8 Administration (Applicants) 8.1 The Applicant Dashboard 8.1.1 Purpose of the dashboard The applicant dashboard allows you to: view your application(s); communicate with your nominated certifier; track the progress of your application, including the number of days taken for assessment; view your determination; and download your Complying Development Certificate (if relevant). To use this dashboard, you need to log into the Electronic Housing Code system. 8.1.2 How to access the Applicant Dashboard To log onto this dashboard, please follow the steps below: 1. Into a web browser, type in www.electronichousingcode.com.au 2. In the top right hand corner of the screen you will see Sign In. Click on this link. You will then be presented with the sign in page as displayed below. As you have already been allocated a username and password, you enter the information into the sign in section of the page (as identified by the arrow). Once signed in, you will be presented with the screen below. You will be able to see all the applications that have been assigned to you on this screen. 8.1.3 How to find your application The Applicant Dashboard includes a search feature. This enables you to search through the applications attributed to you. You can currently search by Application number only. To access the search fields, 1. Click on the Show Search Fields link. 2. Input the relevant application number and hit the Quick Search button. 8.1.4 How to view attachments You are able to view the attachments connected to an application at any stage during the process. To view the attachments connected to an application: 1. Locate the relevant application on your dashboard. 2. Select Attachments from the drop down menu and select Go. 3. A new screen will open with the attachments related to that application. 4. To open an attachment, click on the relevant file name. It will then open in another window. Once you have reviewed the document, please close that window. 5. 8.1.5 How to upload additional documents If you need to upload additional documents in connection with an application prior to lodgement, for example a revised plan or Owners Consent form; then you are able to do so through the dashboard. 1. Once you have located the relevant application on your dashboard, select Attachments from the drop down menu and select Go. 2. A new screen will open with the attachments related to that application. If it doesn t, please ensure that you have turned off any pop-up blockers enabled on your computer. At the bottom of this screen you will notice a heading Upload New Attachment. 3. Input a description for the attachment, for example Revised Site Plan for APP1234. 4. Click the Browse... button to locate the attachment that you wish to upload. 5. Once you have uploaded the relevant document, it will appear in the attachments window under Attachments Uploaded. Whilst an email will be sent to the nominated Certifier to advise them of the new document, we recommend that you also inform them using the comment feature of the system. 6. 8.1.6 How to leave a comment for the Certifier After submitting your application for consideration, you may require more information or have a question for your Certifier. You are able to communicate through the dashboard. 1. Locate the relevant application on the dashboard. 2. Using the drop down menu associated with that application, select Comments and click on Go. 3. 4. When you send a comment to the Certifier, an email will be sent to them notifying them of the comment. Similarly, when a certifier sends you a comment, you will automatically be sent an email advising you of the need to visit your dashboard. 5. 8.1.7 How to change your Certifier You may wish to change your nominated Certifier. Please note, that the Electronic Housing Code system allows you to do this before the lodging of the application ONLY. To change your Certifier: 1. Locate the relevant application on the dashboard. 2. Using the drop down menu associated with that application, select Change Certifier and select Go. 3. You will then be directed to a screen (as below), that shows you the possible Certifiers for your local government area. You will be able to select one of those Certifiers from the list by clicking on the relevant circle beside their name. Once you have selected your desired Certifier, click Confirm. An email will be automatically sent to the old Certifier advising them of this change. 8.1.8 How to cancel your application You may need to cancel your Complying Development application for some reason. You are able to cancel your application up until you officially lodge it. At that point you cannot cancel the application. To do this: 1. Locate the relevant application on the dashboard. 2. 3. Once an application has been cancelled you will be unable to resubmit this application and a new application would need to be input and submitted. To prevent the accidental cancellation of applications, you will be asked to confirm that this is what you wish to do. If you select Ok, then the application is cancelled. 8.1.9 Dashboard Status The Electronic Housing Code system has been built to guide users through the process. An example of this is the dashboard. Depending on the status of the application, you are restricted as to the actions you can perform. This will assist people who are new to the system and/or unsure of the next step to take. The applicant dashboard has some fixed status types and associated actions. These are identified below: Status Definition Possible Actions Exempt Report Property Excluded In Progress Submitted for Consideration Rejected You have generated an exempt development report. You are unable to complete this development as exempt or Complying Development under the NSW Housing Code due to land based restrictions. You are in the process of completing your Complying Development application. You have yet to submit it for consideration. You need to complete the application by clicking on edit. You have submitted your application to your nominated Certifier for consideration. The application has yet to be lodged, and the 10 day approval process has not commenced. The Certifier is unable to accept the role as assessor on your application. You will need to nominate a new assessor to continue. Ready to Lodge Lodged Approved Refused Cancelled The Certifier has accepted the role as assessor on your application. You are now able to lodge your application. You have formally lodged your application. The 10 day approval time has commenced. You are unable to alter the application at all. The assessor has returned an approved determination. The assessor has returned a refused determination. You have cancelled your Complying Development application.
