4 Safety precautions Before using your new recorder, read this manual carefully to ensure that you know how to operate it safely and correctly. Keep this manual in an easily accessible location for future reference. The warning symbols indicate important safety related information. To protect yourself and others from personal injury or damage to property, it is essential that you always read the warnings and information provided. f Danger If the product is used without observing the information given under this symbol, it may cause serious injury or death. f Warning If the product is used without observing the information given under this symbol, it may cause injury or death. f Caution If the product is used without observing the information given under this symbol, it may cause minor personal injury, damage to the equipment, or loss of valuable data. Wording used in this manual The word card is used to refer to the SD card. The word ODMS is used to refer to the Olympus Dictation Management System in Windows environment. The word DSS Player is used to refer to the DSS Player for Mac in Apple Macintosh environment. Caution for usage environment To protect the high-precision technology contained in this product, never leave the recorder in the places listed below, no matter if in use or storage: Places where temperatures and/or humidity are high or go through extreme changes. Direct sunlight, beaches, locked cars, or near other heat sources (stove, radiator, etc.) or humidifiers. Near flammable items or explosives. In wet places, such as bathrooms or in the rain. In places prone to strong vibrations. Never drop the recorder or subject it to severe shocks or vibrations. The recorder may malfunction if it is used in a location where it is subject to a magnetic/electromagnetic field, radio waves, or high voltage, such as near a TV set, microwave, video game, loud speakers, large monitor unit, TV/radio tower, or transmission towers. In such cases, turn the recorder off and on again before further operation. Avoid recording or playing back near cellular phones or other wireless equipment, as they may cause interference and noise. If you experience noise, move to another place, or move the recorder further away from such equipment. Do not use organic solvents such as alcohol and lacquer thinner to clean the unit.

Safety precautions Warning regarding data loss: Recorded content in memory may be destroyed or erased by operating mistakes, unit malfunction, or during repair work. It is recommended to back up and save important content to other media such as a computer hard disk. Any liability for passive damages or damage of any kind occurred due to data loss incurred by a defect of the product, repair performed by the third party other than Olympus, an Olympus authorized service station or any other reason is excluded from the Olympus liability. Handling the recorder f Warning: Keep the recorder out of the reach of children and infants to prevent the following dangerous situation that could cause serious injury: 1 Accidentally swallowing the battery, cards or other small parts. 2 Accidentally being injured by the moving parts of the recorder. Do not disassemble, repair or modify the unit yourself. Use SD/SDHC memory cards only. Never use other types of cards. If you accidentally insert another type of card into the recorder, contact an authorized distributor or service center. Do not try to remove the card by force. Do not operate the unit while operating a vehicle. f Caution: Stop using the recorder immediately if you notice any unusual odors, noise, or smoke around it. Never remove the battery with bare hands, which may cause a fire or burn your hands. Do not leave the recorder in places where it may be subject to extremely high temperatures. Doing so may cause parts to deteriorate and, in some circumstances, cause the recorder to catch fire. Do not use the charger or AC adapter if it is covered. This could cause overheating, resulting in fire. Handle the recorder with care to avoid getting a low-temperature burn. When used for a long period, the recorder will get hot. If you hold on to the recorder in this state, a low-temperature burn may be caused. In places subject to extremely cold temperatures, the temperature of the recorder s body may be lower than the environmental temperature. If possible, wear gloves when handling the recorder in cold temperatures. 5

Safety precautions 6 Battery handling precautions f Danger: The battery should never be exposed to flame, heated, short-circuited or disassembled. Never heat or incinerate battery. Take precautions when carrying or storing batteries to prevent them from coming into contact with any metal objects such as jewelry, pins, fasteners, etc. To prevent causing battery leaks or damaging their terminals, carefully follow all instructions regarding the use of batteries. Never attempt to disassemble a battery or modify it in any way, solder, etc. If battery fluid gets into your eyes, flush your eyes immediately with clear, cold running water and seek medical attention immediately. When NiMH rechargeable batteries are used, charge them with the specified AC adapter or charger. Do not use any other AC adapters or chargers. Keep batteries out of the reach of children. f Warning: Keep batteries dry at all times. To prevent batteries from leaking, overheating, or causing a fire or explosion, use only batteries recommended for use with this product. If rechargeable batteries have not been recharged within the specified time, stop charging them and do not use them. Do not use a battery if it is cracked or broken. Never subject batteries to strong shocks or continuous vibration. If a battery leaks, becomes discolored or deformed, or becomes abnormal in any other way during operation, stop using the recorder. If a battery leaks fluid onto your clothing or skin, remove the clothing and flush the affected area with clean, running cold water immediately. If the fluid burns your skin, seek medical attention immediately. Never mix batteries (old and new batteries, charged and uncharged batteries, batteries of different manufacture or capacity, etc.). Do not use batteries if their body is not covered by the insulating sheet or if the sheet is torn, as this may cause fluid leaks, fire or injury. Unusable batteries Batteries whose bodies are only partially or not at all covered by an insulating sheet. Batteries whose - terminals are raised, but not covered by an insulating sheet. Batteries whose - terminals are flat and not completely covered by an insulating sheet. (Such batteries cannot be used even if the - terminals are partially covered.)

