2 Availability This document announces the General Availability (GA) of IP Office Release 3.0 to authorized Avaya Distributors. BusinessPartners may place orders for all R3.0 hardware components (excluding IPO 406v2) and software with Distributors on or after December 15th, 2004. BusinessPartners may place orders for IPO 406v2 with Distributors on or after December 29th, 2004. 2.1 Media IP Office Release 3.0 is a significant release that affects multiple components of software for the IP Office solution including: Enhancements to the core platform software (binaries) Introduction of new IP406V2 Hardware Introduction of new 54XX and 56XX telephone sets Introduction of new Embedded Voice Mail capabilities Enhanced support for the existing 24XX and 46XX series of Avaya telephone sets VoiceMail Pro 3.0 Major enhancements to the Installation and Administration Wizards Compact Contact Center 5.0 Conferencing Center 3.0 Phone Manager 3.0 SoftConsole 3.0 Improved IP Office System Manager application Avaya will supply CD media to Avaya Authorized Distributors. Avaya will not supply CD s directly to BusinessPartners or Avaya Client Executives. BusinessPartners and Avaya Client Executives are required to order CD media from their respective Avaya Authorized Distributors. The IP Office 3.0 User, Administration and Documentation triple CD pack will NOT be included with new R3.0 system control units shipped from the factory. Copies of the Release 3.0 IPO CD - IPO 3.0 USER/ADMIN CD SET will need to be ordered separately. The IP Office 2.1 (700329725) and 2.0 (700304074) triple CD packs will continue to be available and can be ordered by their existing material codes. The R1.4 triple pack CD will no longer be available. Note: It is acceptable to duplicate this media (CD), but copies must contain an Avaya Proprietary Notice on the CD whether made by the Distributor, BusinessPartners, or by Avaya Client Executives. 2.2 Web Availability On December 15th, the IP Office Release 3.0 binaries for the core platform, and CD images of IP Office Release 3.0 applications will be available on the Avaya Support website. 1. Click IP Office 3.0 - the software will be located here under a number of headings. 2.3 Software Upgrade Process The process for upgrading IP Office platforms from Release 1.x or 2.x to Release 3.0 software may be different from previous upgrade procedures. A complete technical reference for 3.0 is located in the Release 3.0 Technical Bulletin where all software upgrades are addressed. To find the latest IP Office technical bulletin: 1. 3 Software Pricing Strategy New versions and releases of IP Office software are subject to two charges: 1. A nominal charge for the delivery of media and the associated handling costs. 2. A license fee for the activation of specific new features introduced with this version of IP Office software. Avaya s current policy is to post IP Office core software versions (binaries) on the Avaya Support website for download free of charge. 3.1 IP Office Software Applications and License Key Process Generally Available (GA) IP Office Software Applications are orderable by Avaya BusinessPartners from their Avaya Authorized Distributor. Avaya BusinessPartners must contact their respective distributors directly in order to purchase all IP Office Software Applications. Each distributor implements a customized IP Office software purchasing and distribution process for its network of Avaya BusinessPartners. These specific distributor internal processes are not covered by this document. The Avaya Solution Designer (ASD) Configurator will be available for GA material codes on December 6 th, 2004. As of December 6 th the configurator will be updated for the IP Office licensed applications and hardware in line with this release. All the configurator rules will be updated to reflect any new restrictions that may have been introduced with this release of the IP Office. Page 7 of 43

5 Detailed Release Information IP Office Release 3.0 is a significant software release and builds on the capabilities of IP Office 2.1. This release is applicable to all IP Office platforms including the Avaya IP Office Small Office Edition, IP403, IP406 (both the new IP406 V2 and the existing IP406), and IP412 and may be used to upgrade existing hardware platforms in the field. The Technical Bulletin is posted under the Technical Articles section of Release 3.0. The latest version of the Product Description, which defines the feature functionality of this release is found on the Avaya BusinessPartner portal, and will require a valid username and password to view it on line. Note: Always refer to the Avaya websites for the latest versions for product documentation. 5.1 Key System Enhancements Key System operation is a fundamental part of business life in the small system market throughout the world. It simulates the operation of old fashioned analogue key systems that used simple switches to provide access to lines and intercom circuits. Key system operation relies on having buttons (keys) that have indicators, LEDs or Icons, which give the status of the call that the button has been programmed to be associated with. Pressing the button has various actions depending on the state of the call. With Release 3.0 IP Office will support full Key System functionality: Call Appearance (CA) the Users presence on the system, the number of call buttons dictates the number of calls on the system the user can have directed at them. When all of a Users CA buttons are in use (not Idle) the user is considered to be busy and no further calls can be routed to them. Used for Internal, External and feature (VM) calls. Page 9 of 43

