3 1 Executive Summary By combining BlueCielo Meridian Enterprise with IBM s Enterprise Asset Management solution MAXIMO, customers can substantially increase their access to all essential, asset-related technical data for improved efficiency, cost reductions and enhanced asset management. Instead of uploading or linking documents manual against each asset in your MAXIMO solutions, the integrated solution with BlueCielo Meridian Enterprise, reduces the effort for initial upload, but after release of a new version of the documents, the links do not have to be created again. In this way Operations & Maintenance is always working with up-to-date technical asset information. Besides this, redlines and remarks can be made (even during the night shifts) which can be picked up by Engineering during daytime. The integration provides a bidirectional communication channel increasing the level of confidence about the status of the data and increasing safety on-site. 3

4 2 Introduction to BlueCielo ECM Solutions and EDM BlueCielo ECM Solutions develops and markets Engineering Data Management (EDM) solutions that reduce time to market for manufacturers and reduce maintenance cost for asset owners. BlueCielo s EDM solution, BlueCielo Meridian Enterprise, assures that the latest revisions of the right documents are available to the right people, every time. Alongside flexible revision management, BlueCielo Meridian Enterprise offers workflow support for both projects and single document types. Users can compare revisions and reinstate previous revisions, and as-built documentation is separated from under change data. Engineering Data Management (EDM) provides full management of all asset related technical information, like drawings, specifications, calculations, simulations, regulations and bill of materials, throughout the entire lifecycle of the respective assets. ECM is an abbreviation of Enterprise Content Management and is more generic then Engineering Data Management, which requires specific features for managing the engineering processes, data and CAD documents with all their referneces. 4

5 3 EDM for Strategic Asset Management Strategic Asset mmanagement (SAM) maximizes the performance of fixed, physical or capital assets that have a direct and significant impact on achieving corporate objectives. SAM solutions enable companies to manage the lifecycle of strategic assets from planning, procurement and deployment to tracking, maintenance and retirement. Effective strategic asset management is an integrated, enterprise-wide undertaking. From production assets found in discrete or process manufacturing, facilities and fleet assets to hardware and software IT assets, companies exist as an interconnected system of assets. As strategic asset management involves many different assets and departments across the entire corporation, however, the complex process often results in a number of common challenges: multiple and outdated versions of documents are stored in several places; no quick and secure access to the right documentation; loss of accuracy; time and efforts wasted in searching for missing documentation. In turn, these challenges can result in wrong spare parts in stock due to outdated documentation, incorrect information sent to external parties, jeopardized confidentiality and security, unplanned process downtime, and even accidents due to wrong maintenance procedures. In response to these issues, MAXIMO is integrated with BlueCielo ECM Solutions BlueCielo Meridian. 5

6 4 The Integrated Solution The integration between MAXIMO and BlueCielo Meridian Enterprise enables the maintenance management functionality of MAXIMO to connect with the document management capabilities of BlueCielo Meridian. The seamless integration between the two products creates a synergistic environment where users can maximize the combined strength of both products. 4.1 Maintenance and Engineering Connected The entire lifecycle of a process plant can be properly documented and managed - right from the engineering phase onwards - to help ensure optimum performance and maintenance, replacing the typical situation wherein plant owners receive little to no engineering data during a plant handover. From the MAXIMO system, users have direct access to the related technical documentation, for example, when viewing a work order, equipment or job plan. If required, the documentation set can be further filtered and additional search criteria can be applied. Equipment or Location related engineering data directly available through Attached Documents of a Work Order in MAXIMO with use of the BlueCielo Meridian Explorer. Of the related technical documentation, the user can see all its details, document status and document content through the in-built viewer. In the viewer, the hotspots allow navigation to related assets and documentation. If the system is configured to allow this, older revisions remain accessible and the user can print the documents. 6

7 Users can redline drawings and add comments based on the performed maintenance tasks. Interdepartmental communications are greatly enhanced as the engineering department is immediately notified of comments and provided with the remarks, all without having to leave the MAXIMO environment. 4.2 Increasing Accuracy, Efficiency and Communications When a maintenance engineer searches in MAXIMO for a piece of equipment, specifically linked documents will be attached. It is up to an archive manager to ensure that the latest revisions of the documents have been properly named, located and uploaded. With the BlueCielo Meridian integration, MAXIMO users will have an automatically updated overview of relevant technical documentation as well as links to critical related information, such as work orders, performance data, and costs. 4.3 Management of Change Support The MAXIMO PM user can make remarks about documentation and even add redlines to indicate what has been or needs to be changed. The redlines and remarks lead to a todo item for the engineering department within the BlueCielo Meridian Enterprise system. Based on the input of Operations & Maintenance and given the budget is approved, Engineering can initiate a change project, either small up to very large. During the lifetime of the projects the MAXIMO users work with the latest released As Built information. After construction and commissioning, all master data can be made as-built. New assets might be created, tag-doc relationships changed and updated and hotspots generated before release to master. In this way, the handover process is seamless and Operations & Maintenance is assured of as-built master data. 7

Purchasing is able to ensure that purchase requisitions and orders are based on the correct specifications. Construction is assured of access to the latest, approved versions. Maintenance can both reduce administration errors as well as ensure that the right spare parts are available with up-to-date documentation. Planning can import data per tag number and create BOMs with references to all documentation. Plus, legal requirements are maintained to quality standards and risks are mitigated due to reduced equipment failure and correspondingly fewer accidents.