Safety precautions If you notice anything unusual when using this product such as abnormal noise, heat, smoke, or a burning odor: 1 remove the battery immediately while being careful not to burn yourself, and; 2 call your dealer or local Olympus representative for service. f Caution: The battery may become hot during prolonged use. To avoid minor burns, do not remove it immediately after using the recorder. If the recorder is not used for an extended period, remove the battery from the recorder. Use only AAA (LR03) alkaline batteries or AAA (HR03) NiMH rechargeable batteries. The following type of batteries cannot be used: AAA (R03) manganese (zinc-carbon) batteries/ AAA (ZR03) oxyride batteries/aaa (FR03) lithium batteries When replacing the NiMH rechargeable batteries, replace all of them with genuine Olympus Ni-MH rechargeable batteries (BR404). In some cases, alkaline batteries may have a shorter service life than NiMH rechargeable batteries. Especially at low temperatures, alkaline battery performance is limited. In such a case, the use of NiMH rechargeable batteries is recommended. The bundled/included rechargeable battery is exclusively for use with Olympus digital voice recorder DS-5500. There is a risk of explosion if the battery is replaced with the incorrect battery type. Always charge a rechargeable battery when using it for the first time, or if it has not been used for a long period. Rechargeable batteries have limited lifetime. When the operating time becomes shorter even if the rechargeable battery is fully charged, replace it with a new one. Dispose of the used battery following the instructions. Please recycle batteries to help save our planet s resources. When you throw away dead batteries, be sure to cover their terminals and always observe local laws and regulations. Docking station f Danger: Never disconnect the AC adapter or power cord with a wet hand. This may cause electric shock or injury. Only use the dedicated AC adapter with the docking station. Using it in combination with other AC adapters may cause overheating, fire, or malfunction. f Warning: Never disassemble, modify, or repair the docking station yourself. This may cause fire, electric shock, or injury. Never use the docking station in locations where it might come into contact with liquids. Getting the docking station wet may cause fire or electric shock. Do not drop the docking station or allow it to suffer extreme shocks. This may cause damage, or fire or electric shock. Do not touch the connector or insert the metal wires or similar object into any of the plugs. This may cause fire, or electric shock. f Caution: Unplug the AC adapter or power cord from the docking station and AC outlet when not using for extended periods of time. If this precaution is not followed and the docking station is damaged then fire may occur. 7

Safety precautions 8 AC adapter f Danger: Be sure to use the AC adapter with the proper voltage (AC 100-240 V). Using it with other voltage levels may cause fire, explosion, overheating, electric shock or injury. For safety, be sure to unplug the AC adapter from the outlet before performing maintenance or cleaning. Also, never plug in or disconnect the power plug with a wet hand. This may cause electric shock or injury. f Warning: Do not attempt to disassemble, repair or modify the AC adapter in any way. Keep foreign objects including water, metal, or flammable substances from getting inside the product. Do not moisten the AC adapter or touch it with a wet hand. Do not use the AC adapter in the vicinity of flammable gas (including gasoline, benzine and lacquer thinner). Always stop recording before connecting or disconnecting the power supply plug. When the AC adapter is not in use, disconnect the power supply plug from the power outlet. Use only power supply of the correct voltage, as indicated on the adapter. In case:... the internal parts of the AC adapter are exposed because it has been dropped or otherwise damaged:... the AC adapter is dropped in water, or if water, metal flammable substances or other foreign objects get inside it:... you notice anything unusual when using the AC adapter such as abnormal noise, heat, smoke, or a burning odor: 1 do not touch any of the exposed parts; 2 immediately disconnect the power supply plug from the power outlet, and; 3 call your dealer or local Olympus representative for servicing. Continued use of the AC adapter under these circumstances could result in electric shock, fire or injury. f Caution: Do not use the AC adapter if the power plug is damaged or the plug is not completely connected to the outlet. This may cause fire, overheating, electric shock, short circuit or damage. Unplug the AC adapter from AC outlet when not using. If this precaution is not followed, fire, overheating or electric shock may occur. Make sure to hold the plug when removing the power plug from the outlet. Do not bend the cord excessively or put heavy objects on it. This may cause fire, overheating, electric shock or damage. Memory card f Warning: Do not touch the card contacts. This may damage the card. Do not place the card in locations with static electricity. Store the card in a location that is out of the reach of children. In case of accidental ingestion, consult a physician immediately.

Getting started Main features s Slide switch operation for ease of use and fast response. s Supports two types of memory: Built-in memory and SD card. s Three Programmable smart buttons F1, F2 and F3 ( P.48). s Hold function for preventing accidental operation. s Multi-color LED indicating various recorder statuses. s Recording in Digital Speech Standard Pro (DS2 format). s Two recording modes, [QP] (Quality Playback) mode or [SP] (Standard Playback) mode ( P.40). s Data encryption function for securing recordings on the device. It is possible to set the Encryption level to [High] (256 bit), [Standard] (128 bit) or [No] (deactivates the function). s Ni-MH rechargeable batteries can be charged via USB cable or AC adapter with docking station. s This recorder is compatible with USB 2.0, enabling fast data transfer to a computer. s Five folders and up to 200 files per folder, for a maximum of 1,000 recordings ( P.22). When using ODMS (Olympus Dictation Management System) software, it is possible to create up to seven folders (max. 1,400 files) (+ P.47, P.49). s Large LCD screen with backlight. s Device Lock function to prevent unauthorized access to device ( P.34, P.47). Authentication system via password. s Index mark function which is useful to search particular points in the dictation files ( P.37). s Verbal comment function which allows transcriptionists to instantly search and playback instructions on their computer ( P.36). s Priority Setting ( P.40). You can set a priority level on each file recorded. s ODMS (Olympus Dictation Management System) and DSS Player (DSS Player for Mac) software included ( P.49). 1 Inserting the batteries Inserting the batteries This recorder can be used with either AAA Ni-MH rechargeable batteries or AAA alkaline batteries. Do not use any other type of battery. 1 Lightly press down on the battery cover release button, then open the battery cover, as shown in the illustration below. 1 2 3 2 Insert two AAA batteries observing the correct polarity, then close the battery cover. Battery indicator The battery indicator on the display will decrease as the battery loses power. When [ ] indicator appears on the display, charge or replace the batteries as soon as possible. When the battery is too weak, [ ] and [Battery Low] will appear on the display and the recorder will shut down. Notes Turn off the recorder before replacing the batteries. Removing the batteries while the recorder is still in use may cause malfunctions, file corruption or file loss. After replacing the batteries, it may become necessary to re-set the battery type and the time and date if you leave the batteries out of the recorder for more than 15 minutes or if you remove the batteries right after loading it into the recorder. For details about the battery type settings and time/date settings, see Setting battery type and time/date ( P.20). When playing a recorded file, the recorder operation may stop due to the reduction of the voltage output of the batteries depending on the volume level even if [ ] is displayed in the battery indicator. In this case, lower the volume level of the recorder. When charging with the recorder, use the supplied Ni-MH rechargeable batteries (BR404). The supplied Ni-MH rechargeable batteries are not fully charged. It is recommended to fully charge them before using the recorder for the first time or after the batteries have been left unattended for a long time ( P.13). 12

