a large area for design on flap. Contemporary. Wallet Standard on most booklet, catalog and specialty commercial envelopes. Most costeffective for automatic insertion and laser equipment processing. Commercial Standard on correspondence envelopes for business and commercial use. OK for automatic inserting, postal applications and lasering. Mailpoint Common on open end or catalog envelopes. This flap is being replaced by the wallet flap. *Does not conform to USPS aspect ratio and requires additional postage to mail first class. THE ENVELOPE BOOK 9
12 Seam styles Diagonal seams Well-suited for mechanical insertion and lasering. A common style for announcements and commercial envelopes. Side seams Ideal when printing on either front or back without seam interference. Common on booklets, commercials and square flap envelopes. Center seams Many open end and catalog envelopes are made with a center seam which adds strength for heavier inserts. Not for machine inserting or lasering operations. Single side seam Seam is parallel to edge of envelope. Open end style envelopes may employ this method. Gives full print freedom on both sides. 13 Sealing styles and closures Seal adhesive (gum) Activated by moistening Simple-Seal Self-adhering latex adhesive on two surfaces that seal on contact. Clasp Double-pronged metal clasp. Certain printing and automatic machine processing limitations due to clasp interference. Button and string Tie-down closure for repeated use. Certain printing limitations due to presence of bulky material. Latex seal Self-adhering latex adhesive on two surfaces that seal on contact. Not for automatic insertion. Flaps extended with adhesive exposed. Peel and Seal A release tape liner applied over a resin adhesive. THE ENVELOPE BOOK 11
14 Commercial envelope Commercial envelopes carry business and personal correspondence such as letterheads, invoices, statements, checks, writing stationery and some direct marketing mailings. The standard No. 10 normally accompanies an x 11 letterhead that has been folded in thirds. These envelopes open on the long side and have diagonal seams. They are ideally suited for machine insertion, lasering and postal applications. Most are available in 24 lb and 28 lb and some larger sizes in 32 lb weights. Many paper mills make the No. 10 to match their text papers. Basis weights for these products are normally 70 or 80 lb text. 15 Square flap envelope A contemporary flap style. This envelope is often part of a corporate stationery suite when a more elegant look is desired. Especially suited for engraving, thermography and offset, but not recommended for automatic insertion. Works well for lasering operations. Most paper mills offer the more expensive square flap style along with the standard commercial flap envelope. 16 Window envelope Window envelopes save on addressing Window envelopes eliminate the need to address the face of the envelope since the addressee on the inserted piece shows through the window. Custom-made window envelopes The window envelopes listed here are stock items. However, envelopes can be manufactured with the window in almost any size and position. 18 Booklet envelope The booklet envelope is a favorite for sales literature, annual reports and a variety of printed collateral materials. Enclosures are easily inserted by hand or machine, since the flap is on the long dimension. This feature distinguishes the open side (OS) booklet envelope from the open end envelope (OE). 19 Square envelope Although it does not conform to the Postal Service aspect ratio formula, it is often specified by designers because of its uniform, clean presentation. Be advised that mailings will incur a postage surcharge. Squares work well for announcements, booklets and special promotions. Not suitable for automatic insertion. 20 A-Style envelope NARROWFOLD CARD BROADFOLD CARD FRENCH FOLD SHEET Three styles of folded enclosures for use with A-Style envelopes. A single-panel card can be printed on a matching cover stock, making an elegant presentation. For announcements, small booklets and business announcements, the A series envelope is very popular. This style is available in many offset and text grades including vellums, natural and color translucents, patterns and acetates. A series envelopes come in several weights including 60 lb, 70 lb and 80 lb text. The square flap is approximtely 2 deep. 23 Two-way mailer (Kost Kut) The top panel of the Two-way mailer is perforated just above the glue flap of the envelope. The front of the large flap can be printed with a message, detached at the perforation, inserted in the envelope and sealed. 25 Clasp envelope The clasp envelope is based on the open end style envelope with the addition of a metal clasp. The clasp helps keep the contents secure. 34 USPS mail considerations If your envelope is being designed with special graphics and/or type treatments, dark color inks or solids, or with copy appearing in special positions on the face of the envelope, you ll want to check its mailabililty with the US Postal Service. Dark colored papers or unique materials and/or sizes can also be rejected for mail delivery by the USPS. Check before you print. Your envelope must be both machinable and readable by optical character readers (OCR s). Machinable means that the mailpiece itself is the correct size, shape and thickness; readable means that the address information is formatted and positioned correctly, the point size of the type is sufficient and in the right place on the face of the mail panel. If in doubt, consult a mailpiece design analyst at your nearest Postal Business Center or log-on to design. Aspect ratio (letter-size mail) Aspect ratio is the relationship of the mailpiece length to its width. To qualify for automated rates, mail must have a 1.5 aspect ratio. 35 USPS Business Reply Mail - Envelopes Business Reply Mail (BRM) allows a mailer to distribute preprinted First-Class Mail reply pieces to customers. The mailer, not the customer, pays the return postage. The Postal Service collects postage only on pieces that customers actually send back to the mailer. This allows mailers to save postage costs on large volumes of distributed reply pieces when a response is not assured. BRM is appropriate when your customer needs a little extra inducement to reply - in other words, the response or its timing is not certain. This type of reply mail is frequently used by direct marketers seeking to encourage orders, researchers needing survey responses, or magazine publishers soliciting subscriptions. With BRM mail, your customer does not pay the return postage, does not have to supply a postcard or envelope, and does not need to put an address on the mailpiece. BRM is subject to strict standards for format, markings, and addressing. The following page shows the accepted format. You will find digitally-prepared templates on the USPS web site that meet all Postal Service standards. 37 ISO (International Organization for Standardization) International standard ISO (International Organization for Standardization) 269 defines several standard envelope sizes (the C series), which are designed for use with ISO 216 standard paper sizes (the A series). The German standard DIN 678 defines a similar list of envelope formats. The A-series consists of a logical set of paper sizes. The largest size (A0) measures one square meter. The height/width ratio remains constant (1:1.41) for all sizes. This means you get the A1 size by folding an A0 paper in two along its shortest side. Then fold the A1 size in two to get an A2 size paper, and so on A-sizes are used to define the finished paper size in commercial printing: A4 is for office documents, A5 is for notepads and A6 is for postcards.
