Reference Guide Introduction Who Should Use this Guide? This document is intended for all EPI salaried employees and will be used as a reference for the Goal Management and Performance Review processes. If You Need Further Assistance User IDs and Passwords User IDs and passwords have been created for you based on the specific functions you need to perform. If you do not have a user ID and password, contact the Help Desk at 1-877-633-0480. Performance Management - Employee Basic Navigation Reviewsnap enables Evergreen employees to manage goals and complete performance reviews all in one place. Logging into Reviewsnap Employees must log into Reviewsnap before they will be able to access their goal plans and performance reviews. Complete the following steps to log into Reviewsnap: 1. Access the Reviewsnap login page at https://www.reviewsnap.com/login.cfm?id=3253 Result: The Reviewsnap Homepage is displayed: 2. Complete the following fields: Username employee id Password temporary password provided directly to employee via email Note: A forgotten password will be emailed to an employee by clicking the Forgot Password? link. If an email is not received, check the Junk folder. If emails from Reviewsnap are being sourced to the Junk folder, please reference the FAQ section of this guide to resolve this issue. Reference Guide 3. Click the Login button. Result: The Change your Password pop-up window appears: 4. Enter and confirm a new password. As the window states, the password must meet the following criteria: Minimum of 6 characters Must include 2 of the 4: uppercase, lowercase, numbers, and special characters Must differ from your current password assigned by Reviewsnap 5. Performance Management - Employee Manage Reviews Link For most Evergreen associates, the majority of action in Reviewsnap will occur on the Manage Reviews screen. Employees will create and complete reviews, manage their goals, and change their passwords on this screen. Complete the following steps to view the Manage Reviews screen: 1. From the Welcome screen, click the Manage Reviews link on the menu bar. Result: Reviewsnap displays a personalized Manage Reviews screen. Example: Note: The Manage Reviews screen is personalized for each employee and will only display information relative to the job role of that employee. Reference Guide 2. Review the personal information listed on the Talent Card screen. Employees will see their: Email addresses Evergreen locations Job titles this is the HR job role classification title and not the business title Departments Managers names Hire dates 3. If the employee holds a manager position, click the drop-down menu at the top of the Talent Card screen to display a list of employees available for viewing. Example: Note: More information using the employee drop-down menu is available in the Performance Management Manager Reference Guide. 4. Review the following actions under the Manage Reviews heading: Create or Complete a Review create a new review or complete an existing review Create/View Journal Entries add comments in a journal entry throughout the year to use as reminders during the annual review period Manage Goals add and update personal goals and the goals of subordinates Manage 360 Degree Surveys Update Employee Information change password Evergreen Packaging, Inc. Performance Management - Employee Update Password Complete the following steps to change a password in Reviewsnap: 1. Log into Reviewsnap using a user ID and password. Result: The Welcome screen is displayed. Example: 2. Click the Manage Reviews link from the menu bar. Managers will click the Manage Employees link. Result: The Manage Reviews screen is displayed. Enter the new password in the Change Current Password and Confirm Changed Password fields. 5. Click Update. Result: The password is updated and the Manage Reviews screen is displayed. Performance Management - Employee Button Menu Bar In the upper right hand corner of the Reviewsnap screen is a small menu bar comprised of three blue buttons: My Account Split Screen Logout My Account Button Clicking the My Account button will direct employees to the Reviewsnap Homepage. Reference Guide Split Screen Button The Split Screen button allows employees to view two different tasks on the same page. For example, a manager can view an employee s list of goals while completing that employee s performance review. The Split Screen option eliminates switching between various screens to review information. An example is shown below: Logout Button Clicking the Logout button will simply log the employee out of Reviewsnap and redirects to the login screen, as shown below: Note: Reviewsnap does not timeout after a certain length of time. Performance Management - Employee Managing Goals Using the Manage Goals link in the Manage Reviews tab, employees can create, update, print, and delete goals. Creating a Goal Follow these steps to create a goal: 1. From the Manage Reviews screen, click the Manage Goals icon. Result: Reviewsnap displays the screen below: 2. Select the appropriate Review Period from the drop-down menu. Result: Reviewsnap displays the following message: Note: Goals are tied to a review period. Performance Management - Employee 5. Click the Category drop-down menu and select a category that best defines the goal. Employees should aim to adapt their goals into one of the following four categories: Environment, Health, and Safety (EHS): Act in a manner that creates and maintains the highest standards of environmental, safety and health compliance in the workplace. We are committed to achieving zero injuries in our workplace. Metrics may include TIR, LWIR, Environmental Compliance, etc. Financial: Create superior business performance and profitability by managing all components of our P&L and our Balance Sheet. We will achieve or exceed our annual EBITDA goals, and Working Capital Days targets for all quarters. Four Platforms: Design and implement strategies to ensure healthy income in 2013 and in each rolling 3 year horizon. Four platforms are: Innovate, Migrate, Reposition, Protect (by going on offense). People (Hiring/Retention): Ensure Evergreen is an employment destination by hiring A players, providing rewarding careers, and avoiding regrettable turnover. Operational Excellence: Ongoing improvement of our organization using core principles, including problem-solving, teamwork, and leadership. This necessitates that each and every employee can see and impact the flow of value to our customers. Key metrics may include cost, productivity, quality, OTIFNE, S&OP excellence, logistics & distribution effectiveness, and strategic sourcing. Customers: Build a strong business model by providing complete, integrated, end-to-end solutions for our customers. Become a supplier of choice, create switching costs, pursue multi-level selling, build the EPI brand, and launch new products. Metrics may include customer retention, OTIFNE, quality, and profitability. Note: The definitions of these goals can be understood as overall themes if an employee s role is not directly tied to their descriptions. None can be selected if a goal does not fit within one of these categories. 