Charging the batteries Fully charge the batteries (approx. 3 hours*) before use. * This is the approximate time when charging the rechargeable batteries from no remaining power at the room temperature. The charging time will be changed depending on the remaining power and the state of batteries. Charging the batteries directly via USB cable After loading the Ni-MH rechargeable batteries into the recorder, you can charge them by connecting the recorder with a PC or USB connecting AC adapter via the USB cable. Before connecting the USB cable, exit the hold mode ( P.32). Charging by connecting to a PC via USB cable 1 Boot the PC. 2 Connect the USB cable to the USB port of the PC. Charging is completed when battery indicator turns to [ ]. 1 Charging the batteries 3 While the recorder is in stop mode or turned off, connect the USB cable to the USB connector on the bottom of the recorder. 13

1 Charging the batteries Charging by connecting to a USB connecting AC adapter via USB cable 1 Connect the USB cable to the USB connecting AC adapter (A514) (optional). Charging the batteries Charging the batteries using the docking station After loading the Ni-MH rechargeable batteries into the recorder, you can charge them by using the docking station in combination with the USB cable or the AC adapter. The "Standard" version of the DS-5500 does not include the docking station and the AC adapter (optional). Charging using docking station and AC adapter 1 Connect the AC adapter to the docking station. 2 Firmly press the recorder all the way into the docking station as shown in the illustration. 2 Plug the AC adapter into AC outlet. 3 While the recorder is in stop mode or turned off, connect the USB cable to the USB connector on the bottom of the recorder. 14 Charging is completed when [ ] and [Battery Full] are displayed.

Charging the batteries 2 1 CHARGE indicator light The CHARGE indicator light turns on when charging starts, and turns off when charging is complete. Use the included AC Adapter (A517). Charging using docking station and USB cable Connect the USB cable to the docking station. Notes If the battery type is set to [Alkaline], the batteries cannot be charged ( P.20). If [ ] and [Cannot Charge] appear on the display, the batteries cannot be charged. When an error occurs during charging, indicators below will appear on the display, and the charging will stop. [ ]/[ ]: Abnormal high temperature [ ]/[ ]: Abnormal low temperature [ ]/[ ]: Insufficient USB bus power or other errors Models of batteries which are different from the included one may not charge. The recorder cannot be charged when the PC is not turned on. It may not also be charged when the PC is in standby, hibernate, or sleep mode. Charging the batteries via the USB cable connection may not be successful depending on the power capacity of the USB port in your PC. Use the AC adapter instead. Do not charge the recorder through a USB hub. Do not attach or remove the batteries if the USB cable is connected. Push the USB cable into the USB connector all the way. Otherwise, the recorder may not operate properly. Use the included dedicated USB cable. If any other manufacturer s cable is used, it may lead to malfunction of the recorder. Also, never use this dedicated cable with any other manufacturer s products. Do not set or remove the recorder to/from the docking station while operating. If [Composite] is set in the USB class settings ( P.42): - Charge will not be possible if the recorder is operating. Charge will start 1 minute after the end of the operation. - Charge may not be possible depending on the application in use on the PC connected. 1 Charging the batteries 15

Charging the batteries 1 Charging the batteries Using the Ni-MH rechargeable batteries The included Ni-MH rechargeable batteries are exclusively for use with the Olympus voice recorder DS-5500. Do not use in combination with other electronic equipment. Cautions concerning the rechargeable batteries Read the following instructions carefully when you use the battery. Discharging: Rechargeable batteries self-discharge while not in use. Charge it regularly before use. Battery life: Over time, the rechargeable battery may gradually wear down. When the operating time becomes shorter even if the rechargeable battery is fully charged under the specified condition, replace it with a new one. Operating temperature: Rechargeable batteries are chemical products. Battery efficiency may vary even when operating within the recommended temperature range. This is an inherent nature of these products. Recommended temperature range of use: During operation: 0 C - 42 C/ 32 F - 107.6 F Charging: 5 C - 35 C/ 41 F - 95 F Storage for a long period: 20 C - 30 C/ 4 F - 86 F Using the battery outside the above temperature range may result in declining efficiency and shorter battery life. Notes This recorder is designed to fully charge batteries regardless of their energy level. However, for best results when charging newly purchased rechargeable batteries or batteries that have not been used for a long time (more than one month), it is recommended to fully charge the batteries then discharge repeatedly for 2 to 3 times. When disposing the batteries, always observe the local laws and regulations. Contact your local recycling center for proper disposal methods. If battery is not fully discharged, protect it against short-circuiting (e.g. by taping the contacts) before disposal. For customers in Germany: Olympus has a contract with the GRS (Joint Battery Disposal Association) in Germany to ensure environmentally friendly disposal. 16

