th Student Email Olathe District Schools OPS Student Email Accounts have transitioned to Gmail accounts, powered by Google. These secure email accounts are located off-site on Google's servers, at no cost to the district. This provides both a significant cost savings to the district in addition to enhanced features and benefits such as larger mailbox sizes, less spam mail, etc. Note: Before you can login to your Gmail account, you will first need to log in to the district network at your school and create a password. You will be prompted to enter a password of your choice that is at least 8 characters long. The password you create for your network login will also be the password you use for your Gmail email account. Approximately eight hours after this is complete, you will be able to log on to the Gmail website using the instructions below. Logging on to the Gmail website: To logon to student email, go to http://students.olatheschools.com and click the Student Gmail link. Click the Student Gmail link. This guide is also available for download by clicking Student Email User Guide. Log in to your OPS Gmail account with your network login Example: Username: 731tas10 (Use your network name.) You will be asked to enter the characters displayed in the picture on the screen. The letters are NOT casesensitive. Click I accept. Create my account. You will now be logged in to your Student Gmail email account as shown below. If you see the message shown in green below, you may click the Dismiss button to decline this option. On the next several pages you will be introduced to the components of the Gmail email site. The Gmail Home Menu links and various other areas of the Gmail environment are described in this section of the tutorial. Please take note of each area of the screen and familiarize yourself with the options available to you. The Gmail Menu Composing an Email Message The Gmail Home Menu is shown below. The first link in this menu is the Compose Mail link. Compose Mail opens a new message. Click the Compose Mail link on any Gmail screen. (It's on the left, under the Gmail logo). Enter your recipient's email address. You can type the address in the 'To:' field, or find the address in your Contacts list. Enter a subject for your message in the 'Subject:' field. Write your message! Just click in the large field and type away. Use the formatting toolbar above this field to format your text and insert pictures, etc. Use the Attach a file link to attach a document to the email message. When you're done composing, click the Send button located just above the 'To:' field. The Gmail Menu Inbox The Gmail Inbox shows your incoming/received emails (the number in parentheses indicates how many unread emails you have). Unwanted e-mail is automatically flagged as spam and sent to the Spam folder. The Spam folder is located under the 3 More drop-down link, since it is a hidden folder by default. You may change this option if you want the Spam folder to display in the displayed menu by default. Directions for this are included later in this tutorial. When you delete a message it is sent to the Trash folder where it can then be sent back to the Inbox or deleted. The Trash folder is located under the 3 More drop-down link, since it is a hidden folder by default as well. Again, you can change this option to have the Trash folder display in the menu by default rather than be located in the drop-down area. The Gmail Menu Starred Messages Starred Messages let you give messages a special status to make them easier to find. To star a message, click on the light blue star beside any message. Only the starred messages display when you click on the Starred link. The Gmail Menu Drafts The Drafts link houses messages you've started to compose and then saved to work on later. Click the Save Now button to save an email to the Drafts folder. The Gmail Menu Follow Up The Follow up folder houses messages you've opened from the Inbox and then moved to the Follow up folder. The Gmail Menu Miscellaneous The Miscellaneous folder can be used to store messages you wish to keep that don t need a special folder name but that you want to remove from your Inbox. Click the Move to drop-down arrow to move any opened email to this folder. The Gmail Menu Priority The Priority folder can be used to store messages that are a high priority to respond to or complete. Click the Move to drop-down arrow to move any opened email to this folder. The Gmail Menu More, and Managing Folders/Labels The 3 More drop-down link displays 3 more folders/labels. They are: All Mail, Spam and Trash. Note: You may choose display any folder such as All Mail, Spam, or Trash in the main menu. This is done by choose Manage Labels from the 3 More drop-down list. You may also wish to create a new folder/label using the Create New Label link. Choosing Manage Labels displays the following window Note: Choose Show or Hide to display or hide folders/labels on the Main Menu. If you hide a folder/label, it will appear under the 3 More or 4 More dropdown list. Some folders/labels are System Labels and these cannot be removed. The Gmail Window Contacts The Contacts link displays the contacts that you have emailed and have emailed you. You may add to this list of contacts by adding contact information for friends and family. You add new contacts by clicking the New Contact button at the top left corner of the Contacts window. You may also create a New Group to add multiple contacts. Your Gmail Account Mailbox Size, Email Limitations / Restrictions Mailbox Size and Email Size Limitations Your Gmail mailbox provides up to 7 Gigabytes of storage space for your account. Individual messages up to 20 MB (including attachments) in size can be sent. Please note that you may not be able to send larger attachments to contacts that use other email services with smaller attachment limits. Blocked file types: Executable Files -- As a security measure to prevent potential viruses, Gmail doesn't allow you to send or receive executable files (such as files ending in.exe). Zipped Files are also blocked (such as files ending in.zip). Signing Off Don t forget to Sign Out by clicking the Sign Out link top left corner of the Gmail window.
