MaaS360 Secure Productivity Suite (SPS): Secure Mail User Guide MaaS360 Secure Mail protects the content of your corporate email, your contacts and your calendar. Depending on your organization s security requirements, you may not be allowed to forward emails out of the container or to an app, and you may not be able to paste content from an email or attachment outside the container. To access MaaS360 Secure Mail, tap. The Inbox Your Inbox appears on the left, with a preview of the first message on the right. 1. Home: returns you to the container 2. Inbox: displays the Inbox on the left side of the screen and shows the number of unopened emails 3. Checkbox: allows you to select multiple emails so you can move them to a folder or delete them 1

Swipe down on the Inbox (the left pane on the screen) to refresh Managing your emails Tap an email in your Inbox to display it full screen. Tap the icons at the top of the screen to manage your emails: 1. Home: returns you to the container 2. Inbox: displays the Inbox on the left side of the screen and shows the number of unopened emails 3. Up and down arrows: shows the previous or next message, respectively 4. The email s place in your Inbox with the total number of emails 5. Flag: highlights the email 6. Folder: moves the email to a folder 7. Trash: moves the email to the Trash folder 8. Arrow: displays a menu that allows you to reply, reply to all or forward the email 9. Create: create a new email MaaS360 Secure Mail will display the number of attachments. Tap the plus sign to see a list of them. Tap the individual attachment to open it. 2

Tap a document to download it. Tap to download pictures, spreadsheets, presentations, etc. You can swipe from right to left on an email to display choices for that email: 1. Edit settings: change the reminder durations to Later Today, Tomorrow, This Weekend and Pick Date 2. Flag: highlights the email 3. Mark as unread/read: tap to toggle the Message Read flag on and off 4. Send to folder: move the message to a folder 5. Trash: send the email to the Trash folder Creating an email To create an email, perform the following steps: 1. Tap to see a new blank email. 3

2. Enter the email address in the To field. As you start typing, a list of possible recipients appears. Tap the one you want. You can also tap to see your contacts. Tap it to add this contact as a recipient. 5

3. Enter the subject. MaaS360 Secure Mail automatically provides words at the bottom of the screen as you type. If one of those words matches what you are entering, tap the word to enter it where you are typing. 4. Tap the exclamation point to mark the message Important. 6

5. Tap the paper clip icon to attach a file to the message. You can take a new picture, choose an existing picture or send a document as an attachment. If you choose to send an existing picture from the camera roll, your choices will be displayed. Tap the one you want. You can choose the size larger files may be too big for certain email systems. 7

The picture is now attached. 6. When you are finished, tap Send to send your message. Messages in a conversation or thread MaaS360 organizes the messages into conversations, or threads, specifying in the Inbox how many messages the thread contains. Tap the message in the Inbox to see all the messages in the thread. You can delete message by tapping and then selecting the emails you want to delete. If you do not want your emails to be organized in threads, go to the container settings Conversations setting. and turn off the 8

Managing emails in folders Tap the folder icon to see your folders. Tap a folder to see the emails it contains. The name of the folder appears at the top. Tap the folder icon at the bottom to return to the list of folders. 9

Calendar Your corporate calendar will appear inside the container. Tap to see it. Views There are three views, available by tapping the appropriate label at the top of the screen. List With the List view, your calendar items are on the left and the day s schedule is displayed on the right. Each calendar item includes the name, location and time of each meeting. 10

You can tap a meeting on the right side to see details about it and update it if necessary. 11

Day The Day view shows the month on the left and the day s schedule on the right. All your meetings for the day are listed under the calendar. Tap different days to see meeting information about them. Tap a meeting on the right to see details about it and update it if necessary. Week The Week view shows all meetings for a week. 12

Tap a meeting to see details about it and update it if necessary. 13

Managing meetings Start typing in the Search field to help you find a meeting. When you find it, tap it to display details about it. 14

Tap Late to let the meeting s host know that you will be late: 15

You can also reply to the invitation or forward it as you would forward an email. 16

Creating an event Tap the plus sign at the top of the screen to add an event. Enter information following information about the meeting. The user interface is designed to be similar to your device s calendar: Name Location If it is all day When it starts and ends If it repeats Invitees Alert How to display this time on your calendar 17

You can add invitees as you would add contacts for an email. Click the plus sign to see your contacts, or start typing a name to see a list of possible invitees. Specify: If the event will repeat (Never, Daily, Weekly, Monthly or Yearly) The times you would like to receive an alert about the event Which calendar it should appear on What the event should show as on your calendar (Free, Tentative, Busy, Out of Office) Notes Select the checkmark to send the invitation. 18

Receiving an invitation Invitations will appear in your Inbox, which is displayed at the bottom of your calendar. 19

Tap the Inbox to display your invitations. You can: Accept Accept tentatively (maybe) Decline 20

When your reminders appear, tap Options to receive additional reminders. This allows you to be reminded again. Reminders also appear on the Home page. 21

Contacts The container can hold both personal and corporate contacts, but you cannot export your corporate contacts outside the container. To access your contacts, tap in the container. Your contacts are listed in alphabetical order on the left, with details on the right. 22

Work: create a new email using the contact s work email address 6. Envelope: create a new email using the contact s personal email address 7. Displays all contacts on the left (toggles with Favorites) 8. Displays only favorite contacts on the left (toggles with Contacts) Creating a contact Tap the plus icon at the top of the screen to display the Add Contact screen. 23

Enter details about the contact and tap Save. Tasks If your organization uses Exchange/ActiveSync, the tasks that you create can be synced with your device. Tap to access your tasks. Pending tasks appear on the left, and details about the highlighted task appear on the right. Overdue tasks appear in red. 24

Search: start typing in this field to find a specific task 6. Add Task: enter the name of a new task 7. Forward: send the task in an email Managing Tasks Tap the More icon at the top of the screen to expand the choices. 25

Sort By Due Date: sorts your task list by due date Show Completed: shows completed tasks, which are hidden by default. Tap Hide Completed to hide them again Task Folders: display task folders, allowing you to manage your tasks Select: tap tasks to select them, and then tap Move or Delete at the bottom of the column Tap a task when it has been completed. Adding a Task To add a task, start entering a task name in the Add Task field. Tap Done on the keyboard when you are finished. 26

Tap Forward to send this task to someone as an email. Specify if you want a reminder about the task. 27

Tap Repeats to specify if the task repeats (and how often). 29

Tap Due On, and then swipe up and down to set the due date. Tap to set the priority and to specify the folder it should be stored in. Enter notes as necessary. When you are finished tap Done at the top of the screen. 30