Power supply from AC adapter or USB cable Use the AC adapter or USB cable when recording for extended period of time. The "Standard" version of the DS-5500 does not include the docking station and the AC adapter (optional). Using the AC adapter Plug the AC adapter into a household power outlet and connect the power plug to the recorder via the docking station. Always turn off the recorder before you connect power. Detecting abnormal voltage If the recorder detects a DC power voltage outside the allowed voltage range (4.5-5.5V), then [Power Supply Error Remove Power Plug] will appear on the display, and all operation will stop. The recorder will not be operable if abnormal voltage is detected. Stop use of the recorder. 1 Turning on/off the recorder Turning on the recorder While the recorder is turned off, slide the POWER/ HOLD switch to the direction of the arrow. Memory card This recorder uses two types of memory: built-in memory and SD card as additional memory. When an SD card is used, you can remove the content recorded in it safely in case of malfunction of the recorder. Compatible cards The recorder supports memory card capacity from 512 MB up to 32 GB. Turning on/off the recorder / Memory card POWER HOLD Turning off the recorder Slide the POWER/HOLD switch to the direction of the arrow and hold it for 0.5 seconds or longer. Cards compatibility For a list of card compatible with the recorder, please visit the product homepage at the Olympus website applicable to your region or contact your Olympus reseller where you purchased the product. Notes When initializing (formatting) a card, confirm that no necessary data is stored on the memory card beforehand. Initialization completely erases the existing data on the card. Cards initialized (formatted) by another device, like a computer, may not be recognized. Be sure to format them with this recorder before use. The card has a service life. When reaching the end of its life, writing or erasing data on the card will be disabled. In this case, replace the card. If you use a PC card adapter compatible with the card to save or delete some data on the card, the maximum recording time on the card may be decreased. To recover the original recording time, initialize/format the card in the recorder. 18

Memory card Inserting and ejecting a SD card Inserting a SD card Insert the SD card fully into the card slot with the card facing the direction shown in the illustration below, until it clicks into place. Insert the card keeping it straight. Notes Inserting the card the wrong way or at an angle could damage the contact area or cause the card to jam. If the card is not inserted all the way into the slot, data may not be written properly. When an unformatted card is inserted into the card slot, the recorder will automatically display the format menu options ( P.45). Use only cards formatted with the recorder ( P.45). Never remove the card while the recorder is operating, as this may damage the data. After pushing the card inward to eject it, releasing your finger too quickly may cause the card to be ejected unexpectedly. The recorder may not properly recognize the card even when that card is compatible with it. The processing performance reduces in a card when you repeat writing and deleting. In this case, format the card ( P.45). 1 Memory card Card recognition After inserting SD card, the message [Please Wait] will flash on the display while the recorder recognizes the SD card. Ejecting a SD card Push the SD card inward to unlock it and let it come out of the slot. Hold the card straight and pull it out. 19

Setting battery type and time/date 1 Setting battery type and time/date When you use the recorder for the first time after purchasing it, or when the batteries have been inserted without the device being used for a long time, the battery type setting screen and the time/date setting screen will appear. Also, the battery type setting screen will appear after the batteries are replaced. However, when a Password has been set as the device lock function ( P.34), the recorder will go to the battery type setting screen and the time/date setting screen after verification (unlocking). Setting battery type [Battery] F1, F2, F3 button OK/MU button +, button 9, 0 button 1 Turn on the recorder ( P.18). The battery type setting screen will appear after displaying message [Please select Battery]. Battery Ni-MH Alkaline 2 Press the + or button to select [Ni-MH] or [Alkaline]. [Ni-MH]: Select when Ni-MH rechargeable batteries are used. [Alkaline]: Select when alkaline batteries are used. The setting status will appear on the display as [ Ni ] (Ni-MH) or [ Al ] (alkaline). 3 Press the OK/MU button to complete the setting. The time/date setting screen may appear after displaying message [Set Time & Date]. In this case, follow the steps given in Setting time and date [Time & Date]. Setting time and date [Time & Date] If you set the time and date beforehand, the information when the file is recorded is automatically stored for each file. Setting the time and date beforehand enables easier file management. 1 Press the 9 or 0 button to select the item to set. Setting time and date 3 Press the OK/MU button to complete the setting. The clock will start from the set date and time. Press the OK/MU button according to the time signal. Notes Moving the slide switch to a position other than STOP (4) while setting the time and date will cancel the time and date setting. The recorder will return to the previous time and date. You can set the time and date from your PC using ODMS and DSS Player software ( P.47). Changing the time and date If the current time and date is not correct, set it using the procedure below. 1 While the recorder is in stop mode, press the OK/MU button. 2 Press the + or button to select [Device Menu]. 3 Press the OK/MU button. 4 Press the + or button to select [Time & Date]. 1 Setting battery type and time/date Device Menu Memory Select Cue/Rev Power Save Time & Date Battery USB Class BACK EXIT 5 Press the OK/MU button. 2 Recording Basic operations Recording By default, the recorder has five folders, [A], [B], [C], [D], [E] and you can select a folder by pressing the F1 (FOLDER) button. These five folders can be selectively used to distinguish the kind of recording. Up to 200 messages can be recorded per folder. Also, by default, the Recording Mode is [QP]. Record function Before starting recording over a previously recorded file, the RECORD function can be set to the following: Append: Attaches the new recording to the end of the previously recorded file ( P.23). Overwrite (default): Overwrites and deletes part of the previously recorded file starting from the chosen position ( P.24). Insert: The recorded file will be inserted in the middle of the previously recorded file, starting from the chosen recording position. The original file will be kept ( P.25). By default, the RECORD function is configured to record using the overwrite option. Recording will start from the current position of the existing file. Recording related settings Recording related settings can be configured to provide a suitable recording environment. Hands-free recording ( P.26). Recording monitor ( P.26). Verbal Comment ( P.36). Pending files [Pending] ( P.40). Microphone sensitivity [Mic Sense] ( P.40). Recording modes [Rec Mode] ( P.40). Using the Variable Control Voice Actuator [VCVA] ( P.40). 22

