My Profile and User Manager These tools allow you to manage user information assigned to your account. Log into your Workopolis Employer Account. Under the My Account Settings menu, select either: My Profile User Manager The following steps will guide you to successfully update your personal profile and manage existing and new user accounts on Workopolis.
My Profile Update your personal information in your profile on this page. Click Submit to save your changes. All User Levels can update their personal information. Note: All mandatory fields are identified with an asterisk.
User Manager You have the ability to manage your list of users. You may create new users, update a current user including the option to reset the password and delete user accounts. 1. Create New Users: Click Create New User Assign an access level to the new user* Complete all required fields Click Submit to save the information 2. Existing Users: Click the Username of an existing user to open their profile Update any necessary fields Click Submit to save the updated information Note: If a user forgets their password, simply select the Reset Password checkbox to send a new temporary password. 3. Delete Users: Select the checkbox beside the appropriate user(s) Click Delete at the bottom of the list On the next page, click Yes to delete the user(s) * See next slide for an overview of each Access Level User
Workopolis has four user access levels. Below is an overview of the features available to each user level. Level 1 Administrator Highest Level any jobs in the system Search, view and delete the entire applicant list Level 2 Recruiter any jobs in the system Search and view the entire applicant list in the system Level 3 User their own jobs Search and view your own applicant list Level 4 Hiring Manager Lowest Level their jobs from the draft and archive folders Search and view their own applicant list private and all public e- mail templates private e-mail templates private e-mail templates private e-mail templates Search and view Candidate Connect (if purchased) Search and view Candidate Connect (if purchased) Search and view Candidate Connect (if purchased) Send a Request To Open a job to a Level 1 or 2 user Create, update and delete Access Level 2, 3 and 4 users Create, update and delete Access Level 3 and 4 users Manage Company Profile section
Company Profile This tool allows the Level 1 Admin User to manage the company information such as the logo, description and website. The content will be automatically added in all job postings created by anyone in your company with a Workopolis user account. It can be updated at any time and the changes will apply to the existing and new jobs posted on Workopolis. Under the My Account Settings menu: Click Company Profile On the next screen, click the Edit button Click OK on the Edit Company Profile popup box Note: To avoid the popup message again, check the Don t show this message again box before clicking the OK button.
Company Profile (cont.) Update the below fields with your company information: Website Logo Short Company Description (max. 3,500 characters) Industry Company Size Click the Save & Apply Changes button to complete the process. Notes: All fields may be completed in English and/or in French. The Logo Specs are: image file in either JPEG, GIF, or PNG format, dimensions 88 x 31 pixels, file shall not exceed 100 KB
Email Templates This tool allows you to manage commonly used email messages you need to send to candidates. Under the My Account Settings menu: Click Email Template Click Create New to create as many templates as needed Click Save to save your new email template Email Template Assign a name to your template to recognize which one to use. For internal use only. Subject Enter the email subject you want candidate to view Message Personalize your e-mail message and use the following text symbols to merge applicant and job information into the message. #APPLICANT# will be replaced by the candidate s name #JOB# will be replaced by the job title of the position to which the candidate is applying Note: The Viewed by All and Private options are only available to Level 1 Admin User. Viewed by All templates are shared with everyone in your company with a Workopolis user account.
Email Templates (cont.) Manage existing email templates Select Template Choose an email template from the list and click View. All User Levels may only edit their own templates. Save Once you have updated your template, save the changes. Delete If you no longer need a particular template delete it. Note: A Viewed by All template can only be modified by a Level 1 Admin User.