Bridged Appearance (BA) this is a copy of one of another users CA, it can also be used to make or receive calls on behalf of the owner of the CA. Line Appearance (LA) this is a representation of a line on the system; the indicator tracks the activity on the line. Only external calls can be answered or made on LA. All types of physical trunks, Analog, channels on E1 and T1 can be assigned to LA. T1 and E1 channels that have DID/DDI on them can be assigned to LA though this is inadvisable and will be documented as such. Call Coverage (CC) this is only used for incoming calls and allows a user to answer calls for another user. 5.2 NEW IP 406 v2 Hardware version With R3.0 Avaya is introducing a replacement for the existing IP 406. The new IP 406 v2 platform provides: Increased extension capacity - base unit now includes 8 x digital station ports and 2 x analog ports (up to 190 stations). Increased trunk capacity - Slot A internal expansion module now supports Dual PRI module (i.e. up to 72 channels on T1 or up to 90 channels on E1) Increased VoIP channels - support for 1 x VCM30 module (in addition to VCM5/10/20 already supported) Embedded messaging - new Compact Flash slot to support optional Embedded Messaging Card (4-port,15-hour Voicemail/Auto-attendant) Increased data throughput 40 data channels (max of 20 usable for voicemail). A grounded (also referred to as earthed ) Power Cord (IEC 60320 C13) with the relevant regional main power plug must be purchased separately. This card supports basic voicemail and Auto Attendant applications. Alternatively, voicemail can be enabled as an external server-based application using VoiceMail Lite software supplied with every system. Customers requiring Auto-Attendant or more advanced messaging options, can upgrade to VoiceMail Pro and associated feature licenses. The embedded VoiceMail and Auto-Attendant applications are based on those originally implemented on Small Office Edition, with the following enhancements: Default message length - increased to 2 minutes, configurable to a maximum of 3 minutes Auto-attendant time-out - in the absence of DTMF input (e.g. Rotary POTS phone user), the caller will time-out to a pre-defined position Remote voicemail access - no longer requires complex configuration. 15 hour storage time 4 ports for four simultaneous messaging users No VCM needed Material Code Description 700343460 IPO MC EMBD MSGING EXP KIT 5.4 Enhancements to Small Office Embedded Voice Mail With IP Office R3.0 the Small Office Edition embedded voice mail will still be provided through the existing PCMCIA card, however the voicemail options on the card have been updated to provide the same features that are available on the IP406 V2 embedded voice mail card: Page 11 of 43

Auto attendant timeout with this feature a non-dtmf user will timeout to a present operator position Remote access to VoiceMail with this feature users will be able to retrieve their voicemails when not on the same site as the IP Office 5.5 New IP series of Telephone sets 5600 With IP Office R3.0 SMBS is introducing new Avaya IP terminals the 5600 series of phones. These phones are developed specifically for IP Office and will operate ONLY on the IP Office. The new phones: 5601 - Basic IP Hard phone (new with R3.0) 5602 - Basic IP Hard phone (new with R3.0) 5602sw - Basic IP Hard phone (new with R3.0) 5610sw - Mid Range IP Hard phone (new with R3.0) 5620sw - High End IP Hard Phone (new with R3.0) The Avaya 5600 Series IP Telephones deliver an extensive set of software features, high audio quality, and attractive streamlined design. The 5610SW and 5620SW IP Telephones have additional application functionality. Push of audio and textual alerts to the phones is now supported through special application programming interfaces (APIs) on these phones. Avaya 5600 Series IP Telephones are simple to use with both fixed and flexible feature buttons, easy-to-read graphics, and several wall mount and desk mount options. They have been optimised for reliable use in IP networks, with sophisticated security capabilities such as media encryption and protection from denial of service attacks. Built-in Ethernet switch ports enable streamlined desktop implementations, while voice packets are tagged with the appropriate quality of service (QoS) parameters such as 802.1q and DiffServ for priority treatment by QoS-enabled IP networks. The 5600 Series IP Telephones also support the 802.3af power over Ethernet standard. 5.5.1 5600 Product Line Summary The 5601 H.323 IP Telephone is an entry-level telephone with two call appearances, eight fixed feature buttons, and a message-waiting indicator. The 5601 does not support a display, speaker or additional port for connection of an external PC. It does not support static addressing. The 5602 IP Telephone is an entry-level telephone with two programmable call appearance/feature keys, ten fixed feature buttons, and display. Recordings held within this database can be searched and played back by a user through a Web browser application. Fax Server Support: Fax is a significant part of how customers do business. This wizard reduces the risk of unintentional system changes while offering an intuitive and simple interface. 