[Memory Full] or [Folder Full] will be displayed when the memory or folder capacity is full. Delete unnecessary files before recording any further ( P.29) or transfer dictation files to your PC ( P.49). Change the recording media at [Memory Select] setting ( P.42) or change to a card with free space. 23

Recording 1 Overwrite recording You can overwrite a previously recorded file starting from any point within the file. When using overwriting, the overwritten part will be erased. 1 Select and play the file you want to overwrite. 2 Hands-free recording The recorder can be used as a hands-free recording device. To set up the recorder for hands-free operation, connect the optional Olympus Foot Switch to the back of the docking station and place the recorder in the docking station as shown in the illustration below. You can set the Hands-free function of the recorder to [Dictation] (default) or [Transcription] by using the customize functions of the ODMS software ( P.47). Using the ODMS software you can also change the functions of the foot pedals. For more details, refer to the online help for ODMS software ( P.50). Recording monitor It is possible to monitor your recording by listening to it even while the recording is in progress. In order to do so, insert the earphone plug into the earphone jack and use the + or buttons to control the volume level. Hands-free recording / Recording monitor Notes Move the slide switch to the STOP (4) position before connecting it to the docking station for hands-free recording. To record with better quality using the hands-free recording function, set the microphone sensitivity to [Conference] mode ( P.40), or use an external microphone. +, (Volume) button Notes When connecting an earphone or an external microphone s plug, insert the plug all the way in as shown in the illustration above. To avoid irritation to the ear, insert the earphone after turning down the volume level. Do not place earphones near a microphone as this may cause feedback. 26

Playback You can playback a file starting from any point. 1 1 Select the file, then move the slide switch to the PLAY (`) position to start playback. The green status indicator light will turn on. The playback speed will change at each press of the F2 (SPEED) button. Play (playback): Playback at normal speed. Slow Play (slow playback): Playback speed slows down (-50%), and Slow play will be displayed. Fast Play (fast playback): Playback speed becomes faster (+50%), and Fast play will be displayed. 28 Notes If you press the 9 button once while fast-forwarding or twice while in stop mode, the recorder will stop at the end of the file (F.Skip). If you press the 0 button once while rewinding or twice while in stop mode, the recorder will stop at the beginning of the file (B.Skip). If the 0 button is pressed within 2 seconds, the recorder skips to the beginning of the previous file. If you press and hold the 9 button while fast forwarding (FF), the recorder will continue to skip forward. If you press and hold the 0 button while rewinding (REW), the recorder will continue to skip backward. The Cue and Review speed can be set from [Speed1] to [Speed5] (+ P.42). Cue and Review playback sound can be set to [On] or [Off] (+ P.42).

Erasing Erasing files 2 A selected file can be erased from a folder. Also, all files in a folder can be erased simultaneously. 1 Select the file you want to erase. 2 Press the ERASE button. While playback continues, [Erase Start] will appear on the display. If you press the F2 ( ) button, playback will skip (F.Skip) to the end of the file and then stop. In case of a Verbal comment ( P.36) before the end of the file, that point will be set automatically as the ending point of the partial erase. If you press the F1 ( ) button, playback will skip back (B. Skip) and restart from the partial erase starting point. Playback will continue until the end of the file or until the partial erase ending point is confirmed. Using the hold function Slide the POWER/HOLD switch to the [HOLD] position to put the recorder into the hold mode. During the hold mode, all button operations are locked. Notes If any button is pressed during the hold mode, current date and time is displayed for approximately 2 seconds. If the POWER/HOLD switch is slid to the [HOLD] position during recording or playback, button operations are locked, but the recording or playback continues to the end. 3 Using the hold function POWER HOLD Exiting the hold mode Slide the POWER/HOLD switch back to the default position. 32

Device lock function Access to the recorder can be restricted by using the Device Lock function. Password authentication can be safer for your data in case the recorder is lost. The password can be set by using the ODMS software ( P.47). When the password has been registered, you will be asked for it on start-up. 1 Use the +,, 9 or 0 buttons to select a number. 3 After all four digits have been entered, press the F2 (TER) button. If the 4 digit number entered matches the registered password then the start-up message will appear and the recorder will start-up. Enter Password 3 Device lock function Enter Password 2 Press the OK/MU button to set a number. A [*] will appear in the selected first digit and the flashing cursor will move to the next one over (to the right). Repeat steps 1 and 2 to enter all four digits. Pressing the ERASE button at any time will erase the last entry and move the cursor to the previous entry (to the left). TER The default password when using the ODMS software to set the password for the first time is 0000. Authentication halt mode If the password does not match after five consecutive tries, the recorder will enter into authentication halt mode for ten minutes. After ten minutes the password history will be deleted, and the recorder will return to the password input screen. Enter Password Enter Password Device is Locked 09 : 59 34

