AP INTEGRATION Serengeti Managed Web Service Overview This document overviews the process of integrating Serengeti Tracker with an accounts payable (A/P) system through a Serengeti Managed Web Service. The document consists of three parts: 1. Serengeti Managed Web Service Overview. 2. Frequently asked questions. 3. Questionnaire to be completed and returned to Serengeti for a professional services estimate. SERENGETI MANAGED WEB SERVICE OVERVIEW Serengeti Tracker is the most widely used corporate legal department e-billing solution. As such, many Serengeti clients would like to implement a feed of approved invoice data from Serengeti Tracker to their A/P system. This diagram shows how a Serengeti Managed Web Service facilitates the integration. 1. Serengeti Tracker batches invoices that have been fully approved. 2. A Serengeti Web Service accesses approved invoice data from Serengeti Tracker and makes the invoice data available through a SOAP-style API. 3. Through the API, a Serengeti Integration Application extracts the approved invoice data and transforms the data to meet your A/P system s upload requirements. 4. The Serengeti Integration Application loads the modified invoice data to your company s SFTP server. 5. Your company programs the transmission of the approved invoice data from your SFTP server to your A/P system. Note that if necessary, Serengeti can provide an SFTP server to facilitate the following process: The Serengeti Managed Web Service can also enable a reverse feed of payment information from your A/P system back to Tracker. To accommodate this, you will need to land an AP Reverse Feed file on the SFTP server that Serengeti s integration application monitors. Frequently Asked Questions HOW LONG DOES A SERENGETI MANAGED WEB SERVICE AP INTEGRATION TYPICALLY TAKE? Serengeti Professional Services can typically complete the project within 30-90 days from a project start date. The project usually consists of these phases: (1) Gathering requirements (e.g., SFTP credentials), (2) Data mapping from Serengeti Tracker output to AP system input requirements, (3) Programming the delivery routine in Serengeti s integration application, and (4) User acceptance testing. IS SERENGETI PROFESSIONAL SERVICE MY ONLY OPTION FOR INTEGRATING WITH MY AP SYSTEM? No. Serengeti can provide your company with an A/P Web services account to access the Serengeti Web Service Server, a software development kit, and limited support for your company to build the integration on its servers. However, many Serengeti clients opt for a professional service engagement for various reasons, including: (1) Lack of an in-house integration application, and (2) Lack of IT/programming resources, availability and timing of IT/programming resources, or experience with a SOAP-style API. WHAT ARE THE FEES FOR THIS SERVICE? The fees consist of two parts: (1) A one-time fee for Serengeti to build the integration (usually ranges from $1,000 - $15,000), and (2) A monthly hosting fee of $500 for ongoing maintenance and support. WHY DOES SERENGETI HAVE A MONTHLY HOSTING FEE IN ADDITION TO MY TRACKER SUBSCRIPTION? A Serengeti Managed Web Service requires additional hardware, software, and support completely separate from maintaining a Serengeti Tracker database: 1. The integration application and process is hosted on a dedicated Serengeti integration server. This server is separate from the server that hosts your Tracker database. It requires ongoing maintenance, including hardware and software upgrades, and resolution of any hardware issues that may arise. 2. Serengeti pays for a license to a third-party integration application designed for these integration projects. This software is used to benefit clients who opt for a Serengeti Managed Web Service. 3. Serengeti has a separate integration team to support the integration process. This team provides ongoing monitoring services for both the server and the integration process. It also manages any connectivity issues with the SFTP site. WHAT DO I NEED TO PROVIDE SERENGETI TO RECEIVE A COST ESTIMATE? Please complete the following questionnaire and return it to Serengeti for a cost estimate.

Questionnaire to be completed and returned to Serengeti 1. Please provide the name(s) and version(s) for each AP system you want integrated. 2. For each AP system identified in #1, please provide an example of each system s invoice import data file and any file specifications. 3. For each AP system identified in #1, how many different Tracker AP routes will be included in each integration? 4. In addition to approved invoice information in a data file format, please specify whether you want the invoice information delivered to the SFTP in another format such as: a. Copies of attached invoices and supporting documents b. A zip file of invoice summary documents (HTML format) c. Individual invoice summary documents (HTML format) d. Individual invoice summary documents (PDF format) If you want a Tracker Reverse Feed of invoice payment information, please specify whether you can provide the standard file format described in the attached document Accounts Payable Reverse Feed: File Format Specifications. 5. If you cannot provide a file formatted per these specifications, please provide an example of a file you can provide and any file specifications. (If applicable, please provide for each AP system identified in #1 above.) 6. What is your target completion date for this project? ACCOUNTS PAYABLE REVERSE FEED File format specifications Serengeti Tracker includes the Accounts Payable (AP) Reverse Feed feature that enables companies to post invoice payment data into Tracker. This feature has two main benefits: First, legal vendors can log in to their Tracker systems and check payment status. Second, by updating the exchange rates in Tracker for foreign currency invoices, law departments can much more easily reconcile spending amounts in Tracker compared to their AP systems. This payment upload can be accomplished through the Tracker interface or through the Serengeti Tracker AP Data Exchange Web Service. AP REVERSE FEED FIELDS Only one field is required in the AP Reverse Feed file the Invoice Number. You can also include a number of optional fields. However, note that if there are multiple invoices from different firm offices with identical invoice numbers, then the Office Vendor ID field becomes required as the secondary identifier. Any fields other than those shown below will be ignored when you upload your file. FIRM_NAME String 100 No PAYMENT_DATE Date Variable No Must match format chosen by user during upload. A blank value will be ignored. PAYMENT_EXCHANGE_RATE Decimal Variable No Must be greater than 0 or the value will be ignored. USAGE NOTES The first row in the file should be the header row that lists the columns that are present in the data file. The fields may be in any order. The header row is evaluated to determine the position within the file. If the Tracker interface is used to manually upload the file, then the file delimiter and date format must match the formats chosen when the file is uploaded (see below): Note: If the company has more than one invoice from different firm offices with identical invoice numbers, then Tracker uses the Office Vendor ID as the secondary (required) identifier.
