Break-Down Breakdown Tuesday 22 nd September 16:00 22:00 Wednesday 23 rd September 08:00 14:00 Property not removed by 14:00 Wednesday 23 rd September may be disposed of at the discretion of the Organisers. Exhibitors and contractors will be liable for any charges thus incurred. Access to the exhibition halls will be between the hours given above ONLY. There will be no concession to these hours without the prior consent of the organisers. Exhibitors must not carry out work on their stand during the exhibition opening hours. Any alterations, building, modification, loading or unloading of goods must take place only during the build up, offloading and break-down periods. Power to stands will be switched off one hour after the close of the show. Should you require power after this time, please contact the organiser s office before 14:00 to confirm arrangements. 7
Setting Up and Breaking Down your Stand Space only exhibitors and contractors have access to the halls from Thursday 17 th September and shell scheme exhibitors are allowed to set up their stands from Saturday 19 th September. Before arriving at the International Centre please report to our Exhibitors Holding Area, the address for this is: Dragon Road Exhibitors Holding Area Dragon Road HG1 5DB There is also a map in the exhibitor manual area of our website showing where the holding area is located. At the Holding Area you will be issued with a vehicle pass and when there is an available space at the halls to unload you will be directed to the halls by a traffic marshal. When unloading at the exhibition halls, all exhibitors must ensure that their vehicles display the vehicle pass and that vehicles are removed immediately after unloading. We enforce this system as there is very limited space to unload at the International Centre and it is the quickest and fairest way to ensure everyone gets onsite as quickly and as smoothly as possible. Please ensure all contractors are aware of this procedure as access to the halls will NOT be granted without a valid vehicle pass. Please note: Children less than 16 years of age will not be admitted to the hall during build up and breakdown. Animals will not be allowed into the halls at any time. 8
Stand Specification Shell Scheme Package Stands Traditional Build Stands will be erected for exhibitors by Joe Manby Ltd as part of the shell scheme package. Traditional style stands consist of batten and plywood walls which will be painted in white emulsion. Should you wish for an alternative colour to give your stand a different look this can be arranged direct with Joe Manby Ltd, contact details on page 6. Please note there will be a charge for this service. As mentioned, the walls of the stand will be painted white, but the interior treatment and decoration of the stand is the responsibility of the individual exhibitor. You can fix items to your walls by the use of nails, screws, staples, split battens etc. No adhesives can be used on the shell scheme walls. You will also be supplied with a fascia on all open sides with an illuminated name board showing your company name and stand number. Please note the fascia will be in grey and you will receive 1 illuminated nameboard per fascia. In order to ensure your company name is spelt correctly you MUST complete the JM Nameboard Form available from the exhibitor manual area of our website. To order additional stand fittings you need to download the Standfitting Order Form from the exhibitor manual area of our website. Please note there is an early bird rate available on this form so make sure you book your extras as early as possible. All displays and exhibits must be completed by Saturday 19 th September 20:00 hrs. Shell Scheme Electrics Included within your shell scheme package is a 500W socket. If you need to order any additional electrical facilities such as lighting you can order these through Joe Manby Ltd, contact details on page 5, alternatively please download JM Electrical Order Form from the exhibitor manual section of our website. Carpet As part of the shell scheme package exhibitors are entitled to carpet on their stand free of charge. The colour this year will be grey. If you have a shell scheme package but do not require carpet to be laid please notify julia@theflooringshow.com BEFORE 3 rd August. Should you require your own carpet fitting then please contact JMT Indisplay Ltd direct to agree this, their details can be found on page 5. Stand Sharing Exhibitors who plan to share their stand with other companies must obtain authorisation from the organisers. Please bear in mind that only one name board will be provided. The organisers reserve the right to refuse entry to stand sharers who have not been notified to them. 9
Space Only Stands The space only package does not include standfitting, walling or carpet, however a 500 watt socket and electricity consumption is included. Please provide the organiser with the contact details of your appointed stand contractor as soon as you have them so we can send them a copy of this manual. This is easily done by completing the Appointed Contractors Form in the exhibitor manual section of our website. Either you or your stand contractor MUST send two sets of detailed plans showing structural stability of the stand. Detailed drawings should show the form and dimension of every structural member with appropriate general arrangement plans, sections and elevations, including full details of stairways, and most importantly, calculations of loading and strength. We also require a risk assessment which covers the construction and dismantling of the stand and operating from the stand during the open period, insurance certificate and a method statement from your contractors. Please send the plans, risk assessment and method statement to georgia@theflooringshow.com or to our postal address: The Flooring Show 2 The Barns