College Faculty Salary and Credentialing System WELCOME! The College Faculty Salary and Credentialing System has been developed to streamline the process of Salary Placement and Credentialing submission, review, and approval. FEATURES INCLUDE: Secure repository for Faculty employment, degrees, courses, and certifications and licenses information. Online submission, status tracking, and evaluation outcomes in one online tool. Step-by-step form submission process with help aids to ensure completion and correctness. Permission-based evaluation workflow, enabling HR to review and approve appropriate information. Built-in reminders for Faculty to provide required documentation with their submissions. Historical tracking for documentation purposes. COLLEGE HR DOCUMENTATION Documentation on the following pages is designed for college HR staff involved in evaluation of Salary Placement and Qualification Evaluation requests from Faculty. All users of this system (Faculty, College HR Staff, and Office of the Chancellor Staff) must initially set up an account with the system in the same way Faculty accounts are set up. Account setup and activation steps are described in the following pages. College HR will be provided a higher level of permissions to review and act on form submissions from Faculty as appropriate. 1

REGISTRATION PROCESS When you initially go to the URL for this Web site, you will be asked to register. This process will enable you to set up your account and password. Click Register. REGISTRATION PROCESS Fill in the open fields required for registration. Read the End-User License Agreement and put a check mark in the box next to I agree. Click the Register button. REGISTRATION PROCESS When this message appears, your registration is being processed. An email notification will be sent to the email address you have provided above. 2

REGISTRATION PROCESS You will receive a confirmation email shortly after registering. This confirms your email address and password. You can change your password at a later date. To activate your account, click on the URL provided at the bottom of the email. REGISTRATION PROCESS You will be taken to a login page with your email address pre-filled in. Enter the password you have chosen during registration. If you forget your password in the future, click Forgot your password? to initiate a new password. REGISTRATION PROCESS You have now completed the registration process and will be brought to your Personal Profile page. Fill out the Basic Contact Information so that your contact information is available for lookup by administrators of the system. 3

PERSONAL PROFILE Each time you log in, you will be brought to your Personal Profile page to verify your personal information. You may also change your password from this screen. The wrench symbol enables you to edit the data in that area. Click on the wrench symbol next to Basic Contact Information. BASIC CONTACT INFORMATION As a College HR Staff user, you will be using this tool to evaluate submissions for Salary Placement and Qualification from Faculty at your college. If you fill in the basic contact information, it will be easier for other administrators to find you in the system, This information, however, is not essential for you to use this system. NOTE: you do not need to select the institution(s) for which you work unless you will be submitting forms on your own behalf. SYMBOLS USED IN THIS ONLINE TOOL 4

FORMS WAITING FOR REVIEW To find forms that have been submitted by Faculty, click on Forms Waiting for Review. Here you will find Salary Placement or Qualification Evaluation forms that have been submitted by Faculty at your institution that require your attention. In this example, two forms have been submitted for your review: one for Salary Placement Evaluation and one for Qualification (Credential) Evaluation. The magnifying glass icon allows you to review the submission and any historical information attached to the line items. Click on the magnifying glass for the Salary Placement Form submission. Shown above is a Salary Placement form that has been submitted, viewed via the magnifying glass tool. You are able to view the submission and check (via the same tool) details about previous submissions. The small window shows history for the Master s Degree in Business from the University of Texas. This detail allows you to see the item history and view previous submissions that included this item. 5

FORMS WAITING FOR REVIEW From this screen, you also can click on the wrench icon to act on this form submission. Click on the wrench symbol for the Salary Placement Evaluation form. FORM REVIEW, VERIFICATIONS, AND DETERMINATIONS FOR COLLEGE HR As seen above, two types of forms will be submitted to College HR for review, verification and determination. The types of verifications and determinations that can be made by College HR are dependent on the type of evaluation requested (Salary Placement or Qualification). The following rules apply for making Verifications and Determinations: 1. College HR always verifies faculty past employment items. Employment verification documentation must be provided by the faculty member to facilitate this decision. 2. College HR always makes the step determination in Salary Placement Evaluations. System Office can override these decisions, however, in their final review. 3. SO verifies educational information for Salary Placement for all Appointment Statuses. Transcripts must be provided by the faculty member to facilitate this decision. 4. SO makes column determinations for Salary Placement Evaluations. 5. College HR verifies educational and professional certification and license information for Minimum Qualification Evaluations ( credential requests ). College HR makes final determination on Qualification Evaluations. 6

SALARY PLACEMENT EVALUATION College HR can view history of a submitted item from this page by clicking on the magnifying glass icon. Indicates item needs to be verified. Since these are educational items, they must be verified by OOC. College HR verifies employment item(s) here. Append determination with a notes. Enter total number of years of experience. College HR makes step determination and chooses step level here. 7

QUALIFICATION EVALUATION College HR verifies educational and professional certification and license information for Qualification Evaluations. College HR can view history of a submitted item from this page by clicking on the magnifying glass icon. College HR makes Qualification determination here. 9
