Exhibition Shipping Guidelines: To ensure smooth handling and timely delivery of your exhibits, please read this shipping guideline carefully. Failure to comply with timeline mentioned in this guideline may create problems in clearance and additional expenses. Please take note of the venue is in a HOTEL and with floor carpets, delivery of large and heavy exhibits may have issue on floor loading and lift excess from unloading area to the ballroom. For individual exhibit/package, should not exceeding 500kg and/or (L)155cm x (W)95x (H)183cm Individual exhibit/package exceeds the above mentioned restricted dimensions and weight may not be able to excess and enter via lift to the show floor, please contact us to discuss further on large exhibit before uplifting shipment. We strongly recommend the exhibitors to use the Schenker worldwide network for Streamlining all documentation work and timely arrival at the port/airport and delivery of exhibits to the booth. Furthermore we want to point out that for payment on-site on all handling charges will be more convenient when using a Schenker office near you. Please inform us one month before the exhibit arrive in Abu Dhabi if you require the service for large and heavy exhibits. DOCUMENTS / CONSIGNMENT DEADLINES / LATE ARRIVAL SURCHARGE All consignments MUST NOT arrive after the stipulated deadlines. Consignments arriving after the stipulated deadlines will be subjected to LATE ARRIVAL SURCHARGE of 50% based on our Basic Handling Charge and/or where this tariff is applicable. DOCUMENTATION REQUIREMENTS- All documents must be issue in English language DO NOT DECLARE TEMPORARY IMPORT GOODS AND PERMANENT IMPORT TOGETHER. THEY MUST BE DECLARED SEPARATELY. A. Each shipment has to be accompanied by a full set of documents specified as follows: Bill of Lading or Air Waybill 1 Original and 2 Copies Commercial Invoice and packing list 2 Copies Certificate of Origin 1 Original Insurance Policy (if applicable) 1 Original and 2 Copies Drawing, Floor plan for heavy exhibits or display. 2

B. Commercial Invoice and Packing list have to contain following details Each copy should be on An Original Company Letter Head and bear an original signature and addressed of the exhibitor inclusive hall and booth number. Show name: 4th QS-MAPLE Conference & Exhibition 2014, Abu Dhabi. Customs Fine for NO Original Documents at US$400.00 C. Detailed and accurate description of exhibits, including major components, must be specified on the documents, even when nominal. Catalogs, display materials and gifts must also be specified with exact quantity and value in the documents. For TEMPORARY IMPORT GOODS AND PERMANENT IMPORT, they must be packed and declared separately. D. HS Code Summary: Very Important The invoice must be clearly mention the HS Code related to the actual items being shipped. In case of multiple HS code you will also need to provide us with a Data Sheet clearly mention the individual weight and value per HS Code applicable for each consignment. E. Certificate of Origin: This document must be sent in Original issued and attested by the Chamber of Commerce at origin only. Failing to provide will invite Customs Fines, Excess Duty Assessment and delays with customs clearance.. Customs Fine for NO Certificate of Origin at US$450.00 4. CONSIGNMENT INSTRUCTIONS & CONSIGNEE ADDRESS All exhibition goods by AIRFREIGHT, SEAFREIGHT and COURIER must be sent as Freight Prepaid to: Consignee: SCHENKER LLC C/O: 4 th QS-MAPLE Conference & Exhibition 2014, P. CASE MARKING / PACKING It is the exhibitor s responsibility to ensure that their exhibits/equipment is packed and secure firmly in a strong, waterproof packing case which lends itself to being re-packed after the exhibition. Please bear in mind that your exhibits will be transit for long periods, both to and from the exhibition. And that cartons/boxes are not suitable to withstand the constant handling which takes place during transit from origin country to next destination. We recommend the use of bolted re-usable cases. 6. Courier consignment Do not send Courier shipment addressed to exhibition hall or Hotel as it will probably not arrive on time if held by Customs and it is beyond our control. Courier consignment for brochures, giveaway, and publications materials must be consigned to: Schenker LLC Fairs & Exhibitions Dept. 702, Al Masaood Tower, Airport Road, P.O. Box 62532, Dubai, UAE. For 4 th QS-MAPLE Conference & Exhibition 2014, Exhibitor Name: / Hall & Booth number: A pre-alert must be send to Schenker Singapore at e-mail: joseph.lam@dbschenker.com and serena.chew@dbschenker.com with copy of the consignment note and invoice/packing in order for us to assist in monitoring the safe arrival. Please note that we are not able to influence the speed of the shipment send by courier consignment. Please instruct your courier company to bill all duties & taxes incurred in UAE back to your account. Any duties & taxes and or others charges levied by the courier company or Agent will be bill back to you and in additional to banking fee of 15% on the outlay and/or Min. charge of US$75.00 per consignment per exhibitor. 7.. HEAVY AND OVERSIZED EXHIBITS Exhibitors with heavy or oversized exhibits must be on-site early and direct the operation of unpacking and positioning. As the venue is located in the HOTEL, Cargo lift may have problem with weight exceed 500kg and dimensions: (L)155cm x (W)95x (H)183cm. Exhibitors should send their requirements to us ONE MONTH in advance. A detailed layout should also be provided to us for better on-site operations. Cases for heavy exhibits should be constructed that the sides are joined by bolts at rather than by nails or screws. This will prevent exhibits to be damaged by unpacking and make exhibitors to ensure that they have adequate and appropriate packing materials for repacking after exhibition. 8. INSURANCE It is the responsibility of each exhibitor to arrange a Marine (Transport) Insurance covering transport to the exhibition, during exhibition and return of exhibits to domicile, including the period the exhibits are handled by Schenker and also ensure that Transport Insurance is arranged for exhibits sold locally. Insurance shall include a waiver of subrogation against SCHENKER and its overseas offices/agents and/or subcontractors. Exhibitors should bring along a copy of the insurance policy to UAE. It will required in case we need to file claim for damage or loss on your behalf. (An Admin fee of USS$350.00 will apply) Our tariff is computed on the basis of volume and weight and has no correlation with the value of exhibits, it follows that the cost of insurance is not included in our charges. Upon written instruction, SCHENKER SINGAPORE (PTE) LTD can offer the exhibitor insurance coverage at competitive premiums. 4

