2012 NCVF COLLEGIATE CLUB VOLLEYBALL CHAMPIONSHIPS Conducted by the National Collegiate Volleyball Federation (NCVF) in cooperation with USA Volleyball (USAV) Kansas City, Missouri April 5-7, 2012 Road to Kansas City Newsletter As the NCVF Collegiate Club Volleyball Championship Tournament quickly approaches, this newsletter is to help communicate reminders and announcements to prepare you for your trip to Kansas City, Missouri. NEWSLETTER IN ITS ENTIRETY. READ THIS Event Amenities: 1. Enhanced Behavior Policy As the event continues to grow, enhancements to the behavior policy are in order to ensure security and safety of all participants and spectators. As such, we have stepped up the efforts and sanctions for inappropriate conduct. We need everyone to pitch in to make this NCVF Championship Tournament safe and secure for everyone. Please communicate this to all players on your team(s) that the leagues/conferences, NCVF, and USA Volleyball will not tolerate violations of the NCVF Championships Behavior Policy, NCVF Code of Conduct, the USA Volleyball Code of Conduct, applicable league codes of conduct. The NCVF has stepped up security, and implemented the USAV Arbitration System. An Arbitrator will be issuing infraction reports that will be communicated back to university administrators, a triage of reporting and communication channels, and will be working with law enforcement to assure that these expectations are met. 2. Oversized Feature Courts Six oversized feature courts will be utilized throughout the event for feature matches with additional seating to accommodate larger crowds. 3. Action & Team Photos ClubVolleyballPhotos.com will be the Official Photographer for the event and will be on hand at the tournament to shoot both team and action photos. You can sign up online now to request photographers at your match by completing the online request form or stop by and signup at the photo booth in located in the Vendor Booth Area in Hall B. For action photos, you will be able to

request a photographer to shoot your matches and view/purchase prints or full CD s online following the tournament. For team photos, you will be able to setup a time to take a team shot on your schedule. Don't wait - Signup today to request a photographer to shoot your matches! 4. 2012 Player Party hosted by the College Basketball Experience (CBE) A player party will again be offered for all participating teams, players, and coaches immediately following the Men s Division I Finals and Awards ceremony. The party was a HUGE success last year with over 1000 players taking part in the fun. There will be with live DJ music with large dance floor, snacks and non-alcoholic beverages will be available for purchase at a snack stand. No alcohol will be allowed and all bags will be searched upon entry. The player party will be at the College Basketball Experience located at the new Sprint Center directly across from Kansas City's Power & Light District from 9:30PM - 2:00AM. There will be a $3 cover charge for all participants. 5. Text Messaging Updates - Text message updates for important event announcements and reminders will be offered to all team captains to receive information from the Championship Desk. This information is collected from the information that you provide on the Pre-check-in Form on the vbreg registration system. It is important that the information is accurate. Incorrect or returned text messages will result in the information being immediately deleted and no further communication from the championship desk will be sent to incorrect numbers provided. 6. Lucky Dog Volleyball - Volleyball Merchandise - Stop by the Lucky Dog Volleyball booth for your official tournament t-shirts. Price is $18. Stay a minute longer and chat with the Lucky Dog staff ( Chad and Kim, who is former club player for the North Carolina State women's club team). Molten Booth Molten is the official ball of the tournament once again this year and will have Molten products for sale at the Molten Booth located in the Convention Center Vendor Booth Area. Be sure to stop by and check out the Molten balls and products and purchase some new warm up balls for the occasion. 8. Mizuno Onsite Store - Mizuno will once again have an onsite store at the NCVF Volleyball Championships this year stocked with the latest apparel, shoes, kneepads, and accessories. Make sure to stop by to check out and purchase these latest offerings. Mizuno reps will be onsite to assist you with the right Mizuno products for your needs. FCA (Fellowship of Christian Athletes) A group of players are organizing some opportunities for christian fellowship at various times throughout the championships. Anyone interested in helping lead, organize, or provide music should also contact Ben with their information. Event Facts & Reminders

