Work in Progress (WIP) Description Displays a search dialog box that allows you to use advanced search features. Displays a list of files you frequently access in MDD and you have added to My Favorites folder. Displays a list of all the files that you have recently checkout and imported into MDD. A list of cabinets, folders and files you have access to in your MDD service. Displays a list of most recent search results. Displays a list of edited documents that haven not yet been checked in. 3 Save files in MDD 3.1 Save a file directly in MDD 1. Go to the save option in application you are using and select Save. 2. Browse for the location in MDD where you want to save your file. 3. Click Save. 3.2 Save a file using drag and drop 1. Open your MMD folder. 2. Select the file you want to save into MDD. 3. Drag and drop the file in your MMD folder. 4 Edit a file in MDD 1. Right click on the file you want to edit. 2. Based on the permissions you have select View to view the file as read only or Edit to edit your file. 3. A key icon will appear on your file. OR you can double-click on the file to open it. 5 Lock / Unlock files You can use the lock feature in MDD to prevent other users from editing a certain file. 5.1 Lock a file 1. Right-click on the file you want to lock. 2. Select Lock. 3. Lock icon will appear on the file. 5.2 Lock several files 1. Right-click on the folder that contains the files you want to lock 2. Select Lock. 3. Lock icon will appear on all the files in the folder. 5.3 Unlock a file 1. Right-click on the file you want to unlock. 2. Select Unlock. 3. Lock icon will disappear. 5.4 Unlock several files 1. Right-click on the folder that contains the files you want to unlock. 2. Select Unlock. 3. Lock icon will disappear. Note: Files saved in sub-folders will not be locked or unlocked. 6 Versions Using versions in MDD helps you to keep track of the changes you made to your file. MDD will create a new version every time you open and update your file. 6.1 Display file version 1. Right-click on the file you want to display. 2. Select Versions. 3. Select the version you want to display then click Open. IITS Training & Support 3
6.2 Select a file version When drag and drop a file back into MDD a Checkin dialog box appears. This allows you to save the file with the version type that is most appropriate for you. IITS Training & Support 4
Version type Same Version Minor Version Major Version Description This option will allow you to over-write the exiting file in the MDD repository This option is appropriate if you made some minor modification to your file This option is appropriate for documents that went through major modifications or documents that are marked as final version 7 Search for a file, folder or a category in MDD MMD provides you with an enhanced search options using Meta Data such as search by Format, Type, and Location. To search for a file, you have to open the search window by clicking on My Documentum Desktop Search button, located at the tool bar. 7.1 Search for a file 1. Type the name of the file, folder or category you want to locate here. 2. Specify more search details if required. 3. Click on the magnifying glass icon to search, or press enter on your keyboard. 8 Quick access to MDD cabinets You can add files that you access frequently in your Windows Favorites, or you can create a short cut on your desktop. 8.1 Add a cabinet to Windows Favorites 1. Click once on the cabinet you want to add to select it. 2. Right click on windows Favorites 3. Select Add current location to my favourites. 4. The cabinet will display in Windows Favourites list. 8.2 Remove a cabinet from Favorites 1. Right-click on the cabinet you added in the Favorite list. 2. Select Remove. 8.3 Create a cabinet/folder shortcut on the Desktop 1. Once you add a cabinet to Windows Favorites list, click once on the cabinet/folder to select it. 2. Drag and drop the selected cabinet/folder to your desktop. 9 Manage folders in MDD 9.1 Create folders in MDD 1. Go to the cabinet or the location where you want to create your folder. 2. Right-click, select New. 3. Select Folder. IITS Training & Support 6
9.2 Edit folder properties 1. Right-click on the folder. 2. Select Properties. 3. Add or modify the property settings. 4. Click OK. 10 Logout 5. Click MDD repositories in the address bar. 6. Right-click on your repository and select Logout. IITS Training & Support 7
