NC Education Student Enrollment Guide There is Enrolled Students Page for each online assessment at a school (e.g., Demo High Biology Spring 2015) located within NC Education. Schools are expected to verify Enrollment data in NC Education for online assessments days before testing. If a student is not correctly enrolled in the appropriate online assessment, School Test Coordinators, LEA Test Coordinators and LEA Test Assistants may use the Enrolled Students Page to add a student to the assessment. GREAT CARE must be taken to verify students are enrolled in a course/online assessment (e.g., Math I EOC Fall 2014) before they attempt to take the assessment on test day. Students CANNOT be enrolled ON test day. How to access Administration Page for an End-of-Grade or End-of-Course Assessment 1. Access NC Education at https://center.ncsu.edu/nc/login/ 2. Sign-in using your SECURE NC Education Username and Password 3. Access the Enrollment Page for an assessment in the following manner depending on how your Home Page is configured. 4. Click on NC Schools according to your My Home screen. 5. Click on the appropriate Assessment: Example: Demo School Math I Fall 2014 6. Click on the Enrolled Students Link You are now at the Enrolled Students Page The SCHOOL tab should be used to manually enroll students in the assessment who are in membership in this school. Tabbed view will default to the SCHOOL tab Must use the DISTRICT tab to enroll students from other schools within the LEA The DISTRICT tab should be used to manually enroll students in the assessment who are in membership in a different school within the LEA. Please use EXTREME CAUTION when manually enrolling and un-enrolling students: Only make manual changes to student enrollments in Emergency situations. Enrollments will typically update in NC Education a week after the students are enrolled in PowerSchool. If students are manually enrolled for ANY course in NC Education, they WILL NOT pre-populate for ANY courses in subsequent testing windows to include the Spring test windows. SCHOOL Tab The SCHOOL tab allows LEA and school test coordinators to create a list of students planning to participate in any online assessment. Manual changes do not take effect until the following day in NCTest. Students Enrolled in this Assessment Students in Membership in this school Manually Enroll/Add Students (SCHOOL Tab) Manual changes to enrollment lists do not take effect in NCTest until the following day. Therefore, manual changes on test day will not be reflected on the student lists within NCTest. The search box in the right column will assist users in locating a student by name or pupil ID. To manually enroll students into the assessment: 1. The user can scroll through the list of student names in membership (right column) or type the student s last name, first name, or pupil ID in the search box. 2. When the student is located, click the plus (+) symbol to move the student to the Enrolled Students list in the left column (i.e., manual override). The student s name will move from the membership column to the enrolled column. 3. Repeat steps 1 and 2 until all students planning to take the EOC online assessment are listed in the Enrolled Students (left) column. Online Assessment Guidance Student Enrollment Guide Page 3
(1) Use the scroll bar or type search criteria in the search text box (2) When the student is located, click the plus (+) symbol (4) MUST click SUBMIT to save any changes 4. Users must click SUBMIT at the bottom of the page to save any changes. The user will see a confirmation message at the bottom of the Enrollment box. The number enrolled will be updated, and the list of student names in the enrolled and membership columns will be refreshed. 5. An asterisk (*) will appear next a student s name after they are Manually Enrolled Manually Unenroll/Remove Students (SCHOOL Tab) Students may be removed by clicking the minus symbol (-) next to their name, but removing student names is not necessary. DISTRICT Tab If an LEA has students who are enrolled in one school but who are planning to test in a different school within the LEA the DISTRICT tab must be used to search for and enroll student names from other schools within the LEA. Users must continue to use this tab to review all students enrolled in the course. Students added from other schools within the LEA will not appear in the Enrolled Student list and will not be included in the number enrolled on the SCHOOL tab. The initial screen lists all students currently enrolled in the assessment for your school. A search engine is provided allowing users to search by a student s first name, student s last name, pupil ID, and/or LEA/school code. Type your search criteria and press ENTER Manually Enroll/Add a Student in Membership at Another School Within the LEA 1. Click in the text box and type your search criteria. Users can search using one field (e.g., LEA/Sch Code) or multiple fields (e.g., Last Name, LEA/Sch Code) to narrow the search. 2. Press the ENTER or RETURN key to execute the search. NC Education will search through all students in membership in the LEA as of the last data pull who were enrolled in the assessment. 3. Click ADD to enroll the student in the school s assessment course To show the description paragraph, click SHOW. First Name, Last Name, and LEA/Sch Code columns may be sorted by clicking this feature 4. The enrolled students list may be refreshed automatically. If not, manually clear the search criteria and press the ENTER/RETURN key or click the CLEAR SEARCH button. The student(s) will now be listed with a checked box in the Enrolled column. Users must continue to use this tab to review all students (i.e., students in membership in the school, students in membership at other schools) enrolled in the assessment. Students enrolled/added from other schools within the LEA will not appear in the list on the SCHOOL tab. Once a student from another school is enrolled into the school s assessment, users MUST use the DISTRICT tab to review a complete list of enrolled students Manually added/enrolled students from other schools will be listed in the DISTRICT tab and marked in the ENROLLED column Manually Unenroll/Remove Students (DISTRICT Tab) Students may be removed by clicking the REMOVE button, but removing student names is not necessary. Managing Students Check Student Enrollment At anytime, School Level Test Coordinators, LEA TCs and LEA TAs can look at all students in membership at a school as reflected in the last student data pull. These staff members are also able to see for which assessments each child is enrolled. 1. Find your MANAGE heading either to on the right side of the screen or docked on the left side of your screen. 2. Click on Students 3. Select your school in the drop down bar if it is not already populated 4. Filter by any field to find the student you need 5. Click on Download button at the bottom to create a spreadsheet of the information in the table. If a student is registered to take an assessment, that information will be available in the Registered Courses column of the table Online Assessment Guidance Student Enrollment Guide Page 7
Add a Student to School Enrollment Use this form in Testing Emergencies where a student is unavailable in the DPI membership data feed and it will be impossible for them to test without creating a student account for them. When a student is manually enrolled it takes 24 hour to populate into NCTest. Students cannot take an assessment on the same day they are manually added to the system. This process will create a fictitious student ID for the student. This incorrect ID will need to be corrected during the LEA match process and data clean-up. 1. Find your MANAGE heading either to on the right side of the screen or docked on the left side of your screen. 2. Click on Students 3. Click on Create Student 4.
