5 Before you start Introduction This user guide describes Amadeus Profiles Plus, one of the key modules of Amadeus Selling Platform. It explains how to use Amadeus Profiles Plus from an end-user point of view. Audience This user guide is intended for agents who use Amadeus Profiles Plus to create and manage their profiles. Prerequisites To benefit most from this guide, you should have a comprehensive knowledge of the distribution system. 7 Chapter 1 What Is Amadeus Profiles Plus? Amadeus Profiles Plus allows you to search for, display, create and modify your profiles. A profile is a record containing useful information about an individual traveller or a company which can help you when you make reservations. You access Amadeus Profiles Plus by clicking on the Profile module. Amadeus Profile Plus home page 2012 Amadeus s.a.s. - All rights reserved 3
8 Amadeus Selling Platform Profiles Plus User Guide Important concepts to understand What are profiles? A profile is a record containing useful information about an individual traveller, company or agency that can help you when you make a reservation. Each time you make a booking, you can load information from a profile, eliminating the need to manually enter the information each time. A traveller profile is created for an individual traveller. This type of profile includes the traveller's contact details, payment information, meal or seat preferences and any special service requests. A company profile is used to store information about a company to which the agency provides travel services. Each company profile can have multiple traveller profiles associated to it. A group profile is used to store information about a group of travellers (a sports team or a family). Each group profile can have multiple traveller associated to it. You can set up an agency profile that contains information related to your own office. You can use an agency profile to store information such as special phone numbers, remarks and preferred providers. Note: Only one agency profile can exist for each office ID. Associated profiles You can associate one type of profile to another profile to create a link between them. A frequent flyer profile, for example, can be linked with another frequent flyer profile, such as the spouse's profile. Also, one or more frequent flyer profiles can be associated with a corporate profile. For travel agency profiles, a traveller profile can be associated to one or more company or group profiles. Company and group profiles cannot be associated together. Note: You cannot create an association with a profile that has been deactivated. See How to Set Up Travel Policy Data in Profiles Profile History For each profile, the system creates a profile history record. Any action you carry out that adds information to or changes existing information in a profile is recorded in the profile history (for example, each time you create, modify or delete a profile). The profile history record contains the following data: Modified data: the old and new values Date and time of the update Office ID and agent sign of the person who made the modification or the external system ID that is responsible for the action. You can display a profile's history record by clicking on. Note: A maximum of 100 items (modified or deleted data) can be stored in the history record. When the maximum number is reached, as each new item is recorded in the history, the oldest item will be erased. The erased items are purged from the system and cannot be restored. 4 Edition 3.3

Deactivating and Reactivating Profiles You can deactivate a profile if it is no longer needed. Deactivated profiles cannot be modified, nor used to transfer information to or from a PNR. When a profile is deactivated, it remains inactive for a maximum of 30 days before it is permanently deleted. During this 30-day period, you can retrieve it and reactivate the profile if required. If you do not reactivate a profile, it is deleted automatically after 30 days. If you deactivate a profile that has other profiles associated to it, the associated profiles are also deactivated, unless they are also associated to another profile. For these profiles, the association to the deactivated profile is deleted and noted in the profile history Amadeus s.a.s. - All rights reserved 5

In the search results area of the main page, click on the tab that corresponds to the type of profile that you are looking for. 2. In the tab, click on a profile to select it and display information about the profile's details or associated trips in the Details and Trips preview area. Details and Trips preview 3. Double-click a profile to display the selected profile in a new page. In the Search area of the main page, select Deactivated from the drop-down menu of the Profile Status field. 2. Enter any other search criteria in the available fields and click on Search. The results of the search will only include the deactivated profiles that match your search criteria. See Deactivating and Reactivating Profiles на стр. 5 for more information. Creating and Editing Profiles You create a new profile from the main page of the Profile module. You can also copy the elements of an existing profile to create a new profile. Note: It is also possible to create a profile using the elements of a PNR. See 10 Edition 3.3

