CASE Summary STUDY: and Challenge ConvenientMD Summary & Challenge SUMMARY ConvenientMD was looking for the best urgent care software and services to support its mission for providing quality, immediate healthcare services. DocuTAP has given them a clinical-friendly EMR and PM and an industry-focused billing team with a personal touch. BACKGROUND ConvenientMD is a one-state, investor-owned urgent care clinic serving patients in the New England state of New Hampshire. Focusing on urgent care services, ConvenientMD opened its first clinic in 2012 and has added a second location in 2013. Their patient base is: 20% pediatric (ages 6 months-18 years old) 60% for ages 18-65, and 20% geriatric patients (ages 65 and up). The urgent care serves Medicare and Medicaid patients, along with both insured and non-insured patients. CHALLENGE ConvenientMD s investors originally wanted to acquire an existing urgent care chain, so they interviewed close to 100 urgent care operators when researching options. After examining the New England market s high cost of emergency care and low availability for primary care physicians, they decided to start their own urgent care. ConvenientMD needed help selecting an EMR and a billing company. They leaned on the knowledge of their Medical Director and the advice of urgent care operators they had spoken with and selected DocuTAP as their EMR and PM provider. Being new to urgent care, they also picked DocuTAP as their billing company to ensure claims were completed by urgent care-knowledgeable staff who already understood DocuTAP s software system. CASE DocuTAP STUDY: Solution ConvenientMD DocuTAP Solution SOLUTION As a start-up enterprise, ConvenientMD wanted an urgent care-specific EMR and PM. We didn t want a hospital-based EMR that forced urgent care workflows into their system model, said Gareth Dickens, President of ConvenientMD. The people we spoke to in the urgent care industry recommend DocuTAP. We received positive feedback from those we knew well, Dickens continued. ConvenientMD decided to take advantage of DocuTAP s Revenue Cycle Services (RCS) as well. We talked to other billing companies, and they only seemed to care about making their percentage back on easy claims, Dickens shares. DocuTAP [RCS] wasn t a giant billing company. They were very personal and urgent care specific. DocuTAP [RCS] wasn t a giant billing company. They were very personal and urgent care specific. PAGE: 4
CASE Results STUDY: ConvenientMD Results With DocuTAP RCS, ConvenientMD can focus on delivering quality patient care at their clinics with the assurance their claims are being coded and processed by billers who are experts with DocuTAP and in urgent care. PERSONAL SERVICE & TRANSPARENT REPORTING DocuTAP RCS has given ConvenientMD personal, one-on-one service that s rare in the billing world. We knew RCS was a newer service for DocuTAP, Dickens continues, but we liked that since we knew we d have more attentive service and support. Dickens says that s exactly what has happened. With a dedicated DocuTAP account executive, ConvenientMD has the assurance of one point of contact handling questions and relaying statuses of claims. Weekly phone calls keep management abreast of report numbers they want to know and daily emails with the RCS team ensure all needs are addressed in a timely manner. Dickens says he receives same day responses to emails from DocuTAP RCS. URGENT CARE EXPERT SUPPORT We feared [with other billing companies] that more difficult claims wouldn t be important enough for re-submission or be followed up on, Dickens revealed. Every dollar counts with urgent care and DocuTAP gave us the sense that they had our backs. Coupled with the expert knowledge of the DocuTAP system, DocuTAP RCS gives ConvenientMD a streamlined approach to supporting accepted claims and overall revenue flow. Dickens touts the customer-focus of DocuTAP; he even visited DocuTAP s offices and shadowed billers so he could see exactly what they did. Other billing companies don t even compare according to him. DocuTAP goes above and beyond. It s been awesome working with their staff, and our account executive is great. DocuTAP is custom made to what we do. PAGE: 5
CASE STUDY: ConvenientMD Results continued STAFFING EFFICIENCIES & COST SAVINGS ConvenientMD began their urgent care with DocuTAP s billing services, so they haven t had to hire on-site billing staff. However if they did have in-house staff, Dickens estimates they would need at least one biller per clinic location. Considering ConvenientMD s growth plans, that could be as many as seven to eight billers in the next five years. DocuTAP could potentially save ConvenientMD between $334,572 and $382,368 in staffing costs over the next half a decade, with the average cost for a Certified Professional Coder (CPC) in 2012 was $47,796 according to the American Academy of Professional Coders (AAPC). Based in South Dakota, DocuTAP s RCS team makes and receives patient calls for ConvenientMD along with mailing statements and posting patient payments. It s great that DocuTAP handles billing needs for us so we don t have to, and we can focus on patient care, observes Dickens. EASE OF SCALABILITY ConvenientMD has aggressive goals for expansion due to higher than projected patient volumes at their first clinic. Rather than having six clinic locations by 2018, they have re-adjusted their goals to open 15 clinics in the same time-frame. DocuTAP allows for easy growth with a web-based EMR and PM that uses one database of digital information across various clinic locations. This means data is consistent, easy to access, and quickly scalable. Dickens agrees opening new clinic locations will be simple. All you have to do is copy over the templates we like to the other locations. It [DocuTAP] is a turnkey platform. He expects that setting up additional sites within DocuTAP will take merely hours. Additionally, DocuTAP RCS makes growing easy with a scalable billing team that can handle increasing patient volumes. PAGE: 6

Clinicians say how easy the EMR is compared to other formats and that allows us to give quality care to patients. patients a wonderful experience so they come back or leave and tell their friends how well they were treated, notes Dickens.