5.13 Other new IP Office Hardware 5.13.1 Internal Modem Card A new Internal modem card with 12 modems is being introduced to replace the existing Modem 2 card to provide dial-up capacity that is better matched to remote access requirements of customers. The Internal Modem card allows up to twelve simultaneous remote access connections into the IP office. The IP403 will support only 4 simultaneous modem connections. The IP406 V2 and IP412 will support all 12 connections. This card is NOT supported on the IP406, only on the new IP406 V2. The Modem 2 card will no longer be sold. Additionally, there is also a noise reduction system for conferencing as well. This should reduce the effect of noisy environments in a conference. Note: Enhanced AGC is implemented ONLY in IP406 V2 not in any other IP Office models. 5.13.4 New Wireless Wi-Fi Phone options using D-Link Add desk set mobility and system flexibility to your customer s location! Using a D- Link Wi-Fi access point in conjunction with an IP Desk set brings mobility to a whole new level. Users can hook a D-Link access point to the switch and one to an IP endpoint (desk sets or conference phones supported by IP Office) for use in unwired locations, or for mobility around the office. In addition to the 75 existing pre-defined reports being converted into Crystal Reports format, 3 additional custom reports can be created (requires Crystal Design software, which can be purchased through a 3 rd party software vendor). 5.14.2 MS-CRM Report Integration To further enhance our strategic relationship with Microsoft, this version of software will more tightly integrate with the Microsoft CRM (MS-CRM) application. This will allow CCC reports to be requested via the Microsoft CRM interface. The Page 26 of 43

combination of reporting between these two software applications will provide customers with a simple yet powerful management tool that will realize immediate productivity gains in their business. Microsoft CRM provides a report generation module, which makes available the following categories of reports: CRM Sales Reports and CRM Service Reports. A new section named Compact Contact Center Reports can be added through CRM to support combined application reports. 5.14.3 CCC/MS-CRM Combined Reports CCC facilitates the creation of a combined reporting architecture with MS-CRM for a number of reports. These reports will be based on the incoming CLI for the customer. CCC will combine information from a MS-CRM report and create a unique report with the analytical telephony information contained within it. There will be a new section created within the report module named CRM Sales Reports. This will allow access to the following reports: 5.14.4 Sales Reports 1. Opportunity Activity & Notes This is a standard MS-CRM report which will now include telephony interactions in the Activities section of the report. 2. Contact Activity & Notes This is a standard MS-CRM report which will now include telephony interactions in the Activities section of the report. 3. Proactive Reporting by Campaign Name This report shall provide information on the result or interaction codes that are entered by users with regards to how they handle a Proactive list interaction. 5. Incoming Calls by Target Group This report is based on the current Incoming number summary report, but uses target information as opposed to called number information as the conditional criteria for the report. As a further change to the standard reports offered the DID Summary (All Calls) Report will be deleted. Also the DID Summary Report will have the fields named Answer Time (Answered) and Answer Time (Lost) removed from the report. 5.14.7 Agent Limit CCC V5 will support the 75 telephony and multi-media agents. This is the same as in previous versions. 150 Agent support will be considered for a future release. 5.14.8 Supervisor Limit The number of supervisor positions (Call Center View, Wallboard Client, Report Client) will be increased to 21 (20 plus the 1 added by the CCC SVR RFA). This is an increase over the previous limit of 5 supervisors. Please note, any systems using more than 5 supervisor or report clients will require an SQL database and client access licenses, which are purchased separately. An MSDE database is only supported up to 5 supervisors. 5.14.9 Selectable drive install Currently CCC does not allow the installer to specify where the software should be installed, by default it is installed into the C:\Progam Files\Avaya\IP Office\CCC directory. CCC V5 will allow the installer to specify where the software should be installed. 5.14.10 Refused Call Alarm A new alarm is to be added that can be displayed in Call Center View and either a physical or PC Wallboard which will provide an alarm for each instance that an agent refuses a call. 5.14.11 Minimum Lost Call Reporting In order to better define the Grade of Service (GOS), the contact center supervisor will now have the ability to define a minimum lost call threshold. All calls that are abandoned within this lost call threshold would not be counted in the lost call statistics. Now a Business Customer will be able to define what the minimum lost call time is on a per-called number basis. The range that can be set is to be between 1 and 30 seconds. Page 28 of 43

