1 How to use the College Integrated Planning System (CIPS) for Midterm Program Review: Guide to Section 1 College Planning and Research
2 Getting Started Acronyms can be confusing! Here are two that will be used throughout this manual: CIPS = College Integrated Planning System; refers to the website you are navigating that provides a means for structuring/organizing Program Overview and Forecast. PrOF = Program Overview and Forecast
3 Getting Started CIPS is located at: You can also find it in the menu items on the Faculty and Staff webpage. After navigating to the website, log-in with your employee ID and password.
4 Finding your Program Overview and Forecast on CIPS 1. Click on the Program Overview and Forecast tab. 2. Scroll through the alphabetical list of programs until you see yours. Click on the View/Edit PrOF link. This will take you to the Getting Started section of your PrOF
5 The Getting Started on PrOF Section This is the PrOF Menu where you will navigate through various sections of your PrOF
6 The Getting Started on PrOF Section Before starting your midterm PrOF take some time to review the links in the Getting Started section. Clicking on the sub-links in this section will give you: - The background/purpose of PrOF - A review of the College s strategic goals and initiatives - A suggested game plan/time-line on how to proceed with your PrOF.
7 PrOF Completion Status 1. After reviewing the Getting Started section, click on the PrOF Completion Status link. 2. Click on the Edit this field button in the status column of the table, and change your PrOF status to In progress.
8 The PrOF Menu: Required sections for the Midterm PrOF For your Midterm PrOF you are only required to complete work in the links with asterisks (*) next to them. This involves: 1. Reviewing and making sure your program assessments and assessment plan information are up to date. 2. Looking at the status of the planning items in your last PrOF and whether or not they are still necessary/relevant. 3. Adding new planning items if necessary and winnowing planning items down to action items. 4. Reviewing modifying curriculum changes/resource requirements if necessary.
9 The PrOF Menu: Section 1 Program Outcomes and Components 1. Let s start working on your midterm PrOF. Throughout this process, you will start with the top links in the PrOF Menu and navigate from top to bottom. Work that you complete in the top links is essential to the work that you complete in the bottom links. 2. This manual will focus on Section 1 of PrOF. Section 1 sets a foundation for the PrOF process by helping you review and update outcomes, set course/activity assessment dates, review and/or submit assessments, and review curriculum. 3. For the Midterm PrOF you are only required to work in parts 1C through 1F. Start by clicking on the link for part 1C: 1C. Program Outcomes Assessment Plan
10 Programs Outcome and Assessment Plan (Section 1C) Note: Outcome refers to either Program Student Learning Outcomes (P-SLO) for instructional programs or Program Service Area Outcomes (P-SAO) from non-instructional programs. When you click on the 1C. Program Outcomes Assessment Plan you will see this table which organizes information for Program Outcome Assessment.
11 Programs Outcome and Assessment Plan (Section 1C) 1. First, review your program outcome assessment dates and any planned changes that were proposed as a result of your assessment. 2. If you would like to upload a new assessment, click the Create a new Program Assessment Report link. 3. After you submit the assessment, the Most Recent Assessment Date and Planned Changes columns will be updated with information from your assessment.
12 Program Outcomes and Assessment Plan (Section 1C) 1. Next, review your planned date for the next assessment. Make sure that (a) it isn t expired and (b) is within six years of the most recent assessment date. 2. Review the status of any planned changes resulting from your assessment and any comments on the impact of these changes. 3. If you need to change any of this information (e.g. your planned assessment date needs to be updated), click on the Edit button for the row you would like to change.
13 Clicking the Edit link will take you to this edit page. Here you will find information on the program outcome you for which you are providing information. Update information on the status of planned changes resulting from your assessment by checking the appropriate box. Update your next planned assessment date. Provide comments on the impact of any proposed changes resulting from your assessment. Click Save and your changes will be updated to the Programs Assessment table. You will be brought back to the Program Outcomes Assessment Plan page.
14 Course/Activity Assessment Dates (Section 1D) 1. Next, click on section 1D, and a table that organizes activity or course assessment dates will be displayed. 2. Review your most recent assessment dates for each Activity/Course 3. Review your next planned assessment date for each activity. Make sure the planned assessment date is within six years of the most recent assessment date.
15 Course/Activity Assessment Dates (Section 1D) 1. If necessary, click on the button entitled Edit this field to change your planned assessment date.
16 Course/Activity Assessment Reports Review (Section 1E) 1. Click on the link entitled Course/Activity Assessment Reports Review. 2. Review the course and/or activity assessments that had programmatic implications. 3. If you want to submit a new course assessment, click on the Add New Course Assessment Link
17 Course/Activity Assessment Reports Review (Section 1E) 1. Next, Click on the Answer: Descriptive Info (Required) Tab 2. Then click on the Add/Edit Answer link
18 Clicking on the Add/Edit Answer link will take you to this edit page. 1. Summarize/Discuss how the program will address the programmatic implications revealed by the Course/Activity assessments you just reviewed. 2. Click Save and your work will be saved to the Answer: Descriptive Info tab of Section 1E. You will be brought back to the Course/Activity Assessment Reports Review page.
19 Curriculum Review (Section 1F) 1. Next, click on the Curriculum Review link. Only instructional programs will have to complete work in this section. 2. Review your Revise-by-date for each course and corresponding Anticipated full review date. 3. If your revise-by-date is within two years, click on the Edit this field button and set an anticipated full review date that is prior to (or by) the revise-by-date.
20 Curriculum Review (Section 1F) 1. If you anticipate that a class will be deleted from the catalog, and therefore does not need an anticipated full review date, click on the Answer Descriptive Info (Optional) tab of the Curriculum Review page. 2. Then click on the Add/Edit answer link. This will take you to an edit page where you can make a note that a class will be deleted. This edit page is identical to the one encountered on the Course/Activity Assessment Review page.
21 You have now completed Section 1 of your Midterm PrOF The manual for the next section (Section 2) will be released in October, 2015.
