CASE STUDY PALMER NEWMAN RICARDO Palmer Newman Ricardo found transitioning to Sage HandiSoft quick and easy. With a team of 12, Palmer Newman Ricardo is an established CPA firm based in Melbourne. The firm specialises in accounting, tax planning, payroll, business acquisitions and planning, as well as ASIC compliance for businesses in the travel and accommodation industry. Challenges faced Palmer Newman Ricardo was becoming increasingly frustrated with juggling work across six different databases, resulting in timeconsuming data entry duplication and occasional errors. They also had no clear visibility of how staff time was being allocated and ways to improve productivity levels. Frustrated by the lack of reliability with their existing software, poor technical support and having to manage multiple databases, the partners began evaluating alternatives. Following a detailed comparison of features, costs and technical support, they replaced their AO software with HandiSoft. The integrated solution The first phase of the transition was data conversion which Palmer and his team were nervous about, with significant data at risk. HandiSoft transferred our data across very quickly and with almost everything captured which was a fantastic effort. We were able to consolidate six databases into two, which has significantly reduced data entry time. Next came training which was practical and precise. The consultant was clearly very experienced and not only spent time in the office but was also available on the phone in the early weeks. Since switching to HandiSoft we ve had very little need for technical support as everything is comprehensively explained on-screen, in the F1 help and online manuals. Combined single-view interface We really like the client centric interface for viewing compliance and client data, Time+Billing and general ledger - I ve wanted that for years and it works. We also love the fact that when a client phones, it takes only a few mouse clicks to view any aspect of the work we do for them, such as payment and invoicing status or their tax or company returns. Extended reports capabilities The sophisticated reporting has made it easy for Palmer and his team to gain access to vital information and analyse what is happening in the business. Reports show WIP, productivity, invoicing and collections all in one system. The information in the reports is then used to improve practice efficiencies and cashflows. The practice management system generates detailed productivity and write-off reports, allowing the partners to write-off time to specific employees, not just general codes. It has also allowed management to identify staff performing well and reward them. The end results Palmer feels that at any time of the year, the practice is now way ahead of where it was in previous years. They have greater controls in place than they ve ever had, improving workflows and staff productivity levels which ultimately has positively impacted client profitability. We now have much greater visibility over our most valuable clients and how much time we spend on phone calls and nonbillable administration. HandiSoft has also helped us improve debt collection as we can monitor our cashflow situation and send reminders to clients to ensure payments are received. The end result has been a very happy team.