1. Registered Teams The tournament has once again eclipsed the record number of entries with a total of 360 teams across 9 divisions that completed the registration process with a breakdown of 192 men s teams & 168 women s teams, marking a 24 team increase over last year. 2. Enrollment Verification Form - The ENROLLMENT VERFICATION/PLAYER CERTIFICATION FORM IS NOW AVAILABLE online at www.vbreg.com for you to print out and take to your University Registrar for certification. This form MUST be completed and presented during the check in process in Kansas City. 3. Team Check-in/Registration All teams are required to complete the Team Registration & Check-in Process on Wednesday, April 4, 2012 from 4:00PM - 8:00PM at the Kansas City Convention Center. Teams are required to complete multiple stations during check-in process including: <Teams will be able to qualify for a SPEEDPASS for expedited check in process more information on how to qualify will be communicated in th next few days> a. General check-in Teams are required to provide onsite contact information and provide the Enrollment Verification Form for validation. b. Uniform Verification Teams must bring samples of any jerseys that will be used during the tournament, including libero jerseys, for inspection and approval by tournament officials. c. Roster Verification Team captains will be required to update/verify the team roster and numbers assigned to each player entered in the registration system. d. Mandatory Captain s/coach s Meeting (April 4 @ 8:15 pm) Every team must send a representative to this meeting and turn in the completed Registration Checklist. Teams checking in after 8:00 PM will be charged a late check in fee of $50. Payment must be made in cash only. Changes are restricted to completing information which was partially submitted. Teams that have not completed and submitted all required forms will be required to complete all documentation in a separate check in station before completing the check in process. Teams that have all documentation completed will have a quick check in experience. 4. Practice Times - Signups for team practice times are available on the NCVF Website on March 15. Court layout and court assignments will be available at the entrance to the playing venue. http://ncvfvolleyball.org/requestpracticetime.aspx 5. Online Daily Results Updates -- The NCVF National Collegiate Club Volleyball Championships home page will be updated daily. All results will be updated throughout each day of competition and will be accessible 24 hours a day starting Wednesday, April 4, 2012. Playing Venue -- The NCVF Championships will use 48 courts inside the Kansas City Bartle Hall Convention Center and most championship matches will be played in Municipal Auditorium located just across the street for the Saturday Gold Division Finals. Play will be staged in morning and afternoon waves on Thursday and Friday and will begin each day at 8:00am and end around 9:00pm. 7. Programs/Schedules Programs and divisional schedules will be included in each team registration packet. Tournament programs and divisional schedules also will be available for purchase at the Championship Desk throughout the event.

8. Trainers -- Athletic trainers will be available to assist with athletic injuries and preventive care throughout the tournament. They will have access to ice. Please bring your own tape and pre-wrap. There will be a charge if you do not bring your own supplies. 9. Water Use During Competition -- Teams and players are required to supply their own water bottles that may be filled between games at water fountains in the facility or teams may bring in bottled water/sports drinks. However, no other outside coolers/food are allowed in the Convention Center. 10. T-Shirt Exchange -- A t-shirt exchange will take place prior to the Men s DI finals on Saturday night in the Arena so bring your extra team t-shirts and trade them off for those from other teams throughout the country.. There will be announcements regarding the location and time so be sure to bring your shirts to trade with your fellow competitors. 11. All Tournament Selection - Gary Colberg, Director of Competition will be overseeing the ATT selection process. Details will be discussed at the coach s meeting on Wednesday night. The ATT Selection committees additionally will select and present a team sportsmanship award to one men s and one women s team exhibiting exemplary sportsmanship throughout the event. 12. Awards Ceremony - The Awards Ceremony will follow the Men s DI Finals at the Championship Arena. Presentation of the Men s DI Gold Division finalists will be announced as well as all-tournament teams for all divisions. The medal presentation for all other divisions will take place immediately following their respective championship match. 13. Oh Say Can You Sing.. Once again, play will commence each morning (Thur., Fri., & Sat.) and prior to each championship match with live renditions of the national anthem offered by your fellow teammates and competitors. If you or someone on your team has a talent to sing and is interested in singing the National Anthem, please contact Gary Colberg gjcolberg@gmail.com or 530-400-5698 (C) to sign up for one or more days and times. A meeting will be held after the Captains meeting to confirm all of the singers and their respective dates/times. Singers are requested to arrive at the Championship Desk in the Convention Center on the day of their confirmed time at least 10 minutes prior to the listed times. 