White Paper Mobilize Email with Enterprise-Grade Security and a Great Experience Data protection for your business. Flexibility for IT. Seamless productivity for your workforce. People need to be able to work with email productively wherever they go. IT needs to protect corporate data. Citrix helps you meet both needs.

As enterprise mobility continues its rapid evolution, it s no longer enough simply to provide mobile access to mail. Organizations need to be able to protect corporate data wherever and however people use email, and empower the enterprise workforce with tools to achieve greater productivity in any scenario. Citrix helps companies mobilize email with enterprise-grade security and a great experience. Application and workflow integrations help people get more done, more easily. Robust, granular access control, encryption and containerization keep corporate data safe and give IT the flexibility to meet the unique requirements of different use cases and data types. This paper describes how to mobilize email securely with Citrix XenMobile Enterprise, which includes the enterprise-grade Citrix WorxMail mobile app for ios, Android and Windows Phone devices. What secure mobile email needs to look like today Mobile access to email is taken for granted as a core element of business mobility as it should be. But all too often, the way companies meet this requirement can compromise enterprise security and fail to help people become optimally productive. One common approach centers on the native email app on mobile devices as the easiest option for enterprise IT departments to provide employees with access to their email. Microsoft Exchange ActiveSync, already deployed in most environments, allows mobile device users to easily synchronize their native email apps with Microsoft Outlook or IBM Lotus Notes corporate email on their own, without the need for IT assistance. Given that ActiveSync is free to deploy, it s no surprise that it is the route most enterprises take. But there are two major problems with relying on native apps and ActiveSync: user experience and security A limited user experience hampers productivity There s more to email than just reading and replying to messages. To be fully productive, people also need to be able to incorporate email into their ongoing work experience as they collaborate and share content with co-workers. In this respect, the limited functionality of native email apps falls far short of what people are accustomed to with Outlook and Notes, such as the ability to add email attachments to meeting invites, graphically view calendars and create new emails with multiple attachments. Without functions like these, native email becomes little more than a marginally useful utility not a true enterprise tool. 2

Security gaps expose the organization to risk While native email apps don t have much to offer users, they do bring much to IT primarily headaches. These begin with the large number of different native apps and operating systems notably ios and Android which IT must track, secure and keep updated with the most current versions and security patches. To protect corporate apps, IT must also put considerable effort into analyzing the way each native email app handles file attachments and interacts with cloud storage services such as Dropbox. Native email client software is often open to information-sharing with other applications and functions on the device, adding to the risk that a malicious app might access corporate contacts, emails and calendar entries. Most native clients allow users to open and edit attachments in unprotected or even malicious mobile applications. Information containing viruses could be copied and pasted to other files, or sensitive information could be forwarded to personal email accounts or unauthorized users. Even without the introduction of malware, native email apps can expose corporate data to risk. Many do not encrypt email, calendar entries, contacts or attachments stored on mobile devices, leaving proprietary information accessible and exposed to compromise in the event that devices are lost or stolen, or when employees leave the organization. Enterprises can mitigate native email risks using operating system controls, particularly for devices running on ios 7, which allows email, attachments, applications and data to be encrypted. Device encryption, however, leaves some data exposed including contact lists and calendars if a device is jailbroken. Introducing WorxMail for secure email with an optimal user experience Companies aware of native email security gaps have either held on to their BlackBerry devices or have adopted a secure mobile business email app such as Good Technology. However, many of these email clients, including Good s email, fall short when it comes to a positive user experience and business optimized features. WorxMail, a mobile app for email, calendar and contacts, combines the great user experience of native consumer apps with security and productivity features built for the enterprise to meet the needs of both users and IT. With WorxMail, mobile users can leverage the same Outlook and Notes capabilities they are used to, with functions tailored specifically to mobile scenarios. A rich user experience built for business productivity With more app and workflow integrations than any other mobile email client, WorxMail helps people become fully productive wherever they work. A consumer-style experience reduces steps and enables people to work seamlessly across email, calendars, notes and other apps to perform diverse tasks easily. People can: Work easily with documents and attachments WorxMail integration with Citrix ShareFile, a secure enterprise file sync and sharing solution, makes it simple for mobile device users to attach documents to emails and save attachments. People can easily share large files without the size restrictions of other email clients, including multiple files, without ever having to download the full file to their mobile device. Documents on shared network drives and in Microsoft SharePoint repositories can be accessed and shared as easily as any other file. 3

Forward meeting invites with attachments This highly useful capability is absent from most mobile email apps, but WorxMail makes it simple. View graphical calendar information WorxMail streamlines meeting planning by allowing people to access graphical views of colleagues free and busy time slots via integration with Citrix WorxWeb, a secure mobile browser included with the platform. Capture notes and quickly attach to emails Citrix WorxNotes, a secure business-class notetaking application, integrates with WorxMail. Containerization Integrated MDX app container technology keeps all email and attachment data separate from personal content on mobile devices and protected through features including password authentication, secure lock and wipe and inter-app policies. Work-related applications and information are unavailable to personal applications. By containerizing corporate applications and data, WorxMail also facilitates selective wiping of corporate applications and data when users change roles, leave the organization or lose their devices. Encryption Data at rest is protected with AES 256-bit encryption. Files are transferred via ShareFile over a secure SSL/TLS connection. Granular access control IT can define enterprise and role-based policies to restrict file opening, forwarding, editing and saving to ensure the right level of access for each user. IT can also deploy different email solutions to different types of users depending on their risk profiles. For example, for content creators, office administrators and others with low-risk profiles, WorxMail quickly provides Exchange access from a native email client. For board members, executives and people with access to sensitive data, WorxMail adds extensive visibility as well as policy creation and enforcement capabilities. Secure email with secure networking By deploying WorxMail on Citrix NetScaler, a solution that maximizes the performance and availability of all applications and data, IT can increase security for every document mobile users access. NetScaler can support more than 65,000 devices while helping to secure the enterprise through denial-of-service attack protection, SSL offloading, application-specific micro VPNs and user authentication at the perimeter. Conclusion Mobile email is a core element of business productivity, and it calls for a solution that meets the requirements of both users and IT. Included with Citrix XenMobile Enterprise, the Citrix WorxMail mobile app helps people become fully productive wherever they work with business-oriented features and workflow integrations that go far beyond native apps. For IT, WorxMail provides enterprise-grade security through containerization, encryption and granular access control, as well as secure enterprise file sync and sharing through Citrix ShareFile as an alternative to unmanaged consumer-grade file sharing services. Citrix NetScaler adds complementary protection for organizations seeking the highest level of protection while ensuring optimal performance and availability. Combining the security IT needs with the great user experience employees demand, WorxMail makes full email productivity available wherever people work. 6