Click on Create Profile. Select the type of profile you want to create. A blank new profile page will open in editable mode. 2. In the new profile page, enter the required data elements in the profile. Any mandatory fields are highlighted in yellow. Each tab in the profile page is used to store a specific category of information. Example: Use the Payment Data tab to enter form of payment details (for example, credit cards). 16 Amadeus Selling Platform Profiles Plus User Guide To add more than one entry for an element (for example, telephone numbers), click on another row or section so you can enter more options. to add To define an entry as the best one to use (for example, the office telephone number), select the Preferred option button next to the relevant row or section. When the profile overview is displayed, is displayed next to any preferred elements. Note: Depending on your settings, you can define air, hotel or carl preferences in a dedicated tab. See 12 Edition 3.3

How to Define Preferences in a Traveller Profile на стр. 19 for more information and How to Set Up Travel Policy Data in Profiles на стр Click on Save Profile to save the profile. How to Copy an Existing Profile 1. Retrieve the profile that you want to copy and display it on the screen. The profile opens in edit mode. 2. Click on Save Profile in the toolbar to display the list of saving options and select Save As. The source profile page is closed and a new profile page for the duplicate profile is displayed in editable mode. The duplicate profile inherits all data from the source profile, except for the following: - Name - IDs or reference numbers - RM ACECLN remarks 3. Enter any additional data as required in the appropriate fields. Any mandatory fields are highlighted in yellow. 4. Click on Save Profile to save the profile. How to Edit a Profile 1. Retrieve the profile you want to edit and display it on the screen. The profile opens in edit mode Amadeus s.a.s. - All rights reserved 13
18 Amadeus Selling Platform Profiles Plus User Guide 2. Add, modify or delete the data as required in the appropriate fields. Any mandatory fields are highlighted in yellow. You can update all data elements except for the following: - Customer Identifier: This number is generated automatically by the system when the profile is created. It is the profile's unique identifier. - Owner of the profile: This is generated automatically by the system when the profile is created. - Profile history: This is updated automatically when the profile is saved. - Trip list of the profile. - Any fields that have not been set up as editable. 3. Create or retrieve the traveller profile you want and display it on the screen. The profile opens in edit mode. 2. Click on next to the Company Name field (Personal data tab, section General info) The Link to Profile pop-up window appears. 3. Enter the company name or profile record locator and click on Search Amadeus s.a.s. - All rights reserved 15
20 Amadeus Selling Platform Profiles Plus User Guide The results of the search appear in the lower part of the pop-up window. 4. Select the company profile you want from the search results and click on Link to complete the association. Traveller profile is updated with the selected information. 5. Click on Save Profile to save the traveller profile. The name of the associated company profile will be displayed in the traveller profile page. You can click on the company link from the traveller profile overview to open the company profile. The current traveller profile closes and the newly associated company profile opens in read-only mode. See Associated profiles на стр. 4 for more information. How to Associate Profiles to a Group 1. Open a new or existing group profile. 2. Select the Members Data tab e.g: Creation of a Group profile 3. Click the binoculars icon. The Link to Profile pop-up window appears. 4. Enter the traveller name or profile record locator and click Search. 16 Edition 3.3

