Access to Web Outlook via the Intranet Outlook will replace MOX as CVHP s official method of communication. Web Outlook is limited to inside CVHP for staff. To access Web Outlook on the Intranet page, click on the Web Outlook tab located on the left hand side. Log in Instructions At the User name field, enter your Active Directory username. At the password field, enter your Active Directory password. This is the same username and password you use to sign on/log in the computer. Basic Navigation The left side is the navigation pane. It displays all your folders. It contains: o Inbox ( Mail For You) o Drafts (Emails you started but didn t finish yet. It is saved here) o Sent Items ( Mail sent By You) o Deleted Items o Junk E-mail ( SPAM) Click on any folder to display the messages in it. The Menu Bar The menu bar on the top contains items that indicates Action: o New: Create a new email o Delete: Delete an email o Move: To move an email from one folder to another. o Filter: Helps you search for emails using multiple criteria. To search for emails sent from a certain person or for emails flagged, etc. o View: Ability to group all messages with the same subject line together. Allows you to change the reading pane ( email content appearing at the bottom or to the right). The Reading Pane A view of the Messages, and the Reading pane on the right side. Ability to perform multiple actions by right clicking on the email content in the Messages section. Right click on any email Go through the list of actions available. Encryption It is mandatory to encrypt email containing Protected Health Information (PHI) or Personal Information (e.g. name and social security.) Typing the word encrypt anywhere in the subject line will trigger Encryption. It is best practice to always use the word encrypt regardless if your message is sent internally to another employee or to an outside email-to avoid an accidental send without encryption. How to password protect your attachment If you are sending attachments containing PHI or Personal Information, it is mandatory to password protect the attachment before emailing it to the recipient. It is CVHP Best Practice to password protect all documents you attach on an email. In Microsoft 2007, to password protect a document: o Click on the start button o Click on Prepare o Click on Encrypt document o Create a password In Microsoft 2010, to password protect a document: o Click on FILE o Click on Info o Click on Protect Document o Choose Encrypt with Password o Create a password 2 Web Outlook User Guide V3.1 11_21_14
Reply to an email (Forward) Reply is used to reply to ONLY the sender of the email. Reply All is used to reply to the sender and all recipients on this email. Forward is used to forward this email to another audience group that was not included on the original email. Forward as Attachment is used if you are creating a new email but attaching this email thread on the new message. Mark as Unread is used to mark an email as unread. Right click on the email Click on the option needed. How to attach a file Click on New (or reply) from the menu bar to create a new message. Click on the paperclip icon to attach a file. Locate your file from your documents folder or from your desktop. Double click on your file and it will automatically be attached to the message. How to create a distribution group To create a Group; this is the equivalent of distribution groups in MOX. On the left side, under the navigation pane. Click on Contacts. Group Set up Once you click on Contacts, click on NEW. Click on the arrow to the right side of the New button to display the drop down list. Adding members to your new group In the new group widnow, enter your group name. In the Members field, start entering part of the staff last name, a list of names with this last name will start to show up and you can select your member. At the notes section, you can add information about the group. Click Save and Close when you are done creating your group. Managing your group with adding or deleting members From the main Inbox screen, click on Contacts. Under Show on the left side, click Groups. Your newly created group shows up. How to create a new folder ( Cabinet) This will act like Your Cabinets in MOX. Right click on Inbox on the left side. The inbox is where your new folder will exist. Click on Create New Folder New Folder/ Cabinet set up Type in the Folder name. Your folder is now created. Move emails to the new folder To move emails to the newly created folder. Right click on any email to move it to the new folder Click on Move to Folder. Select your newly created folder 5 Web Outlook User Guide V3.1 11_21_14
Emails with attachments Emails containing an attachment will have the paper clip icon in your inbox. On the email itself on the Attachments line, you can see the attachment document type and document name. Double clicking on the attachment itself opens the document for review. How to save an attachment on an email (For users with their own PC assignment) From the email, right click with the mouse on the attachment. Click on Save target as. Save attachment in your PC Once you click on Save target as. A widow appears so you can save the document. The top window displays the location where you are about to save the document. The file name appears as well. Click Save If you need assistance please ask your manager or super user.
