1 Windows Clients and GoPrint Print Queues Overview The following tasks demonstrate how to configure shared network printers on Windows client machines in a Windows Active Directory Domain and Workgroup environment. Important: Prior to attempting to deploy printers across a mixed domain or workgroup environment composed of 64-bit and 32-bit end-user computers, the corresponding 32-bit and 64-bit driver MUST EACH first be installed on the print server. For example, if the print server is a 64-bit operating system but the end-user computer is 32-bit, the 32-bit driver must also be downloaded from the manufacturer s website and installed along with the 64-bit driver. Refer to the support document titled: Installing printers in a domain environment Windows offers a number of methods to map network print shares to client machines: by us of local group policy for all users, domain group policy, and login scripts. Environment: Windows 2008 Server and Windows 7 Professional clients. Assumed Completed Tasks: 1. Print queues have been installed and shared on the GoPrint print server(s). 2. GoPrint print server and client machines have been joined to the Active Directory domain. 3. 2 Mapping Print Shares for all users with Domain Group Policy Windows 2008 Domain Group Policy provides the ability to add GoPrint Shared print queues for all users (or computers) who log in to a domain client machine. 1. From the Windows 2008 Active Directory domain controller open Group Policy Management. 2. Scroll down and select Group Policy Objects Right click and select New Name the new GPO (ex: Student GoPrint Printers) Press OK 2011 GoPrint Systems, Inc. All rights reserved. 4 5. Select to add a GoPrint Shared Printer Select Browse to locate the GoPrint Printer server or enter the UNC path Once the printer is found, select Add Press OK 6. 6 Enabling a Default Printer with Group Policy Preferences 1. Open Group Policy Editor 2. Scroll down to: User Configuration Preferences Control Panel Printers 3. 7 Windows Print Management and Domain Group Policy Optionally, you can use Windows Print Managemet to deploy printers user Group Policy but to save time it s recommended you use Group Policy Management. 1. Install the Print Queues using the Add Printer Wizard Do NOT user Print Management to Add printer and print drivers. 2. From the Windows 2008 GoPrint Print Server open Print Management. 3. Expand the Print Servers drop down menu and click the local print server to expand its list of installed print queues. 4. 9 7. Select the Group Policy to apply Note: this is assumed a new domain group policy object was previously created using the Domain Group Policy management tool. 8. 11 Installing Print Queues in a Windows Workgroup Environment In a computer lab environment it s common practice for public institutions to configure their workstations in a peer to peer networking environment. Since domain account authority isn t used, typically a generic local user account is created and set to auto-login at each workstation or the account provided to end-users. Pre-installation Requirements Windows sharing uses the SMB/CIFS protocol, which requires that users are granted Print permissions to the print share. When connecting to a network print share, an authentication credentials prompt appears asking for a valid user account with rights to the share. This prompt can be avoided in a workgroup environment if the generic user account and password are first created on the GoPrint Print Server. The result allows for Windows pass-through authentication to occur therefore eliminating the authentication prompt and direct access to the shared printer. Step 1 - Create the Generic User Accounts on the GoPrint Server Determine the naming convention used on the client workstations and write down all login ID s and passwords. For example: if each client workstation is set to have a unique username and password login, such as user1, user2, and user3 then each one of these accounts much also be created on the GoPrint print server using the SAME PASSWORD. If only one generic account is in use across machines, then only one user account and password must be created. 12 Step 2 - Grant the User Account print permission to each queue Navigate to the list of printers installed on the GoPrint Print Server Right click a selected printer to view its properties sheet Select the Security tab Ensure the Everyone group has Print permissions Step 3 Adding the Printers to the Workstation Start Menu and select the RUN Command and enter the network path to the GoPrint Print Server Example: \\goprintprintserver A connection to the GoPrint print server is established and a listing of ALL Print shares displayed Double-click the print queue to install 2011 GoPrint Systems, Inc. 13 A warning box appears asking you to set up the printer locally before you can use it and that the print drivers will be installed. Select YES to add The Printer will then be added to your list of available printers Note: Optionally, the printers may be added using the steps outlined under Option 2 Mapping printers for all users using local group policy Note: Typically used for computer imaging environments Windows 7 Local Group policy provides the ability to add a network shared printer for all users that login to the local machine. To do so: 1. From the Windows 7 machine, open Local Group Policy 2. Scroll down and expand: Local Computer Policy\Computer Configuration\Windows Settings\Deployed Printers 2011 GoPrint Systems, Inc.