Hampsthwaite Head HG3 2HT A few things to note: If stand walls exceed 2.75m the exhibitor is responsible for making good both sides of the wall. You must not utilise any shell scheme walls boarding your space, you must provide your own walling to all closed sides of the stand. The maximum height permitted within any individual stand in 4 metres. Please note you are not able to build to this height in all areas of the International Centre, please check your individual stand with the organisers. If you are laying your own carpet please ensure the tape is completely removed on break-down, if not any cost incurred by the organiser will be forwarded to the exhibitor. All electrical installations must be carried out by the official contractor. Stands must be built within the area of space contracted; this is a health and safety issue. No stand should impinge or overhang the gangway. Space only sites are not permitted to attach any material to the Traditional Stand Build walls, which may be adjacent to their stand. Exhibitors should note that all ducts must be kept clear of dust and that no obstruction can be left in front of the fire hose points situated throughout the halls. Exhibitors are not permitted to wall off any sides of their stands which show as open on the plan, as this is not effective for the exhibition. However glass/perspex panelling is permissible as they allow visitors to see into the stands. All stand construction and displays must be made from fireproofed materials to the satisfaction of the authorities. The Organisers are not able to supply labour for the handling of goods and other items. Exhibitors should arrange with an appropriate contractor for this service. PLEASE NOTE THAT THE ORGANISERS RESERVE THE RIGHT TO REFUSE TO APPROVE STAND PLANS IF THE ABOVE GUIDELINES ARE NOT MET. 10
Requirements Fire & Safety Regulations Any goods attached to your stand will constitute part of your stand and will be subject to these regulations. Timber, less than 1 thick must be impregnated to CLASS 1 standard. Boards, plywood, chipboard etc. must be treated in the same way if they are under ¾ thick. Treated boards will have BS476 CLASS 1 marked on them. Plastics, must conform to BS476 CLASS 1 fire regulations. Fabrics, must be flameproofed or purchased already treated by use of approved chemicals. Fabrics such as wool, twill and felt do not need to be treated. Gangways, the gangways must be kept clear by LAW. Under no circumstances will exhibits, stand dressings, be allowed to encroach into gangways. Offending items are liable without warning to be removed. Health & Safety Exhibitor responsibilities: Ensure that you and your staff are familiar with your own and our Health & Safety Policy. Carry out and produce risk assessments where necessary especially for during build up & breakdown. Co-operate and work alongside the Organiser s on-site to minimise Health & Safety risks. Ensure all staff and contractors are qualified and competent to carry out work on your stand, as you can be held liable for any incidents due to their incompetence. Supply plans, risk assessments and method statements well in advance of the show and organise structural surveys to be carried out by independent engineers for complex space only stands. You are advised to request the Health & Safety policies of any contractor you employ and ask them to request the same from any sub-contractors they may use. Traditional Build stands are required to complete and return Health and Safety - Statement of Responsibility which is available from the Forms area of our website. Large / Heavy Exhibits / Lifting If exhibitors are incorporating large/heavy equipment/machinery or pallets onto their stand, a fork lifting service will be available onsite. This is NOT a free service and does need to be pre-booked through Fishers who operate the fork lifting service; their details can be found on page 6. Please note if you are arranging to have a courier deliver anything to you at the show, they MUST bring their own lifting facilities. The Flooring Show is not responsible for assisting couriers take items from transportation and delivering them to your stand. 11
Mobile Units / Vehicles / Coaches Companies whose stands include a vehicle must ensure the following: - The battery of the vehicle is disconnected once positioned on site and not reconnected until the close of show and when all visitors have left the exhibition hall. A minimal amount of fuel is left in the tank whilst the vehicle is positioned on site. A drip tray is placed underneath the vehicle. If you have concerns over the conditions stated above, or if you wish to discuss any other matter relating to a stationary vehicle, please contact Georgia Pick Tel: + 44 (0) 1423 779 967 prior to the build up period. Night Screens Night screens are available for increased security on your stand and can be hired from Joe Manby Ltd, see contact details page 6. All stands must be uncovered during the hours that the exhibition is open to the public. Night screens must be removed before the show opens and stored safely out of sight until closing time each evening. If you require your stand to be cleaned during the night a spare key must be given to the organiser s office. Platforms It is essential that exhibitors take steps, when designing and constructing their stands, to ensure that the disabled are not precluded from getting onto their stand. Exhibitors should ensure that appropriate ramps are included as part of the stand design. Platforms are not essential even with floor electrical or plumbing services. The general height may not exceed 100 mm (4 ), but areas may be super-elevated for display purposes. Details of super platforms, above the height of 600mm (24 ) to which persons have access must be submitted to the Organiser for the approval of the Authorities. The flooring must not be less than a nominal 25mm (1 ) thick. Flooring must, in any case, be laid with closed joints. Platforms must be of a strength and stability sufficient to carry and distribute the weight of the stand fitting, stand personnel, visitors and exhibits having regard to the loading limits of the floors. Standfitting Regulations All work must be carried out in conformity with the requirements of the Rules and Regulations of International Centre and the organisers, The Flooring Show. Exhibitors are responsible for ensuring that all contractors are made aware of and abide by these regulations. 12