9. Customs Clearance in UAE In detail we offer the following customs clearance possibilities to international participants; DO NOT PACKED AND DECLARE TEMPORARY IMPORT GOODS AND PERMANENT IMPORT TOGETHER. THEY MUST BE PACKED AND DECLARE SEPARATELY. The Port & Customs Authorities of Dubai levy a 5% customs duty on goods which are sold, consumed, destroyed and not re-export at the end of the show. All Customs Duty assessment and re-evaluate on the declared CIF value are solely calculated and assessed by the UAE Customs. Before the close of the show Schenker LLC representatives will be on-site during the show to assist exhibitors with the re-export, disposal, consumed or giveaways. In the event if exhibitor would like to sell, dispose, consumed or giveaways his goods during the show, the permanent importation of these items can be process but subject to the approval by UAE Customs. All customs duty will be bill back as per outlay and in additional to banking fee of 15% on the outlay and/or Min. charge of US$75.00 per consignment per exhibitor. Display banners, backdrop, conference bags, lanyards and Stationers etc. for the use in exhibition are subject to duties & taxes due to Customs Authority classified these items as consumed items and cannot be entry under temporary importation. 10. PROHIBITED/ RESTRICTED/ CONTROLLED GOODS PLEASE DO NOT SHIP WITHOUT OUR PRIOR APPROVAL The following categories of materials are prohibited, controlled and require special documentation and/or clearance prior to importation. Please supply us with detailed information of your goods so we can advise you the import paper required for the different types of products. On no account are the following products to be shipped without checking with us beforehand. Prohibited Alcohol and Pork, and products containing Alcohol and Pork. Rough Diamonds from Cote D Ivoire Fire Crackers Rhinoceros horn, worked, unworked or prepared Plastic Bags Restricted/ Controlled Animals, birds and products, Fishes and fishery products Plants with/without soil, flowers and seeds, Timber and wood Foods & beverages, Fruits (fresh/chilled), Ginseng roots, Meat and meat products of animals and birds, milk powder, Vegetables (fresh/chilled), Rice Arms & explosives, clothing intended as protection against attack, Handcuffs, Toy guns Batteries, Chemicals products, poisons, hazardous, pesticides, CFCs, Diesel oil/fuel, Surface-active agents Cartridges/cassettes/audio compact diskettes pre-recorded, Films cinema/videos/laser discs, Gramophone records, Publications, Tapes pre-recorded Cosmetics and cosmetics products, Hair dye and hair care preparations Flammable materials, Petroleum Helmets, Belts, Harnesses, Life line, Safety lines, nets (for Industrial safety items) Irradiating apparatus, Radio-active materials, Laser equipment 5

