The Fairground C.I.C aims to encourage and support local artisans and craftspeople through its workshops, the Gallery and events. The Fairground is a well known craft centre in Test Valley developed on the site of the old agricultural Weyhill Fair. It attracts many people to the workshops, where they can see individual craftsman at work. Visitors to a fair trade shop and a popular Village Hall also regularly visit The Gallery and the Ewe and I Tearoom. The Gallery is right next to a popular tearoom with a fast growing reputation for excellent food which also has an attractive outside patio area. The gallery, converted from old fairground stalls, provides an excellent space (560sqft) for displaying art and crafts. The wall space and three double-sided boards provide plenty of display space. We also have available four secure glass cabinets and a set of cubes. With full fronted glass windows and attractive lighting, the Gallery is clearly visible and encourages people to take a closer look. We encourage people to return to the Gallery by building a reputation for a high quality rolling programme of exhibitions. We can include a web link or contact details both before and for two months after your exhibition, on our website. The Gallery also sells a variety of products, gift items, cards, many and this encourages more people to explore the Gallery and make return visits. This is of mutual benefit to the exhibitioner, and the Fairground and we will therefore continue to use available space to sell these products during your exhibition. There is also the option to leave a small number of pieces with us on a commission only basis which would be displayed as part of a general mixed media display when the gallery was not on hire to a particular artist or group. Please ask for a separate booking form for this option. We do encourage you to promote your own exhibition, and have available images of the Gallery, maps and other information which you are free to use. The Gallery @ The Fairground Terms and Conditions of hire Please note that the Gallery cannot be hired by persons under the age of 21. For the purposes of these conditions, the term Hirer shall mean an individual hirer or, where the hirer is an organisation, its authorised representative. The gallery is available for exhibitions, displays and craft workshops. The toilet at the end of the Gallery is also for use by customers of Ewe & I so access to the toilet must be available during whatever activities you put on as part of your exhibition. Hire Charges. There is no hire charge for the use of the Gallery. Instead we charge a 25% commission on all sales made. There is an additional 5% administrative charge for any transactions made by credit card through the Gallery PDQ machine. Booking Arrangements Bookings are only confirmed upon receipt of a completed legible booking form. A booking made by telephone or personally is considered provisional until a completed booking form is received. Provisional bookings are only held open for 14 days. A booking may be lost to another exhibitor if not confirmed by a completed form. The Weyhill Fairground Craft & Design Centre CIC reserves the right to refuse any booking at their discretion. Artists will be required to provide either samples or photographs of their work prior to a booking being accepted. This is to ensure that the quality of the work on display is of a high standard. There is a 10 refundable cash deposit for Gallery Key. Please pay on receipt of key. This will be refunded on return of key. Opening Hours & Arrangements The normal opening hours for The Gallery are 10:00am to 4:00pm Tuesday to Saturday. These maybe extended with prior consent. If you wish to plan an extra event, such as a preview evening, please discuss your requirements with Wendy. Please note the Gallery has no PRS Music Licence.
Please arrange for collection of keys from Wendy in the Gallery during the week prior to your exhibition opening. The Gallery is available for setting up on the Monday of the week of your exhibition. Please ensure the Gallery is cleared by 5pm on the Sunday your exhibition closes. Between Wednesdays and Fridays the Administrator is on site to steward in the Gallery. It is the responsibility of the Hirer to steward their exhibition on Tuesdays and Saturdays. We would suggest no more than two persons steward at any one time in order to allow the public comfortable access as the Gallery is a compact space. It is the responsibility of the hirer to undertake their own advertising for their exhibition and the packaging of their products. We will place information about your exhibition on our website and in our social media marketing. Please provide us with quality images for this purpose. Facilities available. Use of walls, display boards, glass cabinets and cubes as requested on the booking form. Desk and Chair Use of PDQ machine charged at 5%. Please note the following additional conditions. The Gallery and the grounds of the Fairground are strictly non-smoking. The Hirer must provide a copy of their public liability insurance. The Gallery undertake to take due care and attention to all items on display or in storage, but will not be held liable for any accidental damage, theft or fire. Exhibitors allow their items to be displayed and stored on site at their own risk. The Hirer is responsible for any damage or loss however caused to the premises, fittings and contents of the Gallery. The Hirer must pay particular attention to the condition of the wall and not use their own fixtures and fittings. The Hirer will be responsible for supervision of the Gallery, fixtures, fittings and contents, for their care, safety from damage and the behaviour of all persons using the premises.
Please check before moving any of the furniture in the Gallery. The desk must not be moved. The Hirer agrees to reimburse all costs arising from such damage or loss. The Hirer shall only use the premises during the agreed Period of Hire for stated Purpose of Hiring. The Hirer will not sublet part or whole of the gallery. The Hirer shall ensure nothing is done on or in relation to the Gallery in contravention of the law or which might render invalid any insurance policies thereof. If the Hirer brings any electrical appliances in to the Gallery, these shall be used properly, be PAT tested and comply with current regulations. The Hirer must conduct a risk assessment including a fire risk assessment. The Hirer shall ensure that he is aware of the location and use of fire equipment, the escape routes, their proper operation and the need to keep them clear. The Hirer shall ensure there are no obstructions so that there is access to the toilets from the tearooms for disabled people. The Hirer shall ensure that the minimum of noise is made on arrival and departure. The Hirer shall not provide any food or refreshment without prior consent from Ewe and I Tearooms. At the end of the period of hire the Hirer shall leave the premises and surrounds in a clean and tidy condition, the furniture and fittings cleaned and in their proper place. The Hirer must ensure all rubbish and waste is removed from the site and legally disposed of. The Hirer must record all PDQ sales on the form provided and the CIC will issue a cheque for money received after commission, less 5% to cover card sale costs. PDQ monies are paid after the credits have been received by the CIC and the accounting procedures completed so reimbursement usually follows at a later date. The Hirer must not obstruct or detrimentally affect the sale of other products by the CIC or Ewe & I Tearooms. The CIC reserve the right to alter or amend the terms and conditions at short notice.
