Data LAMPS provides 16 ways to review the member data in LAMPS. A list is provided for each step when there is inconsistent data, so the membership coordinator can review the item, and go to Member or Office Profile to correct the issue. Secondary/Primary Mismatch NAR rules state that a member cannot be a Primary and Secondary member of the same association. A mismatch typically occurs when a primary member transfers membership to the association that holds secondary record. If the association does not deactivate that secondary record, the member will show as Secondary/Primary Mismatch Secondary/Primary Same NAR rules state that a member cannot be a Primary and Secondary member of the same association. This issue typically occurs when a primary member transfers membership to the association that holds secondary record. If the association does not deactivate that secondary record, the member will show as Secondary/Primary Same. Disconnected Secondary Members This identifies Members that are in the association data base without a primary record. This typically occurs on the initial install of LAMPS. If there is a mismatched record, please call LAMPS Support for assistance in correcting that particular record. There are 16 areas in Data that will help associations keep their member records in order.. Data is a tool to assist the association in displaying inconsistencies in the data. Data is extremely important during dues billing. If the association s records are clean in Data, then invoices will be created for the correct member types and subclasses. All required fields in the LAMPS system read each other. If any of these areas in Data are incorrect, it can affect Dues Billing, Membership Mailing, Member Rosters etc. It is very important to keep membership records up to date. LAMPS recommends running data validation on a monthly to ensure data is current and correct. In the example listed below you will see that Primary and Secondary Record have Association ID 7475. To correct this record go to Member Profile search for this member and inactivate the Secondary record located on the 1

A list is provided for each step when there is inconsistent data, so the membership coordinator can review the item, and go to Member or Office Profile to correct the issue. Primary Members w/o Type, Subclass Reveals members in your data base that do not have a Member Type or Subclass. Each member needs to have a member type and subclass for dues billing to process correctly and to have rosters run correctly. Primary Members w/o NRDS# Primary members without a NRDS Number. In order to interface with NRDS correctly, all primary members must have a NRDS number (if the Is a NRS Member Box has been checked) Primary Duplicate NRDS Numbers Primary members with duplicate NRDS numbers. To correct this, remove the NRDS number from the record and resave. This will assign the member a new NRDS number. Secondary Duplicate NRDS Numbers Displays secondary members with Duplicate NRDS numbers. A secondary member already has a NRDS number assigned to them by their primary association. Log in to NRDS and confirm their NRDS number before making any changes. 2

A list is provided for each step when there is inconsistent data, so the membership coordinator can review the item, and go to Member or Office Profile to correct the issue. Primary Duplicate Member Numbers Shows primary members with the same member number. To correct, delete the member number and resave the record. LAMPS will reassign a new member number. Note: When there is no Member number for multiple members, these members will be listed here. Primary Member without Office All primary members need to be assigned to an office. If a member record does not have an office assigned, it will not send to NRDS. To resolve, confirm the member s office affiliation and assign the correct office number in LAMPS. Secondary Members w/o Office A record will show in this report if, when adding a secondary member to LAMPS from NRDS, an office record was not added to the member record before sending to LAMPS. The record is not complete until all required fields have been populated. Improperly Formed Preferred Addresses When a member s preferred address is not properly set up, ie blank, no zip code, etc., the record cannot be saved properly. Preferred mailing is a required field. Association mailings are pulled from this field as well as member rosters. 3

Association mailings are pulled from this field as well as member rosters Primary Members Bad Subclass When a member is being transferred from one board to another, the member record will need to be reviewed to make sure all information is correct and up to date. Subclass is an important field in LAMPS that needs to be current. The Primary member subclass field is used in dues processing, as well as in the rosters. Secondary Members Bad Subclass If the subclass field is not populated when adding a secondary member in NRDS, that error will show up here. When the association adds the correct subclass, the member record will be current. The Secondary member subclass field is used is used in dues processing, as well as in the rosters.. A list is provided for each step when there is inconsistent data, so the membership coordinator can review the item, and go to Member or Office Profile to correct the issue. User Name Password Offices Invalid Type Offices are recognized by Type in LAMPS. These types are set up in LAMPS at time of installation. The association will need to select an office type when setting up office. Office type is used in billing offices and in pulling member rosters Members with Dues Waivers Members who have their dues waived will show in this Data section. There are eligibility requirements for waived dues. The association will need to contact their State Board and NAR for clarification on Waived State and National Dues. If members are listed in this section, they will not receive a dues bill. It is important for the association to verify that all members shown in this section should be removed from dues processing. Members with Duplicate Usernames This data validation lists Members who have duplicate user names to log in to the member web page. To correct this data validation go to Membership>Member Profile for that member>manage Login Tab and change the user name. LAMPS will not permit duplicate user name login credentials. When there are duplicate User Names the Association should change the user name on one of the records to reflect a unique login. For Example: Change the User name for Joseph Scarp to his NRDS number and these records will no longer list as duplicate. Go to Membership>Member Profile>Search for the Member> Select the Manage Login Tab and change the User Name field. 5