Setting the Author ID and Work Type Every file recorded on the recorder will include the Author ID and Work Type as part of its header information. To create multiple Author IDs and Work Types on the recorder, use the bundled ODMS software to create and upload a data list (list of Author IDs and Work Types) to the recorder. For more details, refer to the online help for ODMS software ( P.50). By default the Author ID is set to DS5500. Setting an Author ID 1 Turn ON the recorder. When [Prompt for author ID at Power-on.] has been set through ODMS software ( P.47), the registered Author ID list will appear. 2 Press the + or button to select the Author ID that you want to assign to the recorder from the ID list. 3 Press the OK/MU button to set the ID. When more than one Author ID exists/ is registered on the recorder, the ID list will be displayed. Work Types and Optional Items can be used on the recorder to populate the file header information. Refer to the ODMS software online help for registering/setting up Optional Items through the ODMS software ( P.50). The Work Type information of the recorded or uploaded files can be edited with the menu settings of the recorder ( P.43). 1 While the recorder is in stop mode, press the NEW button. 3 Verbal Comment Verbal Comment Verbal comments are useful to append vocal instructions while recording. It is possible to search and playback Verbal comments using the ODMS and DSS Player software. Verbal comments are also useful to give instructions to transcriptionists. Setting a Verbal Comment 1 While the recorder is in recording mode, press and hold the F1 (VERBAL) button. Data recorded while pressing the F1 (VERBAL) button will be recorded as Verbal Comment. Index marks Index marks can be placed into a file during recording or playback. Index marks are used to provide a quick and easy way to identify important or significant parts within the file. Setting an index mark 1 While the recorder is in recording mode or in playback mode, press the F3 (INDEX) button. An index number will appear on the display and the status indicator light will start flashing. 3 Menu items 40 Menu items File Menu Priority By default, the F2 button is programmed with the Priority function. The setting can also be performed from the menu. You can set a priority level on each file recorded. You can select High or Normal. The default is Normal level. [Set]: High level. [Cancel]: Normal level. Each time the F2 (PRIOR) button is pressed the Priority level will change (High/Normal). Pending When you set [Pending] to the file, the file becomes Pending file. If File Download is set to Finished files by ODMS software, the [Pending] file is not transferred and only [Finished] file (edited file) will be transferred to your PC. [Pending]: Sets to a file of Editing and [ ] will appear on the display. [Finished]: Sets to a file of Already edited. File Lock The File lock function allows you to prevent important files from being accidentally erased. [On]: Locks the file and prevents it from being erased. [ ] will appear on the display. [Off]: Unlocks the file and allows it to be erased. Work Type The Work Type information of the recorded or uploaded files can be edited with the menu settings of the recorder. For details, see Editing the Work Type information ( P.43). Information A variety of information related to the current file can be displayed. Rec Menu Mic Sense You can switch between three microphone sensitivities to meet recording needs: [Dictation] for oral dictation, [Conference] for meetings and conferences with a small number of people, and [Close-Talk] for recordings in noisy surroundings. [Conference]: High-sensitivity mode that records sounds in all directions. [Dictation]: Low-sensitivity mode suited for dictation. [Close-Talk]: Lowest-sensitivity mode that records only sounds within close distance. The setting status will appear on the display as [ DICT ], [ CONF], or [ CLST]. Rec Mode The recording mode can be set to [QP] (Quality Playback) or [SP] (Standard Playback). You cannot select the [QP] mode when setting the recorder to the DSS Classic mode. For details, see Recording in the Customizing the recorder ( P.47). VCVA The VCVA feature extends recording time and conserves memory by stopping recording during silent periods, which helps the playback to be more efficient. When the microphone senses that sounds have reached a preset threshold volume level, the built-in Variable Control Voice Actuator (VCVA) starts recording automatically, and stops when the volume drops below the threshold level. 1 Select [On]. 2 Move the slide switch to the REC (s) position to start recording.

