1 SITTINGBOURNE COMMUNITY COLLEGE IT SUPPORT MANAGER Job Description Swale Academies Trust Job Description for Sittingbourne Community College IT Support Manager
2 Sittingbourne Community College IT Support Manager Overview The Sittingbourne Community College IT Support Manager will provide an effective and supportive service to the Sittingbourne Community College and Sittingbourne Skills Centre. They will be expected at all times to promote the ethos of the College as caring and welcoming. This will be reflected in their dealings with all individuals. The Sittingbourne Community College IT Support Manager will be expected to complete tasks conscientiously, lead the Sittingbourne Community College IT Support team, to be part of a team effort and on their own initiative, all to the highest possible standard. The Sittingbourne Community College IT Support Manager will ensure that support is provided for all IT equipment provided by Sittingbourne Community College and that all users can complete their duties, delegating responsibility as necessary to other members of the Sittingbourne Community College IT Support Team. Duties may vary from day to day according to the IT needs of the schools or central office as detailed further below. Specific Responsibilities Include: Resource Administration IT Support Team Management Pupil and Staff Considerations Core Systems Maintenance Security E-safety Website Information Relaying Stock Accommodation Administration System Communication Network Management Current and Future Technology 1
3 Resource Administration The Sittingbourne Community College IT Support Manager will be responsible for the maintenance of all Sittingbourne Community College and Sittingbourne Skills Centre IT equipment including: Ensuring all support, maintenance, service and licencing contracts are correctly maintained as required Proactive resource equipment intelligence gathering Providing hardware replacement reports to the Trust IT Manager Stock management Virtual server resource management Storage and backup resource management IT Support Team Management Line Manage the Sittingbourne Community College IT Support Team: Perform yearly performance reviews Manage workload and tasks Allocate work and key responsibilities as required Approve holidays ensuring appropriate coverage for the school Educate staff on technologies, best practices and procedures Handle minor disciplinary matters and liaise with the Swale Academies Trust IT Manager Manage the helpdesk and associated accounts Provide an information database or wiki on faults and solutions Pupils and Staff Considerations Liaise with staff and pupils to maintain a proactive IT Support Service. Solve staff and pupil/student issues with the curricular network: Ensuring pupils have access to the relevant desktops, menus and appropriate software as required by the curriculum, school demands or Trust Framework Ensuring that every member of staff has a valid User ID and password. Educating the staff on basic security and data protection on arrival Altering, changing or locking pupil/staff passwords as necessary Creating, deleting and modifying usernames and passwords throughout the school year Ensuring computers are in a working order for pupils and staff use, and diagnose and repair when necessary Maintain confidentiality and professional approach inside and outside the workplace Monitoring the IT equipment user by pupils and staff, in particular searching for: 1. Copyrighted files 2. Internet and search history 3. Virus contamination 4. Ensuring licencing agreements adhered to 5. Ensuring staff files are for curriculum/work use as required 2
4 Core Systems Maintenance Maintenance of the school IT hardware Scheduling downtime to best suit the schools and administration teams Repair hardware where possible Call third party technical support departments as required to rectify faults Calling suppliers and returning equipment as needed Maintaining a fault database and logging equipment taken off site Resolving printer problems Installation of new IT equipment and associated peripherals Setting up and checking equipment Arranging PAT testing and checking room condition after PAT testing Ensuring IT equipment and associated cabling are tidy Ensuring IT equipment is fit for purpose Pro-active checking of core Systems hardware Security Ensure all IT equipment is securely locked down but fit for purpose Ensuring regular backups are taken of production servers Network and stations remain virus free and should an infection be found take the necessary actions to remove the infection, quickly and with minimal disruption to the networks Maintaining software patches and antivirus updates Follow the ICT Security Policy Enter and exit items into the asset database according to policy Managing guest access and resources E-Safety Contribute to the e-safety policy ensuring it is kept up to date Monitor the schools networks and alert required staff of e-safety issues Produce evidence to support the enforcement of the e-safety policy Ensure the Internet filtering system is fit for curricular needs Manage the Internet filter Produce filtering reports for staff Website Information Relaying Update basic content of the websites if required Provide content for the websites if required Suggest content for the websites Work with the Web Development Manager in improving the schools websites Stock Accommodation Ordering stock as required 3
5 Accepting the delivery of equipment Checking items on delivery Storage of old equipment Arrange WEE waste disposal Maintaining asset registers Administration System Provide support for the users of the school and Trust administration system and ensure the smooth running of the network Maintain regular backups of production servers Manage the SIMS systems and provide upgrades and patches when required Entering and removing items from an asset database Maintaining asset registers and producing asset reports Keeping up to date purchase documentation Ensuring the integrity of backups Communication Produce suitable documentation of IT services for staff and pupils Ensuring staff are notified in advanced of planned downtime In the event of downtime, communicate the expected ETA to staff so that plans can be made Attend meeting as required by the Trust Principal, Sittingbourne Community College Headteacher, Trust Business Manager or Trust IT Manager Reports for the IT Trust Manager on hardware resources Communication with the IT Trust Manager as requested Network Management Design, plan and implement school network development Ensure the integrity of the school network Manage and maintain the schools server hardware, storage hardware, network hardware, network cabling and virtualisation system and associated virtual machines. This will include regular physical and virtual checks Ensuring minimal downtime Current and Future Technology Review schools curricular and administration requirement New equipment planning, purchasing and integration Staying up to date with IT technical development and improving school services 4
6 Management The Sittingbourne Community College IT Support Manager must follow the Health and Safety guidelines. Instructions for staff or pupils must be made with taking Health and Safety in mind. The Sittingbourne Community College IT Support Manager is accountable to the Trust IT Manager. The Sittingbourne Community College IT Support Manager is the line manager for the Sittingbourne Community College IT technicians. Additional Notes To carry out other duties as required by the Trust IT Manager, Headteacher or Trust Principal. To go on training courses when required.
