1 Setting Up Scan to SMB on TaskALFA series MFP s. There are three steps necessary to set up a new Scan to SMB function button on the TaskALFA series color MFP. 1. A folder must be created on the PC and given the appropriate permissions. 2. An address book entry must be made which points to the folder created in Step A One Touch button must be created that points to the address book entry that was created in Step 2. This document will provide a summary of the necessary steps and will provide detailed instructions on settings up SMB scanning. Step 1: Creating a Scan Folder A folder must be created on the PC. This folder must be on a workstation or server that on the same domain and/or network as the MFP. There are exceptions to this if you have VPN tunnels or bridges but you would need to contact your IT department or network administrator for specifics on that application. The folder must be given the appropriate sharing permissions. Generally speaking allowing Everyone full exceptions is the most reliable way to ensure that the MFP will communicate with the shared folder. In a server platform, user accounts and group permissions could be set up to allow the MFP and those allowed to access the scans could be applied. Again this would need to be administered by your IT staff. If this folder is to be on a PC running Vista, Windows 7, Server 2008, and above there are additional steps to allow the SMB protocol to pass through the firewall. Enabling File & Printer Sharing should install or activate the NETBIOS protocol and will sometimes automatically add an exception in the firewall to allow communication on port 139 TCP. You may need to enable NETBIOS and manually add an exception to the firewall rules to open up port 139 TCP. If your network employs other hardware or software firewall appliances then the windows firewall will likely be disabled on the PC. In that case do not enable the windows firewall. The third party firewall would need to be configured to allow SMB traffic. NOTES: Scan to SMB performs more reliably if all network devices are configured with static IP addresses. If DHCP is used to maintain your device s IP addresses then exclusive use of hostnames will be necessary. This comes in to play in Step 2 but must be determined and allowed for in this step. If DCHP is handing out IP addresses to your network devices then the DNS servers will need to be configured in the MFP for it to resolve the hostnames. Step 2: Adding an Address Book Entry An address book entry must be made in the MFP s address book which points to the folder you created in step 1. There are two methods of accomplishing this task. One is directly through the control panel of the MFP, the other is to access the Command Center from a PC that is able to print to the MFP. The Command Center allows you to remotely administrate the settings of the MFP using your PC and is the preferred method. Use the links to get more details on each entry method and to decide which way is better for your situation. To access Command Center simply type in the IP address of the MFP into your web browser.

2 Adding Addresses via the Control Panel: Editing Destination (Address Book/Adding One Touch Keys) Save frequently used destinations to Address Book or One Touch Keys. The saved destinations can be changed. The destinations are available for Send as , Send to Folder, and Fax Transmission (optional). Adding a Destination Add a new destination to the Address Book. There are two registering methods, contacts and groups. When adding a group, enter the group name and select group members from the Address Book. NOTES: If user login administration is enabled, you can only edit destinations in the Address Book by logging in with administrator privileges. Adding a contact A maximum of 2,000 contact addresses can be registered. Each address can include the information such as destination name, address, FTP server folder path, computer folder path, and FAX No. (optional). Use the procedure below to register a new individual contact. 2 Press [Edit Destination], [Register/Edit] of Address Book, [Add], [Contact] and then [Next]. 3 To specify the address number, press [Change] in Address Number. 4 Press [+],[ ] or numeric keys to enter a particular Address Number (1-2500). To have the number assigned automatically, enter NOTES:Address Number is an ID for a destination. You can select any available number out of 2,500 numbers for contacts and 500 numbers for groups. If you specify an address number that is already in use, an error message appears when you press [Register] and the number cannot be registered. If you set 0000 as the address number, the address is registered under the lowest available number. 5 Press [OK]. The screen shown in step 3 reappears. 6 Press [Change] of Name. 7 Enter the destination name (up to 32 characters) to be displayed on the Address Book and press [OK]. The screen shown in step 3 reappears. NOTES: Refer to the Character Entry Method on page Appendix-7 for details on entering characters. 8 Press [ ] to add an address, [SMB] to add a folder on the computer, or [FTP] to add an FTP folder. The procedure differs depending on the transmission method selected. Address Press [Change] of Address, enter the address and press [OK].The table below explains the items to be entered. NOTES:Refer to the Character Entry Method on page Appendix-7 for details on entering characters. The Folder (FTP) Address Press [Change] of Host Name, Path, Login User Name and Login Password, enter the information for each item and press [OK]. The table below explains the items to be entered. * If you specify a port number other than the default (21), use the "Host name: port number" format.

3 To enter the IPv6 address, enclose the address in brackets [ ]. Press [Connection Test] to check the connection to the FTP server you chose. If the connection fails, check the entries you made. No. of Characters Host Name* FTP server host name or IP address 70 Path Path for the file to be stored (e.g., "\User\ScanData") If no path is entered, the file is stored in the home directory.128 Login User Name User name FTP server login 64 Login Password Password for FTP server login 64 Default Setting (System Menu) The Folder (SMB) Address Press [Change] of Host Name, Path, Login User Name and Login Password, enter the information for each item and press [OK]. NOTES: Refer to the Character Entry Method on page Appendix-7 for details on entering characters. Press [Connection Test] to check the connection to the computer you chose. If the connection fails, check the entries you made. 9 Check if the destination entry is correct and press [Register]. The destination is added to the Address Book. Adding a Group Compile two or more contacts into a group. Designations in the group can be added at the same time. When adding a group, a maximum of 500 groups can be added in the Address Book. NOTES: Before adding a group in the Address Book, the contacts to be included in the group must be added first. Up to 100 destinations for the , 500 destinations for the FAX, and the total of 10 destinations for the FTP and SMB can be registered per a group. Use the procedure below to register a group. 2 Press [Edit Destination], [Register/Edit] of Address Book, [Add], [Group] and then [Next]. 3 To specify the address number, press [Change] in Address Number. To enter the IPv6 address, enclose the address in brackets. To have the number assigned automatically, set "0000". NOTES: Address Number is an ID for a group. You can select any available number out of 2,000 numbers for contacts and 500 numbers for groups. If you specify an address number that is already in use, an error message appears when you press [Register] and the number cannot be registered. If you set "0000" as the address number, the address is registered under the lowest available number.

