1 1 Introduction The Holy Grail of CRM has always been a single view of all customer related information. For many CRM users a common complaint of their system is that it does not provide the all important view of customer financial information, such as orders, invoices, shipments, etc. On the other hand most accounting/erp systems fall way short of providing the kind of CRM functionality required to log all customer interaction, manage campaigns and events with the customer an effectively manage the customer relationship. For users of the MYOB Accounting system, this challenge has been met by an integration between MX-Contact, an Outlook-based Contact management and CRM system and MYOB. 2 What is MYOB MYOB as a company is a global provider of solutions that liberate business owners and accountants from the burden of day to day administration, empowering them to achieve business success. MYOB develops and delivers award-winning software, services and support for more than 500,000 businesses and over 10,000 accounting practices worldwide. MYOB Limited is a public company listed on the Australian Stock Exchange (ASX symbol 'MYO'). MYOB produces a range of products designed to cater for the needs of small to medium sized businesses. The company also offers retail management and point of sale (POS) solutions. 3 What is MX-Contact MX-Contact is a CRM, Contact Management and Sales Force Automation package that runs inside Microsoft Outlook 2000, 2002, 2003 and The system utilises all the standard functionality of Outlook but provides many additional features that transform Outlook into a powerful CRM system. MX-Contact has 7 different versions available catering for a single user through to an enterprise with thousands of users, with data storage in an Outlook Data File, Exchange Server Public Folders, or Microsoft SQL Server. MX-Contact leverages your investment in existing Microsoft technology by avoiding expenditure on additional infrastructure and costly training programmes. 4 Integration with MYOB The combination of MX-Contact and MYOB brings powerful customer relationship management (CRM) tools to the small to medium sized company, all available directly from within the user s Outlook mailbox: ExchangeWise (Pty) Ltd Page 1

2 Integration with MYOB enables the MX-Contact user to accomplish the following with just a few clicks: Import product and service items from MYOB into MX-Contact so that you have an up-todate price and inventory list while working with Companies (Customers). Import customer records from MYOB into MX-Contact as Company Items. Export Companies from MX-Contact to MYOB as Customer records. Link an existing MX-Contact record to an already-created MYOB customer record so that a user can view and update financial information in MX-Contact. View the financial history and financial summary of Company records in MX-Contact that are linked to your accounting system's customer records. The financial history includes the date, type, and amount of the transaction. The financial summary includes your customers' outstanding balance and month-to-date and TYD sales. 3 Edit individual transaction records as you view the financial history. The edited transaction record is then updated directly in MYOB. Create a quote, a sales order, or an invoice from a Company record in MX-Contact. Create a quote, a sales order, or an invoice from an Opportunity record in MX-Contact. Receipt payments from customers into MYOB via MX-Contact. 4.1 Importing Product/Service Items When you connect MX-Contact to MYOB, Product and Service Items from MYOB can be added to your MX-Contact Products table. This way, you can keep your inventory and prices up to date in one system so that everyone in your company is using the same information: ExchangeWise (Pty) Ltd Page 3

4 These Product and Service Items can for example be linked to Opportunities in MX- Contact. 4.2 Financial History Full details of all sales can be viewed directly from the customer record in Outlook/MX- Contact: ExchangeWise (Pty) Ltd Page 4

5 4.3 Financial Summary The financial summary includes your customer's balance and a summary of month-todate and year-to-date sales. Note that the financial information remains in MYOB, not in MX-Contact: 4.4 Creating Quotes from Opportunities An opportunity created in MX-Contact may be converted to a Quote, Sales Order, or Invoice. 4.5 Creating Quotes, Orders and Invoices Quotes Orders and Invoices can be created directly from the customer (company) record in Outlook: ExchangeWise (Pty) Ltd Page 5

6 4.6 Receipting Payments When payment is received from the customer this can be entered directly from the MX- Contact company form in Outlook: ExchangeWise (Pty) Ltd Page 6

7 5 Benefits of MX-Contact MX-Contact brings the following benefits to MYOB users: Standardises the customer-facing team on a common tool. Provides contact management functionality in an environment that all users are already familiar with, namely Microsoft Outlook, ensuring rapid deployment and acceptance of the new system. Keeps all employees on one universal Calendaring system (namely Outlook) as opposed to certain users having to adopt a different scheduling tool that would ordinarily form part of a non-outlook based CRM system. Delivers personal, team, corporate and accounting information directly to a user s desktop, inside Outlook. Increases productivity per sales representative. Provides single view of all related customer information to everyone in the organisation. This both encourages team-based selling, and increases customer satisfaction by allowing information flow between all departments. Provides ability to implement sales methodologies/processes by business unit or product type. Tracks forecasted business and the costs of securing that business. Provides direct integration into MYOB, allowing users to add new quotes, orders and invoices directly from Outlook, and view customer transaction history. 8 can be performed in one tool, namely Outlook, as opposed to 2 or 3 different programs, each with their own user interface and therefore training requirements. Allows management to make fact-based decisions based on statistical data automatically captured by the system, and reported on. Provides facilities for managing and tracking events and campaigns for both customers and prospects. MX-Contact allows for direct mailing via letter or directly from within Outlook, using Word or HTML templates where required.