General Information Access As detailed on page 8, we will be using Dragon Road Vehicle Holding area as the vehicle assembly point from Thursday 17 th September. All exhibitors and contractors vehicles MUST proceed to this area for build up and break-down to be directed to the Halls by Traffic Marshals. You will find a map showing the location of Dragon Road Car Park in the exhibitor manual section of the website. Vehicle passes will be distributed at the holding area. On arrival at the halls during build up and break-down, all vehicles including cars will be directed to unload. All exhibitors must ensure that their vehicles display the vehicle pass and that vehicles are removed immediately after unloading. Please ensure all contractors are aware of this procedure as access to the halls will NOT be granted without a valid vehicle pass. If you are a space only contractor and arriving on Thursday 17 th September you ARE required to go to Dragon Road. Audio Visual If you require any audio visual supplies for your stand, please contact True Mobile whose details can be found on page 5. Banking Facilities There is an ATM located outside of the main entrance of Hall M. There are branches of all major banks in town centre. Business Facilities A photocopying service and fax machine is available for use in the Organisers Office at the front of Hall A. There will be a charge for these services. Car Parking Once again the car park will be free during the open days of the exhibition to all visitors and exhibitors; it will be operated on a first come first served basis. Please note that the Green underground car park is now owned by The Holiday Inn Hotel, so must not be used. Catering Kudos Hospitality Ltd, in conjunction with the International Centre, reserves the right to sell and provide all catering equipment and refreshments including food, wine, spirits, beers and other alcoholic and non-alcoholic beverages, consumed on the premises and reserves the right to impose a 13
surcharge on any goods not supplied by themselves. If you wish to arrange on stand catering please contact Kirsten Rolph Tel: +44 (0) 1423 537334 for further information. Children No children are to be allowed in the halls during build up and break-down as it will contravene Health & Safety policy and invalidate the venue insurance policy. Please ensure you adhere to this rule for their protection. Children may wander off and be seriously injured or killed and they may inadvertently cause accidents or damage to other persons and property on-site. Cleaning A service for cleaning stands but not exhibits is provided by International Centre. This facility is included as part of the exhibitors package. Waste is to be placed in the gangway at the end of each day for collection. Exhibitors requiring locked areas on stands to be cleaned must deposit a duplicate key, stating stand number, with the organisers prior to the exhibition opening. This key must be collected from the organiser s office on the last open day of the exhibition. Exhibitors are requested to keep gangways as clear as possible at all times. Cloakroom and Luggage Store The cloakroom is situated at the front of Hall A. A luggage storage facility will also be available in this cloakroom. Contractor Passes These will be available on the doors to the exhibition when you arrive. Damage and Dilapidations Please remember that any damage caused to the Exhibition building itself or the stand supplied, by you or your contractors, is your responsibility. You will be charged for any damage that you make. If you have a space only stand and are fitting carpet please ensure that exhibition carpet tape is used and is completely removed on departure, if not any cost incurred by the organiser will be forwarded to the exhibitor. Deliveries If you wish to deliver goods to the show they must be delivered before 20:00 on Saturday 19 th September 2015 clearly marked as follows: (Company Name) (Stand Number & Hall) The Flooring Show International Centre Ripon Road 14
HG1 5LA The organisers cannot accept any deliveries without prior agreement. Please ensure that you arrange to have goods delivered when a stand representative is present. Please ensure that your courier has the appropriate equipment to deliver the goods to your stand, it is not the responsibility of the organisers to facilitate this. Disabled Facilities There is a limited amount of space available for disabled parking at the front of Hall A and Hall M. If you require a disabled parking space, please contact the organiser s in advance. Disabled toilets are available throughout the halls. Exhibitor Personnel Badges Please register all your staff before the show for ease of access. This includes any temporary staff you have working on your stand. Badges will be posted out approximately 2 weeks prior to the show. Please ensure that you fill in the Exhibitor Badge Application available on-line at: http://www.eventdata.co.uk/exhibitor/flooring.aspx First Aid The First Aid Centre is situated at the front of Hall A, adjacent to the cloakroom. It will be open during build up, break-down and the show open times. Any medical emergency should be reported to the Organiser s Office in Hall A or a member of security. Forklifting Onsite fork lifting is available through Fishers