6. Enter the weight of the goal in the Goal Weighting Percentage field. Weights must: Be entered as whole percentages (enter 50 for 50%) Add up to 100% Note: If a goal is weighted at 0%, the goal will not be applied to the Performance Review rating and could bring the employee s rating score down. A developmental goal, such as participating in meetings with a different department to increase knowledge of the company, with a 0% rating will not affect rating score. 7. Type a description of the goal in the Goal Description field. Note: Employees should use the Authoricheck button to review the Goal Description for offensive language and the Spellcheck to review for misspelled words. Reference Guide 8. Enter a Quantitative Goal, if applicable. An example of a quantitative goal might be to sell 5000 pallets. If the goal is not quantitative, leave blank. Note: If a current goal is composed of multiple quantitative values, do not enter a quantitative goal amount or current level. Instead, leave the goal as qualitative and enter your current goal metrics in the Action field at the bottom of the screen. 9. Enter the Current Level of the quantitative goal, if a quantitative goal is entered. 10. If a quantitative goal is entered and the current level should stay lower than the goal, check the Smaller Current Level Value is Better checkbox. An example of this would be calculating Total Incident Rate (TIR). 11. Enter a Due Date. 12. Click the Allow Rollover to next Review Period checkbox if the goal is ongoing and will continue into the next review period. Result: The system displays a confirmation message. Example: 13. Select the Status level from the drop-down menu. 14. Describe the steps being taken to achieve the goal in the Actions field. Note: Employees should use the Authoricheck button to review the Goal Description for offensive language and the Spellcheck to review for misspelled words. 15. Do one of the following after all fields are complete: Click Create submit the goal. It is added to the goal plan. Click Cancel abandon the goal. The goal will not be added to the goal plan. Click Create and Add New Goal submit the current goal and add another goal. Reviewsnap does not automatically save work. Employees must complete all required fields and choose one of the options above for the new goal to be saved. Reference Guide Updating a Goal Follow these steps to update a goal: 1. From the Manage Reviews screen, click the Manage Goals icon. Result: Reviewsnap displays the screen below: 2. Select the appropriate Review Period from the drop-down menu. Result: Reviewsnap displays the following message: Note: Goals are tied to a review period. Click the Update link to the right of the appropriate goal. Result: Reviewsnap displays the goal details. Example: 5. Make any necessary changes to the goal. Do one of the following: Click Update incorporates employee s changes and saves the goal Click Cancel abandons employee s changes to the goal Click Update and Add New Goal incorporates employee s, saves the goal, and displays the Create a Goal screen Reviewsnap does not automatically save work. Employees must complete all required fields and choose one of the options above for the updates to be saved. Result: Reviewsnap displays a pop-up window, asking for confirmation to delete the goal: Note: Employees will not see the Delete link if their managers have locked the current goals and will therefore not be able to delete or update goals. Performance Management - Employee Managing Journal Entries Employees have the option of keeping Journal Entries throughout the year. Journal entries are short comments that employees can enter in Reviewsnap to remind them of accomplishments, improvements, and areas of work that can be enhanced. Create a Journal Entry Complete the following steps to create a journal entry: 1. From the Welcome screen, click the Manage Reviews link on the menu bar. Reference Guide 2. Under the Manager Reviews heading, click the Create/View Journal Entries link. Result: Reviewsnap displays the Journal Entries screen. Example: 3. Click Create a New Journal Entry. Result: Reviewsnap displays the Create a Journal Entry page. Example: 4. Click the Private Entry box to restrict viewing to the entry creator. Enter a Journal Entry (description). 7. Use the Attachment field to link appropriate files to the entry. 8. Click the Create button. Result: The employee is directed to the Journal Entries page. Example: Note: The new entry is listed in the journal entry table. If multiple entries exist, employees can search for specific entries by entering a date range into the From: and To: fields. Note: If the Private Entry box is not checked for the entry, the employee s manager will receive a notification of the entry update via email. Performance Management - Employee Performance Reviews Self-Assessment Employees begin the Performance Review process by completing a self-assessment in Reviewsnap. This self-assessment gives employees the opportunity to evaluate their work and achievements in relation to their goals. Employees should review their goal plans a final time before starting the review to ensure all goals are correctly entered and weighted. Once a self-review has been started, the Rollover option in Goal Management is no longer available. Follow these steps to complete the self-assessment: 1. From the Manage Reviews screen, click the Create or Complete a Review icon. Result: Reviewsnap displays the screen below: 2. Select the appropriate Review Period from the drop-down menu. Performance Management - Employee Completing the Review The review must receive approval and signatures from two management levels. If the employee answers directly to the