Using the same principle as stated above, the contact center supervisor is able to set a minimum lost call threshold for emails. The range that can be set is to be between 12 hours and 5 days. 5.14.12 Wallboard Support Support for the AdvaTel Model TCD226C wallboard is added in CCC V5. 5.14.13 Wallboard Variable A new variable, which can be displayed on physical or PC Wallboards, indicates the number of Agents Logged On. 5.14.14 PC Wallboard enhancements The PC Wallboard application now has the ability to run in the enhanced agent mode without the necessity for the associated agent being logged on. 5.14.15 Selective Alarm Messaging for Wallboards In previous CCV operation, if a supervisor chooses more than one wallboard destination for alarm messages, all of the alarms were sent to all defined wallboards. With CCC V5, CCV has the ability to send each alarm message to a different physical or PC wallboard if required. 5.14.16 Closing Times The new Contact Center View has the ability to set a night timer, where it will automatically start to log agents off at that time. If calls are still in the queue after closing time the group will remain active but not allow any new calls. Agents that are already on the phone at closing time will continue to stay logged in until the call is completed, then they will automatically log out. When the first agent of a group logs on after the closing time has been activated, the system will set the group back to logged in, or day mode. 5.14.17 Force Log In/out The CCV has the capability from the force agent state screen to force an agent to be logged in or out. 5.14.18 Automatic Log In The CCC application now has the ability, in instances where the server has been rebooted unexpectedly or the switch has reset, to re-log in all agents that were on line prior to the reboot/reset. There will a time limit on this feature, which will be set at 5 minutes. Server or switch outages longer than this period will not retain the agent information for log in. 5.14.19 Applications running as Services CCCv5 runs the Delta Server, Archiver and SMDR applications as Microsoft Windows Services on the Windows Server. The Delta server provides the Page 29 of 43

option to run the Archiver when the Delta Server starts, so the Archiver facilities are provided as if the application were run as a service. 5.14.20 SMDR Output Options The SMDR now allows the user to program a specific time when the contents of the entire SMDR file can be sent to an IP Address (port). The SMDR also provides a print on the fly option to an IP Address, which outputs each transaction as it is terminated on the IP Office system. The Delta Server will also cache SMDR entries so that if connection is lost, SMDR applications will not loose data. 5.14.21 Operating System Support CCCv5 is now supported on the Microsoft Windows 2003 Server platform. 5.14.22 New Language support CCCv5 supports Italian and Russian as new languages in all the interfaces, although help files are provided in English. 5.14.23 Proactive List Dialing Activation Previously the Proactive List Dialing license activation has been provided as part of the CCC Email RFA. With the introduction of CCCv5 this license can now be provided separately. 5.14.24 Report viewer license With this release of CCC, a new license type has been created for report creation separated from the existing Contact Center Supervisor license. 5.15 Core Software Feature Enhancements 5.15.1 Distinctive Ringing Distinctive ringing is defined as the ability to determine the type of call by the way the terminal rings, for example: Internal/External/Other (Recall, Ringback). The inherent networking capabilities of Avaya IP Office ensure that it is both compatible with a wide range of network services and can be used in multi-site configurations as standard. IP Office processors scale cost effectively for small offices with as few as 4 extensions, making it an ideal choice for SMBs with multiple locations. For small to mid-sized companies, IP Office Small Community networking provides common dial-plan and feature transparency between sites, including multi-site user status / Busy Lamp Field for central operators. For larger businesses, IP Office can be used as an autonomous branch office platform, using QSIG to provide basic network integration with the enterprise network and call processing platform and a centralized Where increased survivability and feature integration with a centralized Avaya Communication Manager (ACM) platform is required, Avaya offers a range of Branch Office Gateways. Connected phones are registered to and behave as if they are directly connected to the main office communications server. In the event of WAN link failure, system survivability provides a fall-back standalone local configuration with access and call routing over local PSTN facilities. Page 31 of 43

