GroupWise vs. Outlook 2010 Comparison This chart is by no means an exhaustive comparison, but it should get you stated with using Outlook 2010. GroupWise Outlook 2010 Quick Viewer was available from a button on the toolbar or the View menu. No Favorites area was available. Mail was stored under the Mailbox. Personal folders were stored in the Cabinet. To do items were available as Checklist. Deleted items went to the Trash folder. Items were automatically deleted after 7 days. Once Trash was emptied, items were no longer recoverable. Reading Pane is automatically displayed on the right but can be turned off or displayed at the bottom of the screen using View tab > Reading Pane in Layout group. Favorites feature is available so you can drag & drop frequently used folders into this area for easy accessibility. Mail is stored under the Inbox.
Work in Progress folder held saved messages. High priority messages appeared with red envelopes. Personal folders are stored under the Mailbox folder. If you want to mimic what you had in GroupWise, you can create a folder named Cabinet under the Mailbox by right-clicking on Mailbox and selecting New Folder then create your personal folders under the Cabinet. To do items are available as Tasks and have their own button in the Navigation Pane. They re also displayed on the Calendar and on the To-Do Bar. Deleted items go to the Deleted Items folder. In GroupWise, many users on our campus used a locally stored archive. Outlook s File tab contains some features similar to what you had in the GW File menu plus more. Here are some of the features you will likely need from Outlook s File tab: 1. Account Settings 2. Automatic (Out of Office) Replies 3. Rules 4. Options 5. Print In Outlook, your archive will be stored on a network location.
GroupWise had an Edit menu The Home tab in Outlook 2010 Edit menu Commonly used features found in the GW Edit menu were Cut, Copy, Paste, Select All message text, Delete/Delete and Empty, Empty Trash, Change to, and Folders Outlook s Home tab has some of the features that were found in the GW Edit menu. Here are some of the features you will likely need from Outlook s Home tab: 1. Cut/Copy/Paste/Select text buttons can be found on the Ribbon in a message window of a message you are creating 2. Delete button 3. You can empty the Deleted Items folder by right-clicking it & selecting Empty folder 4. Move button 5. Rules button 6. Categorize messages using colors
GroupWise had a View menu Outlook 2010 has a View tab Commonly used features in the GW View menu were Toolbars, Folder List views, turning Nav bar on/off, and setting Quickview options Outlook s View tab allows you to display, hide and customize various features in the Outlook main window just as the GW View menu allowed you to do the same inside GroupWise s main window. Below are some features you will likely need from Outlook s View tab: 1. Arrangement group allows you to sort messages by date, subject, size, from, to, etc. 2. Navigation Pane pop-up menu (can be minimized or turned off) 3. Reading Pane pop-up menu (can be turned off or displayed at right or bottom) 4. To-Do Bar pop-up menu (can be turned off or customized in various ways)
GroupWise had an Actions menu The Home tab in Outlook 2010 Outlook s Home tab has some of the features that were found in the GW Actions menu: Some features found in the GW Actions menu that you may have used were Reply, Forward, Forward as Attachment, Show Appointment As, Move to Archive, Junk Mail, Mark Private, and Mark Read. 1. Many user preference settings could be adjusted via the Options window. GroupWise Archiving: In GW, you could set up a local archive on your machine in which to store mail data long term. Items that were in GW s Tool menu are in several places in Outlook. You can find Address Book, Junk Mail button and Rules on Outlook s Home tab. Other features from GW s Tool menu can be found in Outlook s File tab: 1. File tab > Info shows you Automatic Replies, Mailbox Cleanup, Manage Rules and Alerts 2. GroupWise Vacation/Out of Office Rule Outlook 2010 s Out of Office Assistant In Outlook 2010, you can go to the File tab > Info > Automatic Replies button to see the windows at the left. These windows let you turn on the automatic replies feature. Outlook lets you set up automatic replies to be sent to only those in the AU Exchange system or to be sent to both people inside and outside our system. Outlook provides the opportunity to send different replies to those outside the organization if you wish for that group of mail recipients to receive a different message. In GroupWise, you could create a Rule via the Tools menu that would reply to messages while you were away from the office.
Junk Mail Handling in GroupWise Junk Mail Handling in Outlook 2010 GroupWise had a Junk Mail handling feature accessed via the Tools menu. When you enabled the Junk List, a Junk Mail folder appeared in the folder list. You could then begin populating the Junk List as you received unwanted messages. You could add an address to the junk list by right-clicking a message, selecting Junk Mail then making additional selections. Outlook has a Junk Mail feature that can be accessed via the Home tab > Delete group > Junk button > Junk E-mail Options. You can choose the level of junk mail protection that you want and you have the option to permanently delete suspected junk-mail. You can begin populating the Blocked Senders list by right-clicking a message, selecting Junk from the menu and selecting Block Sender.
Granting Proxy Access to your GroupWise Calendar Allowing Someone to View Your Calendar in Outlook 2010 In Outlook, use these steps to allow another person to view your calendar: In GroupWise, you could give another person permission to view your calendar by selecting Tools menu, Options, Security, Proxy Access then adding the person to your Access list and selecting Access rights. 1. Click the Calendar in the Navigation Pane 2. Click Share Calendar button on the Home tab in the Share group 3. Enter name you want to share with in the To box 4. Make sure Allow Recipient to view your Calendar is checked 5. Select Details you want to share 6. Click Send