Menu items E E When the sound volume is lower than the preset actuation sound level, recording automatically stops after 1 second approximately, and [Standby] flashes on the display. The status indicator light turns on when recording starts and flashes when recording pauses. The VCVA level can be set to any of 15 different values. The higher the value is, the more sensitive the recorder can react to sounds. At the highest value, even the faintest sound will activate recording. The VCVA actuation level can be adjusted according to the ambient (background) noise. c Start level (moves to the right/left according to the set level) The start/stop actuation level also varies depending on the selected microphone sensitivity mode ( P.40). To ensure successful recordings, prior testing and adjustment of the start/stop actuation level is recommended. LCD/Sound Menu Backlight When the display backlight is set to [On], the backlight will light up for about 10 seconds when a button is pressed. [On]: Backlight is enabled. [Off]: Backlight is disabled. Contrast You can adjust the LCD display contrast level from [01] to [12]. The contrast becomes darker as the numerical value becomes larger. LED You can set whether or not the status indicator light (LED) turns on. [On]: LED light will be set. [Off]: LED light will be canceled. Beep When the Beep is set to [On], the recorder will beep in case of error. [On]: Beep is enabled. [Off]: Beep is disabled. Language (Lang) You can set the language for the recorder s user interface. Menu items 3 Menu items 42 Device Menu Memory Select You can switch the recording media between [Builtin Memory] and [SD Card] (default). The recording media will appear on the display as [ ] or [ ]. Cue/Rev The playback sound of Cue and Review operation and Cue and Review speed can be set. 1 Select [Sound] or [Speed]. [Sound]: Set the playback sound of Cue and Review to On or Off. [Speed]: Set the Cue and Review speed. 2 Select the options. When [Sound] is selected: [On]: Activate the playback sound of Cue and Review. [Off]: Disables this function. When [Speed] is selected: You can adjust the Cue and Review speed level from [Speed1] to [Speed5]. Cue and Review speed level becomes faster as the numerical value becomes larger. Power Save By default, the recorder will enter into Power Save mode if not used for more than 10 minutes. [5minutes] [10minutes] [30minutes] [1hour]: Set the length of time before the recorder will enter into Power Save mode. [Off]: Disables this function. If any button is pressed, time count will restart. Time & Date Setting the time and date beforehand enables easier file management. For details, see Setting time and date [Time & Date] ( P.20). Battery You can set the type of batteries used with the recorder. For details, see Setting battery type [Battery] ( P.20). USB Class You can set the USB class of the recorder depending on the intended use. [Composite]: In the 3 classes of Storage, USB audio and human interface device, USB connection is possible. While connected via USB in [Composite], the recorder can be used as the USB speaker and the USB microphone in addition to storage class. [Storage Class]: USB connection is possible in only storage class. Reset Settings You can reset the menu settings to their default values. [Start]: The menu settings will be reset. [Cancel]: The reset will be canceled. Even if the settings are reset, the time settings and file numbers will not return to their initial settings. The settings before the reset will be preserved. Format You can format the built-in memory or SD card used with the recorder. Formatting will erase all the stored data including locked files. For details, see Formatting the memory [Format] ( P.45). Memory Info. Memory capacity and remaining memory space for the build-in memory and SD card in use will be displayed. System Info. System information about the recorder like the [Model], [Version] and [Serial No.] can be displayed.

An Input position within the input name display area will change from flashing to lighting. 9 button: Each time the button is pressed, the input position moves one space to the right. The Input position can be moved up to the space next (right) to the last character. 0 button: Each time the button is pressed, the input position moves one space to the left. The Input position can be moved up to the first character. button: The Input position changes from lighting to flashing. The cursor is lit on the 0 string within the Keyboard window, and makes character selection available. Entry is performed by insert entry. When the character in the Input position has already been finalized, the character after the cursor will move one column to the right. s Maximum entered character count: The Option item name can be entered up to the number of characters specified below. Preset default values can also be set for the option items to simplify data entry process. Option item name: 20 characters s Canceling the entered contents: Press the F1 (BACK) button, and select [Yes], then press the OK/MU button when inputting characters: This will delete the entered content for the selected item and return you to the Work Type information screen. Press the F3 (EXIT) button, and select [Yes], then press the OK/MU button when inputting characters: This will delete the entered content for the selected item and return the recorder to stop mode. 7 Press the F2 (FINISH) button. Cards that have been used in non-olympus devices, or cards that are not recognized by the recorder, must be formatted before they can be used with the recorder. 1 Select [Format] at the [Device Menu] screen, then press the OK/MU button. 3 Press the + or button to select [Start] option. Formatting the memory 3 Formatting the memory Notes The time required to format the memory varies according to the capacity of the memory to be formatted. Do not interrupt the formatting process with the following actions. Doing so may damage the data or the card. - Remove the battery. - Remove the card. Formatting the memory will erase all the stored data including locked files. When an unformatted card is inserted, the format menu will be displayed automatically. Locked SD cards cannot be initialized. Memory cards will be formatted using quick format. Formatting the card will reset the information in file management, but the data inside the card may not be deleted completely. Be careful of data leakage when disposing or handing of the card. We recommend that you physically destroy the card when disposing of it. 46

Customizing the recorder You can customize various settings of the recorder using the ODMS software (Windows) and DSS Player software (Macintosh) ( P.49). For more details, refer to the online help for ODMS software and DSS Player software ( P.50). Common Settings You can set the default values for each of the recorder s Menu items. Administrative Settings General Accessibility: You can customize / adjust / set / configure various settings related to user authorization, such as prohibiting both file erasure and Menu settings. Splash Message: You can set the contents that appear in the message which is displayed during start-up. Slide Switch Guide: You can set the Slide Switch Guide, which indicates the position of the Slide Switch on the display, to either enabled or disabled. Alarm: You can specify events for which the alarm sound will be output. Display Information Area: You can select the information which is displayed on the upper part of LCD in the New Stop, Recording, Playback, CUE/REV, FF/REW or Erase mode: Author ID, File Name, or Work Type. You can select the information which is displayed on the lower part of LCD in the Recording mode: Level Meter, Author ID, File Name, Work Type, Recording Time LED Color: You can select the color of LED during recording and playback: Off, Red, Green, Blue, Orange, Yellow. Device Security You can customize / adjust / set / configure various settings related to the recorder s device lock function. PIN Code: Password setting. Device Lock: Device lock function On/Off. Settings related to the timing for setting the device lock. Changing the number of allowable input errors (mismatches) for the password. Author List You can customize / adjust / set / configure settings related to the Author. Author List: Register multiple Author IDs (up to 10 items). Set the priority level for each Author ID. Select the Author ID you want to be used by default. Author Selection: Choose to activate/deactivate the Author ID selection at the recorder start-up. Work Type List You can customize / adjust / set / configure settings related to the Work Type. Work Type List: Register Work Types (up to 20 items). Set the option items for each Work Type (up to 10 options). Select the Work Type you want to be used by default. Enabled: Change the number of usable folders. Folder name: Change the folder name. Worktype: Set the folder's work type. AutoLock: Set the Auto Lock on a file to On/Off. Encryption: Select a folder s Encryption level. It is possible to set the Encryption level to [High] (256 bit), [Standard] (128 bit) or [No] (deactivates the function). Password: Set the folder's Encryption Password. Recording You can customize / adjust / set / configure various settings related to the recording and recorded files. DSS Format: Select the recording format (DSS Pro/DSS Classic). Record function: Select the recording mode (Overwrite/Append/ Insert). File download: Select the files you want to be transferred to the PC (All files/finished files). Programmable Buttons You can change the allocated functions for the Programmable Smart Buttons (F1, F2, F3 buttons), the NEW button, and the Slide Switch. New and Slide Switch functions: Select a combination of functions. Programmable Buttons: Select the function to associate to the Programmable buttons (F1, F2, F3 buttons) for each mode (New, Stop, Recording, Playback mode). Hands Free You can customize / adjust / set / configure settings related to the Hands-Free operation with the Foot Switch (optional). 48