During the coming months, Avaya plans to extend the range of gateways to enable customers to extend the benefits of Communication Manager to branches with less than 16 extensions. As part of this strategy, Avaya plans to introduce a special version of Small Office Edition that is pre-configured as a Remote Survivable gateway as part of an ACM network. This will be supported from ACM2.2 onwards and will be sold as the G150 Media Gateway. In survivable mode, the phones connected to G150 re-register to the local processor and use IP call routing, based on IP Office Software Release 3.0. On service restoral, phones re-register with the central ACM processor. Further to this, following the introduction of G150, during 2005 Avaya plans to introduce a RFA Licence Key that will enable a standard Small Office Edition to be upgraded to operate as a Remote Survivable Gateway (RSG). The opportunity to support this RFA option on other Avaya IP Office platforms is currently under review. As these solutions rely on connectivity to a central ACM processor, G150 and the RSG RFA will be available to ACM-authorized resellers only. Release 3.0 of IP Office will also allow Modular Messaging to be used a centralized voicemail (as per Intuity Audix today). 5.16 IP Office Conferencing Center (formerly known as Power Conferencing) The IP Office contains a very powerful suite of conferencing software. Today, the IP403/IP406 Office can conference up to 64 parties at once or enable up to 21 three-party conferences, or three 21-party conferences or any other equivalent combination. IP412 Office can conference up to 42 three-party conferences or 2 x 64-party conferences, or any other equivalent combination. This functionality is built upon the VoiceMail Pro software. This capability is well suited to large and/or regular briefings and is made particularly powerful with the easy to use meet me (ad hoc) dial-in conference capability. This means customers no longer have to rent expensive conference services from service providers: instead IP Office can host the conference. Note: Small offices / home offices can take advantage of cost-effective conferencing through IP Office Small Office Edition which supports single 3-way audio conferences, and does not require Conferencing Center. 5.16.1 Why use Audio-Conferencing? Local Address Book The current user list has now been modified to show external IP Office users and a user-defined contact list. This address book automatically remembers past participant contact details for easy retrieving. It will be possible to modify the user-defined list, although the IP Office derived lists cannot be changed. When booking a conference it will be possible to add a contact from any one of the three lists. Save Conference Settings as a Template At the time of booking a conference, the user will have the ability to save the settings as a conference template so that they can recalled into a different conference at another time. This allow easy booking of recurrent conferences that wishes to keep the same Conference ID (and Participants PIN if required) Web Server Installability In R2.1 the Conferencing Center software required a local web server running Internet Information Services, while 90% of Small and Medium sized businesses rely on ISPs for hosting their website. With R3.0 the installation process will now allow the web client conferencing application to be installed as a separate option (in R2.1 it is not) on a separate server outside the company firewall. Note that since the web site uses the web services to communicate with the conference server the Conferencing Center enables the use of a SSL link to protect the traffic. The Conferencing booking site (scheduler) should only be supported on customers premises. Page 33 of 43

7 New 3 Year Extended Warranty Avaya is extending its IP Office Hardware Warranty from one year to three years for its Channel Partners and Service Providers. The warranty extension allows providers of IP Office maintenance contracts to benefit from Avaya s extended warranty period. The new three-year warranty will be available with the introduction of IP Office 3.0. This extension will be available in all markets that IP Office is sold at no additional cost to the Channel Partners or Service Provider. Please Note, this warranty extension is provided to partners who are supporting end user customers and not end user customers themselves. The services required for administering, installing and configuring any replaced equipment is not included in the hardware warranty extension. The three-year warranty is for applicable IP Office hardware components purchased from Avaya s distribution partners on or after December 6th, 2004. To ensure a full three-year (36 months) warranty period Avaya warrants the applicable IP Office hardware components for a total of 39 months (three-years + three months) from the date of shipment from Avaya. Please note: only IP Office hardware components are included in the extended three-year warranty (see section 8.7 below for applicable IP Office components covered). IP Office software applications, cables, telephone sets, associated PC hardware and required support or services are not included under the extended warranty program. Many end users purchase extended warranty contracts on their communications platform to provide assurance for continuity of their business communications solution. BusinessPartners, Avaya Global Services or other Service Providers provide differentiated maintenance services to their customer base such as 24 x 7 fully serviced contracts to time and materials only. The improved three-year Avaya Standard IP Office hardware warranty will complement all IP Office maintenance offers provided by the maintenance providers. This significant improvement in the Avaya IP Office hardware warranty is an important factor for Channel Partners and Service Providers when positioning IP Office with customers and against competitive solutions. Extending the warranty by two years provides enhanced customer value and has proven to be an important factor when customers consider a new communications platform.