Select the traveller profile you want from the search results and click OK to complete the association. e.g: Traveller Profile added to the Group profile 6. 22 Amadeus Selling Platform Profiles Plus User Guide How to Cancel a Profile Association 1. Retrieve the profile and display it on the screen. The profile opens in edit mode. 2. In the Personal data tab, section General info, click on next to the appropriate field to remove the association between profiles. 3. A pop-up is asking you confirmation, click on Yes 4. How to Use Profile Follow-up Actions You can define follow-up actions in a profile to remind you of tasks that need to be carried out before a specific date. Example: Check credit card details or enter the passport expiry date To retrieve a list of actions that have been defined, click on main page. Follow Up in the toolbar of the A list of follow-up actions is displayed in a new Follow Up page and sorted by date. To view the details of one of the follow-up actions in the list, double-click on the profile name to open the profile page. To return to the list on the Follow Up page, click on the Follow Up page tab at the bottom of the screen. To define or update a follow-up action in a profile, enter the details of the action in the Follow-up section of the Remarks tab Amadeus s.a.s. - All rights reserved 19
24 Amadeus Selling Platform Profiles Plus User Guide How to Define Preferences in a Traveller Profile 1. Create or retrieve the traveller profile you want and display it on the screen. 2. Go to the tab that corresponds to the data you want to enter. Depending on your settings, you can define Air Preferences, Hotel Preferences or Car Preferences Data. 3. Enter the traveller's preferences in the available fields. Example: In the Hotel Preferences tab, enter the customer's preferred hotel chain and facilities. 4. Click on Save Profile to save the travel preferences. Note: Preferences entered in Air, Hotel and Car Preferences tabs are different than TPM (Travel Preference Manager) preferences available in cryptic (PPA, PPK, PPC, PSC, PPH ) Preferences entered in the Profile + module cannot be visible in cryptic display and vice versa. Nevertheless, there are used by booking tools: Hotel +, Car + For example, if you enter Hotel preferences as Preferred Hotel Chains, there are stored into the profile but not visible in cryptic display: e.g: 3 Preferred Hotel Chains defined in Profile + e.g: No Travel Policies Hotel displayed in Cryptic On the same process, if a profile contains TPM preferences (for Air, Hotel, Car), there are not displayed at the moment on Profile + application. e.g:: TPM preferences already present on profile (Car companies preferences PPC/CO) 20 Edition 3.3

These preferences are not dipslayed on Profile + How to Set Up Travel Policy Data in Profiles Note: Currently, travel policies are not supported in Profiles Plus. However, in future versions, you will be able to use the data you set up in a profile to apply company travel policies when you make a booking.. Set Trip and Traveller Categories You set up policy data in a company profile to enable you to apply a category to a traveller and consequently, to apply the appropriate travel policy when you make a booking. 1. Create or retrieve the profile you want and display it on the screen. 2. Go to the Travel Data tab. 3. In the Travel Policies section, add the traveller categories and trip purposes as required. For each entry you make, enter a code and description in the available fields. - Trip Purpose - Reason for the trip. Example: TRA Training (equivalent to PTP in cryptic) - Traveller Categories - Type of person who is travelling. Example: DIR Director (equivalent to PTV in cryptic) Note: Note: You can define up to 20 traveller categories and 20 trip purposes in each company profile. The trip purpose BIZ Business is always present by default. You cannot modify or delete this category. 4. Click on Save Profile to save the data. If you delete a traveller category from the company profile, the category will also be deleted from the associated traveller profile Amadeus s.a.s. - All rights reserved 21
26 Amadeus Selling Platform Profiles Plus User Guide Note: In the Traveller Profile You can only assign a traveller category to a traveller profile when the profile is associated to a company, as described in How to Associate Profiles to a Company на стр Create or retrieve the profile you want and display it on the screen. 2. Go to the Personal Data tab. 3. In the Traveller Category field, select the category that applies to the traveller. You can only assign one category to a profile. The categories that are available for selection are those defined in the associated company profile. 4. Click on Save Profile to save the data. How to Merge a Profile Display In an open profile, click on the Merged Display button in the Overview tab. The merged display contains aggregated data from the traveller, the linked company and the owning agency profile. Transferrable data is highlighted by indicators and the source of each profile data is identifiable. e.g: Overview of a Merged display e.g: Legend in Merged display 22 Edition 3.3

