2 Your Data Under Siege. Protection in the Age of BYODs 1.0 As the workplace becomes more mobile, the demands facing IT managers multiply. Allowing employees to access the company s network and documents from their personal mobile devices makes your entire IT infrastructure vulnerable to malware and other threats. Smartphones, tablets, laptops and the latest and greatest convertible ultrabooks are crave-worthy gadgets that your employees are already buying and turning into the focal point of their digital lives. Two facts of the 21st century now make these devices an issue for business IT departments: Three out of every four employees want to use their personal mobile devices for work. The operating systems and form factors of consumer technology are rapidly changing The lines between on the clock and off the clock have been irrevocably blurred Just as your employees don t have a rigid work life and home life, they don t want a company-issued device on top of the one they already own (which is the one they really want to use in the first place). Nobody wants to be that person with two smartphones stuffed in his or her pocket. According to data from Forrester Research, three out of every four employees want to use their personal mobile devices for work. 1 IT managers also have the challenging task of convincing upper management that Bring Your Own Device (BYOD) makes sense from the employer s perspective. According to a recent survey published by Intel, 82 percent of U.S. companies will allow some or all workers to use employee-owned devices in Gartner Research goes further, predicting that, by 2018, 70% of mobile users will conduct all their work on personal smart devices. 3 In other words, BYOD isn t just coming, it s already here. Just as IT departments had to grapple with the new security challenges of social networks in the early 2000s, BYOD is a reality that needs to be addressed now and saying no is not the best solution. It s no longer a question of if this will be an issue that you contend with; it s just a matter of how you manage it. By officially allowing employees to use their own devices for work, IT departments have visibility and the ability to properly secure the devices that will carry company data. 1. 3 The Department of No Becomes the Department of No Problem percent of those surveyed cite employee satisfaction as a prime benefit of BYOD. The IT department used to turn down virtually every employee request for a new technology or service using the security concerns catch-all. Sometimes, that would be the end of the issue. Other times, employees decided to work around these imposed limitations to do what they wanted, and in the process, created an even bigger security hazard. But times have changed. Consumer devices now have the firmware and native support to satisfy network requirements. At most companies, senior management is now open to the idea of employees using their own devices to get work done. From the cube to the C-suite, tablets have become status symbols in the workplace. Productivity and employee satisfaction are also benefits of BYOD. In fact, according to Intel research, 74 percent of IT leaders believe BYOD can help our employees be more productive and 58 percent of those surveyed cite employee satisfaction as a prime benefit of BYOD. 4 Productivity? Check. Morale? Check. BYOD also makes sense from a security perspective. Providing employees with a simple and secure BYOD process rather than driving them to work around your safeguards will prevent serious problems. This also allows the IT department to be recast as an enabler, and not a roadblock. Instead of forcing employees into non-secure behaviors, the IT department gets to give employees what they want. 4. Insights on the Current State of BYOD, Intel IT Report, October
4 The State of BYOD Security 3.0 So by now, employee-owned devices in the workplace might seem like a great idea. As with all technology trends, however, there are very real security concerns that need to be addressed before any BYOD program can be successful. Security problems associated with BYOD include: Malware infecting the network when the employee brings an infected device to work A lost or stolen device disappearing, along with stored company data 51 percent of the organizations surveyed experienced data loss resulting from employee use of insecure mobile devices. Employees unknowingly installing rogue applications or unlicensed software, which can violate compliance laws or enterprise licensing agreements and compromise your network Using unsecured wireless connections to send and receive company data According to The Ponemon Institute, 51 percent of the organizations surveyed experienced data loss resulting from employee use of insecure mobile devices. 5 To add some more detail, the same Ponemon Institute study reports: 58 percent of organizations surveyed have experienced an increase in malware infections as a result of personally-owned mobile devices used in the workplace. Fifty-six percent say that more confidential data has been lost as a result of these devices percent of smartphones are chosen by the employee without any regard to how IT will support it. To confound matters further, employees aren t necessarily mindful of your IT department requirements when they re shopping for their devices. In fact, 48 percent of smartphones are chosen by the employee without any regard to how IT will support it. 7 Generally speaking, when employees are making mobile device purchasing decisions, they are not thinking about an IT department s challenge of managing numerous fragmented operating systems within the company network. Apart from general network configuration issues, this fact could pose a real challenge to companies using security software designed with BYOD in mind. If not properly managed, employee-owned devices can be a security liability and create a needless layer of management complexity in the already over-worked IT department. 5. 5 A Simple Security Solution 4.0 If managed effectively, the benefits of BYOD outweigh the pitfalls. There are ways to secure employee-owned devices and simplify the day-to-day operations of the IT department in the process.
