23rd Annual AIDS Walk Atlanta & 5K Run AIDS Walk Atlanta & 5K Run is a 5K (3.1 Mile) fundraising walk & run benefiting thousands of people living with HIV/AIDS in the metro Atlanta area. Sunday, October 20th/Piedmont Park Day of Event Time Line 7:00 am 5:00 pm Crew Check In (time depends on assignment) 11:00 am - 12:30 pm 5K Run Day of Event Registration 11:30 am 2:00 pm Check In (Walker, Runner, & EMC) 1:00 pm 5K Run Begins 1:00 pm 1:30 pm Pre-Ceremony Concert & Warm Up 1:30 pm 2:00 pm Opening Ceremony 2:00 pm 5K Walk Begins 2:00 pm 4:00 pm Late Check In (Walker, Runner, & EMC) 2:30 pm 4:00 pm Post Walk/Run Activities What is a team? Any group of people that registers and forms a team together to raise funds for AIDS Walk Atlanta & 5K Run. Teams range from 2 people to 350 people or more. What is my role as Team Captain? Recruit members to join your team and help them to fundraise. On event day, gather your team to walk together. Facts about teams In 2012, we had 551 registered teams. The average size of a team in 2012 was 9 people. The average amount raised by a fundraising team in 2012 was $1,574.78. The total raised among our 551 teams in 2012 was $662,984.66. Participants raise most of their money by asking their friends and family for support. Most participants did their fundraising online through the walk website: www.aidswalkatlanta.com The largest team in 2012 was Spelman AWA with 215 members. Teams can consist of walkers, virtual walkers, runners & crew.

AWA5K s online resources & tools make fundraising easier than ever before! You ll reach more people in less time, and you ll have more options for collecting those donations!

Reach out to your network of family, friends and colleagues. Let them know why this cause is important to you. People want to make a difference. All you need to do is ask. Send an email to everyone you know. Logging into My HQ makes it easy. There are email templates for you to use, you can personalize them or create your own. You can also access your address book and upload additional email addresses. Make phone calls or send personal letters if emails don t work for you. The message is the same please join me and my team and support our fundraising efforts. Do it again. The fact that people didn t respond right away doesn t mean that they don t plan on getting involved. They may need you to contact them more than once to get their attention. Fundraising Awards Fundraising awards are given based on each individual s fundraising efforts as outlined below. Those registered with a team will receive awards based on their individual efforts. Fundraising awards will be available for pick up on the day of the walk/run (from 12 to 4 PM) and at the AIDS Walk Atlanta & 5K Run office, while supplies last, beginning October 28, 2013. Fundraising Level Awards $10-$124 Official 2013 AIDS Walk Atlanta & 5K Run commemorative pin $125-$299 Official 2013 AIDS Walk Atlanta & 5K Run short sleeved t-shirt plus above $300-$999 Official 2013 AIDS Walk Atlanta & 5K Run hat plus above Extra Mile Club (EMC) $1,000-$4,999 Extra Mile Club (EMC) $5,000-$9,999 Extra Mile Club (EMC) $10,000-$19,999 Extra Mile Club (EMC) $20,000 and above Official 2013 AIDS Walk Atlanta & 5K Run Insulated Cooler plus above EMC members turning in $5,000-$9,999 will receive two e-cert (vouchers) good for economy class travel on Delta Air Lines within US 48 & Canada, excluding Alaska and Hawaii. Plus pin, shirt, hat & cooler.* EMC members turning in $10,000-$19,999 will receive two e- Cert (vouchers) good for economy class travel on Delta Air Lines between US/Canada & Europe. Plus pin, shirt, hat & cooler.* EMC members turning in $20,000+ will receive two receive two e-cert (vouchers) good for economy class travel on Delta Air Lines between US/Canada & Europe. Plus, a tree planted along walk route in your honor, pin, shirt, hat & cooler.* *All fundraising awards are per registered participant and are subject to change. Registration fees are not included in fundraising totals. Restrictions may apply for airline tickets. These vouchers will be awarded in January of 2014. IRS regulations require AID Atlanta to receive a completed W-4 form in order to award the vouchers. 1099 forms for vouchers awarded in January 2014 will be mailed by January 31, 2015. Flyers- customizable AIDS Walk Atlanta & 5K Run flyers with your choice of 6 different HIV/ AIDS statistics. Add your team name and hang it up for all to see. Money Collection Jar Wrapper- print the wrapper, add your name/team name and tape it to a coffee can or other container with a lid. Place your jar on your desk, break room or other high traffic area. Fill it up! Fundraising Thermometer- personalize it for you or your team. Post your thermometer in a common area and update your progress on a regular basis.

Boundless Fundraising is a Facebook application that enables you to extend your fundraising efforts. Once you have downloaded the application from My HQ, your friends will be able to check your fundraising progress and click on a link that allows them to donate to your efforts. Log into My HQ to get started. Create a Local Team Fundraising Event. Many of our walkers and teams create local fundraising events to benefit the AIDS Walk Atlanta & 5K Run. Our participants generate the ideas and organize these events. Our staff is always available to brainstorm with you about possible fundraisers. Fundraisers build team spirit and raise awareness in addition to raising funds. All the tools you ll need to create a successful fundraising event are on our website.