14. Team Travel Delays/Emergency Onsite Contact - READ BELOW BEFORE CALLING THIS NUMBER. Keep us posted on any travel problems that will cause delay to your mandatory team check (i.e. - weather problems delaying flights) by contacting us at Championship Emergency Tournament Hotline Number. This phone number will not be activated until Monday, April 2, 2012 for: Calls for any other reasons than those listed below will not be addressed on this phone. The Emergency Hotline should only be used for the following reasons: Teams to communicate any URGENT issues with team attendance at the tournament Teams to communicate any travel delays and issues with arriving for team registration/captains meeting on Wednesday An EMERGENCY number for parents or school administrators to reach participants for Emergencies Only! Emergency Tournament Hotline Number - (832) 585-2010. Reminders: Rules & Guidelines

1. Team Officiating Responsibilities - Teams are required to provide a total of 6 support officials: 2 line judges, 1 scorekeeper, 1 Libero Tracker, 1 score keeper, and 1 flip scoreboard operator. Officiating assignments will be listed in the playing schedule and/or schedule updates. These assignments generally will be immediately prior to or after the match in which the team has played. Failure to provide officials as assigned will result in the following actions: a. 1st Offense: For every minute the officiating team is late, or does not appear, one point shall be assessed and given to their next opponent up to a 25-0 forfeit of the first set. This time calculation will begin at the designated warm-up time ten minutes prior to the time when the assigned match begins according to the match official. b. Additional Offenses: Forfeiture of assigned team s next set. 2. Photo I.D. Verification -- This will be done before every scheduled match throughout the tournament. BRING YOUR PHOTO ID WITH YOU TO EVERY MATCH! Make sure all of your players have their ID before you leave for the championships, and before you depart your place of lodging every morning. 3. Saturday Final Match Policies - The finals for most divisions will be held at the Championship Stadium Court located in Municipal Auditorium. The court will be set up for the finals only, with arena seating to accommodate all spectators. There will be a controlled access to the finals, and NO ALCOHOL will be allowed. Spectators arriving with bags will be searched. No spectators will be allowed on the courts at any time. Spectators on the court area will be dismissed from the championship venue immediately. 4. Recertification Form - The top four teams in each division and 5 randomly selected teams from each division will be required to fill out and submit a second certification form following the tournament. This second form must be filled out, signed and stamped by the registrar, and submitted between April 14 and May 14. The forms will be emailed to the selected team reps. Teams that fail to submit the recertification form, or have students that are not enrolled in the required number of credits, will not be allowed to enter the 2013 NCVF National Collegiate Club Volleyball Championships and may receive sanctions from their respective NCVF Conferences. 5. Jewelry Rule As a reminder, it is forbidden to wear hats or jewelry. An exception will be made for religious or medical medallions and a flat band ring worn on the finger. If worn, medallions shall be removed from chains and taped or sewn under the uniform. If a ring, other than a flat band, cannot be removed, it shall be taped in such a manner as not to create a safety hazard. No other exceptions will be made to this rule. The only taping that will be allowed will be for a ring, on a finger, that cannot be removed. 6. Hotel Noise Complaints - Teams staying at any tournament hotel should be aware of the hotel noise complaint policy: For first complaint, Hotel security will clear the room of any visitors not registered to that room and NCVF/USAV tournament staff will document the infraction. For a second complaint, Hotel Security will be instructed to evict registered room guests from the hotel. NCVF & USAV tournament staff will be fully cooperating with hotel security, hotel management, local law enforcement and others in an effort to protect hotel properties. Unacceptable behavior, noise, damage, etc. will result in removal from the hotel, and may result in arrest, tournament sanction(s), and conference sanction(s). All complaints and incidents will be reported back to University administration. 7. Inappropriate Conduct - We cannot emphasize enough how important it is for all players, teams, coaches, commissioners and representatives, all of our leaders, all our colleagues, friends and supporters, to get the word out that conduct, on and off the court, in and outside of the hotels and