SECURITY RESPONSIBILITY Exhibition site authority shall provide normal surveillance by security guards on the fairground on 24-hour basis. However, every exhibitor shall be responsible for the security of his exhibits, and other related materials during the exhibition periods, especially during move-in and moveout operations and show duration to avoid any possible disputes occurring from damage or loss of exhibits after delivery, all exhibitors should be present on site during move-in/out operations and confirm their receiving is correct against the B/L and AWB and whether the number of package received and outer conditions of the packing are in good order with our staff on the fairground with signed delivery order. 12. DISPOSAL INSTRUCTIONS Before the end of the exhibition SCHENKER will assist in arranging the return transport of exhibits. During the show, our staff will contact each exhibitor to discuss on the return shipping instructions for the handling of exhibits after the end of the show. Exhibitors must declare to us before the show close the list of Exhibits for the disposal of their exhibits: Sold Exhibits To be returned (we will need the mode of transport and port or Airport of destination) Consumed Given away If exhibitors fail to give explicit instructions to us, no Customs formalities can be carried out, and so the exhibits will be left to Customs disposal, all charges will be at exhibitor s own accounts. Exhibitors must pay special attention to the following Customs regulations: Declaration of the contents in each package must be correct. Items other than those declared exhibits (e.g. personal effects, souvenir brought in UAE) are not absolutely allowed to be returned together with exhibits. Violations of these regulations will result in confiscation and heavy penalty imposed by the Customs Authority. Exhibitors must not leave the exhibition before going through Customs clearance procedures and hand over returned exhibits as well as exhibition documents to us. Once these documents have been processed with Customs and relevant transportation departments, and changes will not be accepted. Once again Schenker will not be responsible for the cargoes left in the booth by exhibitors without any instruction in advance and hand over to Schenker s staff on-site after re-packing. We will count pieces we found in the respective booths at the time we clear them from the exhibition hall. We hold no liabilities during that time if cargoes are not found. 6

13. TERMS OF PAYMENT: All invoices raised for this exhibition are due for immediate payment as per stated below unless you have engaged the services of our overseas branches in which you will be invoiced by them directly. Inward : Upon uplift of goods, prior to delivery to booth Outward : Upon presentation of invoice/prior to return of exhibits to sender You may settle the invoice by Telegraphic Transfer prior delivery to the show or by paying Cash in US Dollar currency only at the exhibition site. Personal or foreign cheques are not acceptable. All payment must be settled without any deduction or deferment on account of any claim, counterclaim or offset. For payment via Telegraphic Transfer in foreign currency are subject to additional charges below: Currency Adjustment Factor of 7.5% of the invoice amount per payment. Full payment must be received prior to delivery exhibits to booth or return exhibits to sender. 13. Important Note: It is the exhibitor s responsibility to ensure that their materials conform to all existing regulations regarding the import of any items regulated by the various government agencies in UAE. The list above is not exhaustive and subject to change at any time by operation of law. Therefore in the interest of safety, we would urge all participants to contact us for specific instructions regarding these and any other category of materials. Additional cost may be associated with these clearances, permits or licenses. In all instances, the approval of import permits/ licenses is solely at the discretion of the relevant government authorities and we cannot be held responsible for their refusal to grant such permits, even if the product have already arrived in UAE. Whilst every effort will be made to clear cargo through to site prior to the opening of the show, no guarantees can be given. Our basic handling and other charges relevant to the consignment will apply regardless of the delivery date to your booth and/or the outcome from the government authorities. 7

14. HANDLING CONDITIONS: All business is under taken in accordance with the Standard Trading Conditions of Schenker Singapore (Pte) Ltd, a copy of which available upon request. Use of Schenker Singapore (Pte) Ltd s services be it partly or in full and any requirement for additional services at any time before, during or after the exhibition express orally and/or in writing and/or by conduct, implies acknowledgement and acceptance of the foregoing. All work is undertaken at owner s risk, the exhibitors are liable for damages and additional cost resulting from incorrect declaration of the weight and measurements of the packages, as well as description of content / cargo mentioned on invoice/ packing list. All exhibiting items at the exhibition venues are subjected to the approval of the respective venue owners and Organizer. This tariff is not comprehensive. Our liability terminates with the placing of the consignment on the exhibition booth (or close as possible), and begins with taking over of consignments from the exhibition booth, in the present of the exhibitor after the show closed. Schenker Singapore Pte Ltd and Schenker LLC in UEA are not responsible for: May arising financial loss and/or additional charges, in case clearance of shipment could not be arranged at all, or in time, due to late arrival of shipment and/or rejection of customs permit by customs authorities and others Government Authority; Climatic conditions, in transit and/or storage of goods; Loss and/or damage of cargo after delivery to exhibition booth; Quantity taken from testing by the authorities for laboratory analysis; Exhibits & equipment are not packed and secure firmly in a strong, waterproof packing case which lends itself to being re-packed after the exhibition.