Thank your donors! While the Walk sends out acknowledgements to each donor for tax purposes, sending out a personal thank you is a great way to stay in touch with your supporters. Let them know they helped you reach your fundraising goal and remind them that 100% of their donations go to research. Send them an email, a letter or a postcard. Attach or enclose pictures of your team at the Walk. My HQ can help you track donations and stay in touch with your donors.

MOTIVATE YOUR TEAM MEMBERS Stay in contact with your team members. Send them emails with updates on your team and the AWA5K s progress. Keep track of your team s progress by logging into My HQ and clicking on the Report tab to view your Team Participant Report. Thank you and encouragement are two key words to keep in mind when it comes to motivating your team members to actively fundraise on behalf of the AIDS Walk Atlanta & 5K Run. Thank them for registering, donating and/or fundraising. Let them know how grateful you are for their support. Encourage them to fundraise by reaching out to their network of family and friends, and to thank their donors. HELP SPREAD THE WORD Get social! Social media is not just about fundraising. It s also about connecting with other walkers, having access to the latest updates about the Walk and raising awareness about the cause. Follow the Walk on Facebook, Twitter and YouTube. Refer to our Social Media Guide for more details. Request brochures and/or brochure holders. We encourage your supporters to register and fundraise online. We also understand that some people are still more comfortable registering and fundraising offline. Order brochures and holders to distribute to those supporters. Raise awareness about the AIDS Walk & 5K Run. Raising awareness results in more walkers raising more funds for research. Download posters promoting the AWA5K in your community. Be creative about where to post these flyers your place of business, doctor s office, local gym, coffee shop, cleaners, etc. Look for community bulletin boards in your area. Always obtain permission before posting the flyer. You are our best PR in your community!

CREATE TEAM SPIRIT Walk in Style Create a Team T-shirt. While walkers who have raised $125 or more receive the AWA5K t-shirt, many teams choose to create and wear their own team t-shirt. Our teams creativity is impressive! You might even consider selling your shirts as a fundraiser for AIDS Walk Atlanta & 5K Run! Travel/Meet at the Walk. Will you and your team members be traveling to the AWA5K together? Some teams are so large or travel from such a distance that they charter a bus to get to the Walk. Their experience of Walk Day begins the moment the bus gets on the road. If you re meeting at the Walk, make plans to find one another so you can walk together. Meet at the Team Meeting Area or another location of your choosing and make sure you have cell phone numbers for one another. Team Photo. Stop by the team photo booth to have your photo taken! Send it to your team members and donors after the Walk when you thank them again and share your team s and the Walk s success. Celebrate Your Success Together. The AIDS Walk Atlanta & 5K Run has become a reunion of sorts for so many of our teams. A number of them have created traditions that continue year after year. Whether you go to a restaurant, a pub, gather back in your community for a pot luck dinner, or part ways in Piedmont Park take the time to acknowledge one another for your part in creating another successful AWA5K and raising funds for prevention, education and care in the fight against HIV/AIDS.

October 15 th Teams Land & Top Teams deadline Team recruitment & fundraising totals will be tallied at 12pm on 10/15. We will determine the teams that will be eligible for following: Teams with 15 or more registered walkers/runners/virtual walkers will be provided with a table in Teams land for walk day. The top ten fundraising teams will be provided with a tent for their team to use on walk day. October 19 th 5K Run Online Registration Closes at 12 pm 10/20 IS THE LAST DAY TO REGISTER FOR THE 5K Run for $30. Registration closes at 12pm. Day of event registration available, $40. POST-WALK FOLLOW UP Thank your team members and donors. Share your experience of the day along with your team photo. When you thank your team members, encourage them to do the same with their donors. Continue to fundraise. The AIDS Walk Atlanta & 5K Run raises money year round and our teams create fundraisers throughout the year. Some teams are focused on the amount they have raised for the current year, so it is worth noting that all donations received by November 30, 2013 will be credited to that year s event. Donations received after that date will be credited to the following year s AIDS Walk & 5K Run. Register early. Matching gifts continue to arrive year round. The matching gift one of your donors requested may arrive after the end of October. You need to be registered for the following year s AIDS Walk Atlanta & 5K Run for you to be credited with that matching gift. Start planning for next year! TEAM TIPS If you re a returning team captain, don t forget to register using your username and password from last year. If you do, you will have access to those who donated to you last year, your address book, and past team walkers. Check the AIDS Walk Atlanta & 5K Run website and emails regularly for event details, information about our walkers and teams, and fundraising tips. Stress the importance of fundraising to your team members. The camaraderie and support that is created at the AIDS Walk Atlanta & 5K Run and the empowerment that results from education are important. At the same time, it is important that we remember our primary mission - to raise funds for HIV/AIDS prevention, education and care. Encourage all those who walk with you in Piedmont Park to register for the Walk either online or at Registration the day of the Walk.