ELT, only one level of management approval is necessary. The review must then go to the employee s HR Administrator for review and a signature. Sign Off on a Review Once the HR Administrator signs off on the review, the employee receives a notification email stating that the review is ready for a signature. The app offers the same functionality offered by the Reviewsnap website including: Performance Reviews Signatures Goals Journal Entries Add the Reviewsnap Application to the App Menu The app is accessed using the smartphone s browser and can then be added to the users application menu. Reference Guide Reviewsnap Employee FAQ General Q: How do I change my password? A: From the Manage Reviews screen, click the Update Employee Information link. Enter your new password and confirm it. Then click Update. Q: All or some of my emails from Reviewsnap are being sourced into my junk folder. How can I get receive them in my Inbox? A: Users must mark Reviewsnap as an approved sender. To do this, right-click a Reviewsnap email and from the drop-down menu, select Junk. From the second dropdown menu that appears, select Never Block Sender s Domain. Q: What if my name, email, title, location, or manager is incorrect on the employee information card I see in the system? A: Please contact your HR representative who will assist you in correcting your name, email, location, or manager. The job title loaded in the system is a HR classification title and not a business title. Q: Who should I contact for questions or issues I am having with the system, understanding the written materials, the process, etc.? A: If your question or issue is related to understanding the process or the written materials, contact your local HR representative. If your issue is related to system performance (including passwords), please contact the service desk. Q: Where can I locate the written reference materials related to goals and performance for an employee? A: These materials are loaded on the company intranet site under Company Links and also within the Reviewsnap system on the home page when you first log into the system. Goals Q: What if my goal plan weighting exceeds 100% when I attempt to start my review? A: The system will not allow goal plan weighting greater than 100% to be saved. Therefore, your goal plan will not be weighted more than 100% when attempting to start the review. Q: What if my goal plan weighting equals less than 100% when I attempt to start my review? A: The system will not allow a review to be started if goal plan weighting equals less than 100%. The user will receive a message when attempting to start the review that states: Goal weighting is used for this review. You must adjust goal weights to total 100% before you can continue. A: The system will allow a user to start a review if no goals have been weighted. This review will be rejected by the manager or HR and sent back to the employee for weighting to be applied to goals. Q: What if I have not input goals into my goal plan and I start my review? A: The system will allow a user to start their review if no goals have been input. This review will be rejected by the manager or HR and sent back to the employee for the addition of goals. Q: What if I have a goal(s) with a 0 weighting when they appear in my performance review? A: This goal(s) will not be factored into the overall score of the performance review. However, the employee and the manager can comment on and rate the goals(s). It is permissible to have a goal(s) which does not affect the overall score, but is intended to allow managers and employees the opportunity to recognize something the employee is working on. An example of this may be a personal development goal. Q: Why do I no longer have the option while looking at my goal(s) to Roll over to the next review period? A: After an employee has initiated a review he or she no longer has the option to go back to a goal(s) and select to roll over to the next review period. Performance Q: While using the Copy to Clipboard option on the split screen, my comments included some sort of coding. Is this a system issue? A: No, this is not a system issue. This code appears when text is copied into Reviewsnap from an Excel or Word file. Q: How can I see the scores based upon the rating I have applied to myself in the selfassessment? A: Before finalizing your review and handing off to your manager you will select Save and Exit. Next select View. A pop up window will open with your review including ratings and overall score. You may choose to print or save to your desktop. Q: Why can I no longer view or edit my self-assessment? A: Once an employee selects the option to finalize and hand off the review to the manger the employee no longer has visibility or the option to edit their self-assessment. Q: When will I receive my final review? A: Your review will be returned to you once your manager(s) have provided comments and ratings and approvals have been obtained. Q: Where do I record my results for a specific goal within Reviewsnap? A: Employees have two options for recording their results in Reviewsnap: 1. While completing the self-assessment, a user should include actual results in the Comment section of an individual goal by noting what was done to achieve the goal and the results of these effort(s). 2. When a user is updating a goal plan under the Manage Goals link, they can select an individual goal and choose to record actual results in the Actions section. Note: The Actions box is where users typically note what they will do to accomplish a goal. However, a user could choose to also include what was done to accomplish the goal. Users must still add comments in the Comment section of an individual goal while completing a selfassessment, even if actual results are included within the Actions section of goal plan. While either place is acceptable, the Comment section within a performance review is most commonly used to record actual results to performance against a specific goal. Q: When commenting on my goals, I only see one comment box. Why? A: Only one comment box is displayed per goal category. If all goals are listed within one goal category, only one comment box will be displayed. Q: When can I see my completed review? A: Employees can see the final copies of their reviews after electronically signing in the system. Reviews will populate under the Manager Reviews tab by selecting the link View Completed Reviews.