The Add Group screen reappears. 6 Press [Change] of Name. 7 Enter the group name displayed on the Address Book not more than 32 characters. 8 Press [Member]. 9 Press [Add]. 10 Select destinations (contacts) to add to the group. 11 Press [OK]. If you have more destinations to add, repeat Steps 9 to Check if the selected destination was added to the group and press [Register]. Now the group is added to the Address Book. Editing a Destination Edit/delete the destinations (Contacts) you added to the Address Book. Use the procedure below to edit a destination. 2 Press [Edit Destination] and then [Register/Edit] of Address Book. 3 Select a destination or group to edit. 4 Press [Detail]. The procedure differs depending on the details to be edited. Editing a Contact 1 Change Address Number, Name and destination type and address. 2 After you have completed the changes, press [Register]. 3 Press [Yes] in the change confirmation screen to register the changed destination. Editing a Group 1 Change Address Number and Name. 2 Press [Member]. 3 To delete any destination from the group, select the destination and press [Delete]. Press [Yes] on the screen to confirm the deletion. 4 After you have completed the changes, press [Register]. 5 Press [Yes] in the change confirmation screen to register the changed group. Deleting a Contact or Group Repeat Steps 1 to 3, press [Delete]. Press [Yes] on the screen to confirm the deletion. Deletion is performed. Step 3: Adding an Address Book Entry as a One Touch Button An address book entry may be added to the One Touch Buttons if you use them frequently so that they are easily accessible from the SEND panel. Use the information below to set a One Touch Button. NOTES:

5 *Often times it is easier to program a one touch button directly from the control panel. Some versions of Command Center make this function difficult to find. You can always use the browse, filter, and search functions to find address book entries if they are not bound to a one touch button. Adding a Destination on One Touch Key Add a new destination (contact or group). A maximum of 1000 destinations can be registered. Use the procedure below to register a new destination under a One Touch key. 2 Press [Edit Destination] and [Register/Edit] of One Touch Key. 3 Select a One Touch Key number (0001 to 1000) for the destination. Pressing Quick No. Search key or [No.]enables direct entry of a One Touch Key number. Select a One Touch Key with no registered destination. 4 Press [Register/Edit]. The address book appears. 5 Select a destination (contact or group) to add to the One Touch Key number. Pressing [Detail] shows the detailed information of the selected destination. 6 Press [OK]. The destination will be added to the One Touch Key. Editing One Touch Key Edit/delete the destinations you added to One Touch Key. Use the procedure below to edit the One Touch key. 2 Press [Edit Destination] and then [Register/Edit] of One Touch Key. 3 Select a One Touch Key number (0001 to 1000) for the destination. Pressing Quick No. Search key or [No.] enables direct entry of a One Touch Key number. The procedure differs depending on the details to be edited. Changing the Registered Information 1 Press [Register/Edit]. 2 Select a new destination (Contact or group). Pressing [Detail] shows the detailed information of the selected destination. 3 Press [OK]. 4 Press [Yes] on the screen to add the destination to the One Touch Key. Deleting the Registered Information 1 Press [Delete]. 2 Press [Yes] on the screen to confirm the deletion of the data registered in the One Touch Key. Adding Addresses via Command Center: Accessing COMMAND CENTER 1 Run the web browser. 2 In Address or Location, enter the machine IP address as the URL, e.g. Select a category from the navigation bar on the left to view and set values for that category.

6 Admin password Setting Administrator Password restricts general users' access to pages other than the Start page. For security purposes, setting the Administrator password is highly recommended. With some models, the default Administrator password is factory-set as admin00. For how to define the administrator password, refer to Basic > Security > Account Settings. The Login button is displayed at the upper left of the screen. To access a page other than the Start page, click Login. (This button may not be displayed on some models. When this button is not displayed, click a page other than the Start page.) The password input window is displayed. Entering the predefined administrator password allows the user to access all pages. NOTES: When local authentication is enabled, allowing only the predefined users to access page, the user name and password must be entered after clicking Login. For details on defining the users, refer to Basic > Security > User Login. Authentication Setting Authentication allows only the predefined users to access pages. In addition, you can discriminate users by giving either the General User or Administrator privilege to each user. Before using the authentication function, you have to define those users. For how to define users, refer to Basic > Security. When a user sets authentication and accesses COMMAND CENTER, only the Start page is displayed. The Login button is displayed in the upper left of the screen. Click it to log in. When the user logs in with an Administrator account, hidden pages are displayed and can be accessed. When the user logs in with a General User account, the user can access the user's account page on Basic > Security > User Login and the user s settings on the basic page and the user's document box and shared document box pages.the authentication function come in two types: Local Authentication and Network Authentication. For more information, refer to Advanced > Management > Authentication > General Access Encryption You can encrypt communication between a PC and this machine using SSL encryption. When this encryption is enabled, the access URL must be specified as "https://..." For details on the setting procedure, refer to Advanced > Security COMMAND NOTES: The absolute path of the folder on the physical host normally causes the most issues so please ensure that the path is correct. You will also need a username and password that has administrative or power user permissions on the host computer and permission to access the scan folder(s). MTR typically assigns a username and password specifically for the scanner and will use these credentials to authenticate the MFP on the network. In order to access and change settings in Command Center you must log in as a device administrator. See above link and click here for details on logging in an a device administrator.