How to enter a credit card Open a profile and go to payment data tab, section Form of payment To add a Credit Card, enter cryptic format without FP at the beginning, for instance: CCCA /1212 Save the profile, the credit card is added and digits are hidden for security reason How to store a passport, visa, ID documents There are two possibility to store documents information into Profile (same as cryptic mode). Solution 1: Store in Documents - Travel data tab, section Documents Note: Documents section is only to store information and cannot be transferred to PNR. If you want to transfer document information to PNR, use solution 2. This section is equivalent to the cryptic entries: PAS, PIV, PCE, PID Select the type of document: Visa, Passport, Driving license and IDcard. Enter the information: Number, Country of issue, Date of Issue and Expiration. Fields Location and Needed for country are optional and not displayed in cryptic mode. Solution 2: Use Special Needs - Air Preferences tab, section Special needs This section will allow you to create SR DOCS segment that can be transferred to PNR. You need to entre cryptic format to create the SR in the Profile. Example of a passport for a Traveller profile: Select the type Traveller Information Select the correct description, for example APIS passport 2012 Amadeus s.a.s. - All rights reserved 23
28 Amadeus Selling Platform Profiles Plus User Guide Enter the cryptic format into the Free text field. E.g: P-FRA FRA-05MAY83-M-01FEB20-ROUX-NICOLAS Specify an Airline code or YY for all airlines (Reserved Airline Code YY) Save the profile This segment can be trasnfert to PNR. 24 Edition 3.3

Deactivating, Reactivating or Deleting Profiles Depending on your settings and the type of profile, you can deactivate, reactivate or delete a profile when the profile overview is displayed. See Deactivating and Reactivating Profiles на стр. 5 for more information. How to Deactivate a Profile 1. Retrieve the profile you want to deactivate. See How to Find a Deactivated Profile на стр. 10 for more information. 2. Display the profile overview and click on Deactivate. 30 Amadeus Selling Platform Profiles Plus User Guide Working with PNRs You can transfer the data stored in your profiles to a PNR. From the PNR module, you can create a profile from the information entered in a PNR and also create a new PNR using information transferred from a profile. How to Transfer Profile Data to a PNR 1. In the Profile module, display the profile you want to use as the source profile and click on Transfer. Then a pop-up is asking you if you want to transfer all data (equivaleent to PT*) or if you want to select the data to trasnfer to PNR. If you choose Selective transfer, a new window is displayed with a merged overview containing traveller, company and agency information. Traveller, Company and Agency data are distinguished by specific icons 26 Edition 3.3

Mandatory data (like Last name and First Name) are automotically selected and can not be unselect. e.g: Mandatory data Selectable data and be chosen manually e.g: Selection of the address between Traveller, Company and Agency information Once the manual selection is done, click on transfer button to the top bar of the window. How to Create a Profile from a PNR 1. Go to the PNR module and display the PNR. 2. In the PNR entry screen, select the traveller by clicking on the traveller name. 3. Click on all of the elements in the PNR that you would like to transfer to the profile in order to select them. Note: To automatically select all of the common transfer elements, click on, then select Show Auto- Transferable Lines. 4. Click on, then select Create Profile Amadeus s.a.s. - All rights reserved 27
32 Amadeus Selling Platform Profiles Plus User Guide A new profile page opens in editable mode. 5. In the profile page, enter additional data as required in the appropriate fields. Any mandatory fields are highlighted in yellow. 6. Save the profile by clicking on Save Profile. How to Create a PNR from a Profile 1. Go to the PNR module and click on the From Profile tab. 2. Select either the Traveller tab or the Company tab, depending on which type of profile you want to use to create the PNR. 3. Enter your search criteria and click on Send. If more than one profile is found that matches your search criteria, a list is displayed. Select the profile you want to open and click on Send to create the new PNR using the profile data. If only one profile matches your search criteria, a new PNR will be created directly and the PNR entry screen will be displayed. 28 Edition 3.3

34 Amadeus Selling Platform Profiles Plus User Guide How to access a PNR from a traveller profile There are two possibility access to existing traveller trips. 1. Retrieve a traveller profile 2. Select the traveller in the list (in case of multiple results) On the preview panel, there is a Trip section where you can see all the bookings associated to this traveller. 3. In case of a traveller profile opened, go to section Trips data 4. Click on RLOC link to open corresponding trip in PNR module: 30 Edition 3.3