Managing files on your PC ODMS and DSS Player software The ODMS (Windows) and DSS Player (Macintosh) software is a fully featured software tool that provides a simple to use but sophisticated method for managing your recordings. Some of the features of the ODMS and DSS Player software are: Customize functions on the recorder. Automatic start-up of the application by connecting the device. Automatic download of recorded files by connecting the device. Backup of downloaded recorded files (ODMS only). Automatic transmission of downloaded recorded files to addresses specified through e-mail and FTP (ODMS only). Automatic transmission of transcribed documents through e-mail and FTP, as well as recorded files and link management (ODMS only). Changing the recorder s menu settings. Direct recording and editing of existing recorded files through the recorder s button and slide operation. Editing Instruction Comments and Verbal comments (ODMS only). Encrypting recorded files within the folder by encrypting the folder itself (ODMS only). Support front and background voice recognition local and roaming profile (ODMS only). Connecting to your PC Connecting to your PC using the USB cable 1 Boot the PC. 2 Connect the USB cable to the USB port of the PC. 3 Connect the USB cable to the connecting terminal on the bottom of the recorder. [Remote (Composite)] or [Remote (Storage)] is displayed on the recorder if the USB cable is connected. After connecting the recorder to your PC, it will be powered through the USB cable. When connected to a PC, the built-in memory and SD card will be recognized by the PC as separate removable disk drives. 4 Connecting to your PC Notes NEVER remove the card or disconnect the USB cable while the status indicator light is flashing. If you do, the data will be destroyed. Some PC s may not supply sufficient power and the recorder fails to connect. Refer to your PC user s manual regarding the USB port on your PC. Do not connect the recorder to a PC by using a USB hub. Make sure to connect to a USB port on your PC. Make sure to push the cable connector all the way in. Otherwise, the recorder may not operate properly. 51

Connecting to your PC Connecting to your PC using the docking station The Standard version of the DS-5500 does not include the docking station (optional). Place the recorder in the docking station 4 Connecting to your PC 1 Connect the USB cable to the USB port of the PC. 2 Connect the USB cable to the docking station as shown in the illustration. 3 Set the recorder in the docking station. [Remote (Composite)] or [Remote (Storage)] is displayed on the recorder if the USB cable is connected. If the AC adapter is connected as well, power will be supplied from the AC adapter. Disconnecting from your PC Windows 1 Click [ ] on the task bar located at the lower-right corner of the screen. Click [Safely remove USB Mass Storage Device]. The drive letter will differ depending on the PC being used. 2 Confirm that the status indicator light turns off before disconnecting the USB cable. Macintosh 1 Drag and drop the recorder s drive icon for this recorder displayed on the desktop to the Recycle Bin icon. 2 Confirm that the status indicator light turns off before disconnecting the USB cable. 52 Notes NEVER remove the card or disconnect the USB cable while the status indicator light is flashing. If you do, the data will be destroyed. Never touch the contact points at the bottom of the docking station, as this may cause a bad connection. With a PC connected, the recorder cannot be operated with the Foot Switch. When connecting the recorder to a PC via the docking station, remove the Foot Switch.

Running ODMS and DSS Player software By default, when the recorder is connected to your PC, the software will start automatically. Windows Disabling automatic start: 1 Right-click the Device Detector in the System Tray in the lower-right corner of the screen, then select [Settings...]. 2 Click [ODMS Dictation Module]. The check mark on [ODMS Dictation Module] disappears. Manual start: 1 Click the [start] button, then select [All Programs]. All program menu will be displayed. 2 Select [Olympus Dictation Management System], then click [Dictation Module]. Macintosh Disabling automatic start: 1 Click the Dock s System Preferences. 2 Click Device Detector. 3 Turn the automatic startup setting to Off. Manual start: 1 Double click the DSS Player icon for the folder in [Application] [DSS Player]. 2 Register user information. The user s registration screen will be displayed at the time of initial startup. Input the serial number. The serial number is found on the seal attached to the CD-ROM package for the DSS Player software. Using as external memory of the PC The recorder can also be used as external memory for your PC. When the recorder is connected to the PC, it will be recognized as a removable drive and the recorder s memory will become accessible on the PC. Standard copy/move and delete commands of the PC can be used to download and upload data between the recorder s memory and the PC. Example: Copying data from PC to recorder s memory 4 Using as external memory of the PC 1 Connect the recorder to the PC. For connection procedure, see Connecting to your PC ( P.51). The recorder will appear as a removable drive icon. 2 Open the recorder removable drive with Explorer (Windows) or Finder (Macintosh). 3 Copy the data from the PC to the recorder s memory. 4 Disconnect the recorder from the PC.
