CASE STUDY Gold Key Resorts: Custom Modules For Sliced-and-Diced Data Ray Hall, Director of Marketing Analysis Before switching to SPI, Gold Key Resorts used another commercially available timeshare software for their IT infrastructure. As the company grew and added more resorts, they realized this system would no longer meet their needs on several fronts, especially data and reporting. The older system was never created to manage multiple property sales and marketing operations, and Gold Key needed more intelligence and analytics. Ray Hall headed up the team that would eventually decide to switch to SPI Orange. The team did a lot of product comparison, shopping the few software systems specifically created for the vacation ownership industry. Ultimately, they decided that none of the software options came close to offering the sophisticated analytics they needed, except SPI. Service was one of the key deciding factors for the Gold Key team. Since switching to SPI almost 10 years ago, Hall says the customer service on their account has remained consistently great SPI delivers the same level of attention to detail today as they did during the sales and transition processes. The team at SPI has been just great to work with, says Hall. The transition was a delicate process, as you d expect, but they were unbelievably accommodating and everything went very smoothly. Before transitioning to SPI, Gold Key had already accumulated a sizable amount of data, which was housed in multiple places on their network. Merging everything into one system was the big goal of the move to SPI. Of course, that meant taking flat data and mapping it to multiple modules for their future analysis needs. We went from a one-to-one relationship between data elements, to a one to many, explains Hall. It was definitely a challenge, but SPI did it. SPI helped Gold Key custom design the modules, giving the resort developer the ability to easily query the exact data they needed. When the Gold Key team went in and started using the SPI system, they were surprised by how easy it was to access all the drilldown data. SPI really understood what we were trying to accomplish and helped us build a system that slices and dices the data exactly the way we want, notes Hall. And to this day, we get the attention we got on day one. Hall says the Gold Key IT team took some time to get used to the new system, especially the people who came to the company from outside the vacation industry. Through ongoing training and support provided by SPI, the team navigates the software with ease and commends it for its customization, analytics, data integrity and accessibility. They also love the support from SPI during any system-wide upgrades, which are implemented carefully to ensure the integrity of the customized modules. Overall, Hall says SPI brought Gold Key a level of intelligence and service that no other timeshare software system could. He says, If I had to do it all over again, I would choose SPI every time.

7 Turn to the premier vacation ownership software system. CASE STUDY Grand Pacific Resorts: Five Separate Systems Into One Sabrina Locke-Maston, Director of Information Systems Data was the central issue for Grand Pacific Resorts, says Sabrina Locke-Maston, Director of Information Systems. They needed a consistent interface for all departments, and until 2007 were using five separate software systems that didn t talk to each other. Two of them were developed in-house. None of them connected with any of the others. In order to trace a lead or the owner lifecycle we had to connect through many systems. This was laborious, says Locke-Maston. We had to try to match the data and analyze it all manually. Prior to SPI, Grand Pacific used another timeshare software system, and when they decided they needed a better solution, their in-house team developed applications in several departments. Then they considered upgrading. Ultimately, the internal team decided against upgrading with the other timeshare software system because upgrades were not standard across the system making customization far more costly. They didn t shop too many other options because they wanted a system created specifically for the timeshare industry. They decided SPI was the superior alternative to their current system from both functionality and technology perspectives. They expected the transition to SPI to be difficult because of all the separate systems and disparate departmental data that would have to be cleaned and corrected. We expected it to not be easy, states Locke-Maston. We were changing our entire software system, but you can t stop business. It s like changing a tire going 100 miles per hour on the freeway. Locke-Maston says they experienced the typical challenges of implementing new software, but the SPI team worked hand-in-hand with the Grand Pacific IT team to solve each issue. The whole SPI team really came through for us, she notes. What surprised them was how SPI opened their system to the IT team and helped them customize everything they needed. The resort developer requested some features and advancements that weren t available in the SPI system at the time and offered to develop them independently. After the SPI team analyzed how these changes would affect the overall system, they agreed to open the system and the two companies worked together to update Grand Pacific s system to spec. In the end, SPI ended up rolling out those changes system-wide as part of the software update that followed. In fact, all updates released across the system automatically branch into all client-customized modules new releases are standard across the board as soon as the release rolls out. The benefits of the technology don t stop there, says Locke-Maston. Generally speaking, the system is not heavy on the client side and has many of the features we need to run our operations, and the SQL database is a stable platform, she explains. These are all major pluses. Whenever we need something fixed or tweaked, it s done reasonably fast, she adds. In terms of how SPI has benefited Grand Pacific s business, efficiency and technology stand out. Locke-Maston says they have gained significant efficiencies in IT. They also have a level of reporting that provides reliable business metrics that help them find optimization opportunities elsewhere in the company, like inventory control and forecasting. They have even used data from the SPI system to create new, more successful marketing programs. We wanted a system that did 80 percent of the work for us, she says. What we got was a system that handles 80 percent of the heavy lifting and allows us to customize the other 20 percent that is unique to us.
