Steps to Opening a Bank of America Deposit & Debit Card Account Bank of America has tailored a unique volunteer bank account card banking system just for Girl Scouts of Western Washington as an alternative to traditional bank accounts. This ground breaking banking system allows check-free bank support for troops and service units, online access for viewing account information and printing statements with no monthly service charge. This banking system is comprised of two cards types; deposit card(s) for making deposits via BOA ATM s and one debit card for payments (in the U.S. & abroad) such as those purchases traditionally paid by check. Deposits post into to a centralized Council account and will then be loaded electronically to the troop or Service Unit debit card twice per week. For expenditures where debit card payments are not an option payments with supporting documentation can be paid via cash through ATM withdrawal, money order, or the account card owner (signer) can submit a Payment Request form to GSWW electronically. Payment requests will be paid on a weekly basis with the corresponding payment amount reduction of the troop or Service Unit account debit card balance. STEP 1 REQUIREMENTS FOR OPENING & MAINTAINING A GSWW TROOP/SERVICE UNIT BANK ACCOUNT Each troop or Service Unit account must have minimum of two cardholders (also referred to as account signers) in the names provided on the BOA Cardholder Identification Form. Cardholders must be unrelated and not living in the same household. Accounts will be issued only one debit card. Up to six deposit cards can be ordered. Cardholders MUST be registered adult members of that troop or Service Unit and approved volunteers (bank accounts should not have a Council staff representative as a cardholder on the account); Cardholders must have completed and passed a criminal background check; Cardholders must complete and sign a Volunteer Financial Agreement; A troop bank account in good standing is required for participation in product sale programs & troop fundraising activities. STEP 2 TO OPEN YOUR BOA CARD ACCOUNT Make sure you have submitted all of your troop registrations, including those for all adult signers. Signers on Service Unit accounts should register in a Volunteer Team position; Complete a BOA Signer Identification Form (a separate form for each signer), Date of Birth must be provided as proof signer is 18 years of age or older; Complete a Volunteer Financial Agreement form (a separate form for each signer); Mail, fax, or email all forms to GSWW Banking Coordinator at the address listed below. Banking Coordinator will process completed paperwork and forward on to BOA. STEP 3 TO ACTIVIATE YOUR ACCOUNT Once your BOA Card account is open, Bank of America will mail your Deposit Card (to all cardholders) and Debit Card (to the Lead Card Holder on the BOA Cardholder Identification Form ) via US Mail. The card numbers are your account numbers. Once your Debit Card arrives in the mail, call the number indicated on the Card or listed in the instructions mailer to activate the card, set up PIN number for future PIN based Card purchases and ATM access. STEP 4 MAKING CHANGES TO A BOA CARD ACCOUNT All BOA Card accounts changes (signature additions & removals, etc.) MUST be requested and processed through GSWW Banking Coordinator. Refer to GSWW s website (https://www.girlscoutsww.org) for instructions and forms for requesting account changes or contact GSWW s Banking Coordinator for assistance on how to update or make changes to your BOA Account. 10/30/14 Finance Opening BOA Card Acct

Important Bank Account Guidelines & Information: Girl Scouts of Western Washington Volunteer Financial Agreement Bank of America Savings accounts, Certificates of Deposits (CD s), Money Markets or financial interest bearing accounts are not permitted for Girl Scout banking. Programs and activities should be financed through dues, GSWW-sponsored product sales, and approved moneyearning activities. Money earned collectively (such as the product sale programs) is not the property of individual girls. If a girl leaves the troop or does not attend a special event, the money earned toward the event remains with the troop. All expenses, reimbursements and debit card transactions should always have supporting receipts and documentation. Cardholders will be held accountable for all financial activity. Girl Scouts staff and/or Service Unit Managers can call for an account audit at any time. On-going communication between bank account signers will ensure account activity reconciles with the bank statement monthly. Online access allows for viewing troop or Service Unit card account balances, transactions and statements The troop or Service Unit bank account will be charged $1.00 per month for paper copies mailed directly from BOA to the volunteer. Monthly service charge fees are waived for GSWW Troop or Service Unit BOA card accounts with paperless statements. GSWW s Banking Coordinator should always be your first point of contact for questions, concerns or if you experience any difficulties or problems with your bank account. BOA Customer Service call for routine inquiries or for balances is available for a fee of $2.00. Certain fees may apply for other non-automated additional services based on the Schedule of Fees Disclosure document that will be included with the Debit Card mailed from BOA. Social Security Numbers are requested for the debit card and on-line banking access authentication. Other options include using 999-99-xxxx and the last four digits of cardholder s SSN as shown on the Steps to Open a Bank of America Deposit & Debit Card Account. To confirm account transactions, or balances with a Live Agent or to set your PIN, you will need the last four digits of your SSN (or identifier that you chose on the Cardholder Identification Form). Volunteer Acknowledgment: (to be completed by each signer on the account) By signing this agreement I acknowledge: I have read and understand the basic responsibilities required as a volunteer signer on the BOA Card account. I understand that sound financial support is crucial to ensuring girls have opportunities to participate in Girl Scout activities that build girls of courage, confidence, and character. I understand good accounting practices and record keeping are consistent with the Girl Scout Mission Statement and The Promise and Law. I will use the Girl Scout Promise and Law to guide my choices and actions as an example to others. If I am unable or unwilling to comply with the above or if I choose not to support the mission, values or goals of this organization, I agree to communicate this to a Girl Scout staff member and be removed as a bank account signer.