on transport@fishers-harrogate.co.uk. This service MUST be booked in advance charge is 10 a cubic metre. A surcharge may apply if booked onsite. Furniture There is no furniture included in your stand package, but if you require furniture for your stand please contact JMT Indisplay whose contact details are on page 5. Alternatively download the furniture order form for the exhibitor manual section of the website. Goods Removal In an effort to improve the general level of security, it is requested that any exhibitors wishing to take goods out of the exhibition hall after the build up period of the exhibition should apply for an official Goods Removal Form. This is to be handed to the duty security guard on the exit. The form should be duly completed and endorsed by a representative of the Flooring Show. These forms are available from the Exhibition Organisers Office. Anyone attempting to remove equipment/goods without the form will be escorted to the Organisers Office. 15
Hotel Accommodation We work with a local accommodation agency to get great rates at local hotels. Nearly all their recommended hotels are within walking distance of the exhibition centre. As a minimum, we require you to have 2 million Public Liability cover. For advice on this contact Towergate Risk Solution Tel: 0113 391 9300. Leaflets / Promotional Material All exhibitors are reminded that business, including the dispensing of literature and promotional material, must be conducted from their own stand. Exhibitors or their staff are not permitted to hand out leaflets etc in the gangways and aisles, at the entrances to the show, or in any other part of the hall except their designated stand area unless permission has been granted in advance by the Organisers. Please note that material must not be attached to the fabric of the building. Any material found fixed to walls will be removed immediately with damages charged directly to the exhibitor. Lost Property Any lost or found items should be reported to the Organisers Office at the front of Hall A. Maintenance If you need to carry out any maintenance work on your stand after the exhibition closes in the evening, you should let us know by 14:00 that day so we can make the necessary arrangements for power etc. Music Licence If you intend to play music on your stand during the course of the exhibition you are required by law to obtain music licences. Organisers Office The Organiser s office will be open throughout the tenancy period from 08:00 each day. This is situated at the front of Exhibition Hall A. Photographer The show s official photographer is Patrick Proctor. He will be around taking general exhibition shots, but is also available to hire to take specific stand shots. You can download a booking form from the Forms section of the website or his contact details are on page 6. 16
Press Office / Press Packs The press office is situated at the front of Hall A. Exhibitors are invited to leave between 10-15 press packs in the press office. Please ensure these are delivered on Saturday 19 th September, and any remaining ones collected after the show. Left over packs will be disposed of by the organisers. Security Every reasonable precaution is taken to ensure the safety and security of personnel and equipment and the premises are patrolled day and night, however, we cannot accept any responsibility whatsoever for any injury, loss or damage or any consequential losses which may befall exhibitors and their property. Exhibitors are warned not to leave their stands unattended at any time when the exhibition halls are open especially when the show closes and during break down. During build up and break down periods, all exhibitors and contractors must wear an exhibitor or contractor pass for security reasons. These given to you when you arrive at the halls, please ensure that all staff are aware they MUST wear these at all times. All small goods, i.e. laptops etc, must be locked away when not in use, unless removed nightly. If you do need to remove valuables each evening then please collect a Goods Removal Form from the Organiser s office. Laptops can be left with the security company at the front of Hall A. Please report any loss or damage to the security office, to ensure this does not affect your claims on insurance. Sound Levels Exhibitors using sound equipment including video on their stand must ensure that sound levels do not exceed 80db. The organisers will strictly enforce this specification and reserve the right to require exhibitors to reduce sound levels should they exceed the specification and cause disturbance to other exhibitors. Stand Personnel Do you require additional help on your stand? Jupiter Events can provide professional, experienced temporary staff to accommodate your requirements from Sales Assistants, Hospitality & Promotional Staff who are all local to and know the town and the venue very well. Storage There is no provision for the storage of packaging materials within the exhibition halls. Exhibitors must make their own arrangements for the removal and storage of all packaging materials, cartons etc... during the show open period. Telephone Lines The International Centre can provide standard telephone lines which can be used with a handset, fax, PDQ machine or modem for dial up Internet access and they can also provide ISDN lines. Waste Disposal In order to comply with the Environmental Protection Act 1990 and Duty of Care April 1992 section, waste materials shall not be abandoned on site, or deposited in hotel skips. Skips can be provided for (1) the collection and removal of waste material produced by working demonstrations of exhibits and (2) the removal and disposal of crates and stand fitting materials and other items abandoned within the Licensed Areas or on the Exhibition Site by exhibitors or contractors whether during or after the exhibition.
