Agency Integrator TECHNOTE igo Integration Agency Integrator March 2014 This TechNote describes the Integration between Agency Integrator, and both the igo e-app and the igo Drop Ticket integration process. This Integration will allow users of Agency Integrator at the Distributor level using the igo e-app process to view, scrub, and finish applications submitted by the producer without having to enter them manually into Agency Integrator, through igo. Setting up the Integration Before you can begin to see igo e-app and igo Drop Ticket applications populate in Agency Integrator, ipipeline will need to set up a few things behind the scenes. If you are interested in the integration, the first step will be to notify your ipipeline Customer Account Manager. Your Customer Account Manager will work with you through the following setup items. Document Vault igo Document Vault Category igo Code Families and Codes igo Command Center Filter igo Default Agent and Default Organization Document Vault Document Vault is an ancillary ipipeline product that stores imaged documents and associates them with Applications in Agency Integrator. In order to view the images associated with your igo Applications, you will need access to Document Vault. If you already have Document Vault: Make sure you have sufficient space available to begin handling the images associated with the Applications that will be sent by the igo process. Additional gigabytes of space can be added by speaking with your Customer Account Manager. If you do not already have Document Vault, your Customer Account Manager will provide you with access. igo Document Vault Category In order to keep all the images associated with these new igo Applications organized, your Customer Account Manager will create a new Category within Document Vault Category Administration to which all of these images will be assigned. Important Note: When you see a Document Vault Category named igo, do NOT edit or delete it igo Code Families and Codes In order to keep igo Applications organized, and to help with notification and reporting, your Customer Account Manager will create a new Code Family and Codes in Codes Administration. 2 P age
Important Note: In order for your igo Integration to work successfully: TechNote: igo Drop/Ticket Integration When you see a Code Family named eapp, do NOT edit or delete it When you see Codes named igo, igo - Go, igo - NoGo, or igo Drop Ticket, do NOT edit or delete them igo Command Center Filters In order to keep igo Applications organized, and to help with notification and case management, your Customer Account Manager will create two new Command Center Filters in Command Center Administration. Important Note: When you see Command Center Filters named igo, or igo Drop Ticket do NOT delete them, though you may rename them. Default Agent, & Default Organization Your Customer Account Manager will be setting up two users in your environment called EAPP, and IGOAUTO to determine which Organization and Default Agent your igo Applications should be associated with, in case the igo Agent can t be correctly matched to an Agent in your system. You will not be billed usage fees for these users. Pick an Organization to which your agency s unmatched igo Applications should be assigned to, and communicate that to your Customer Account Manager. If you would like to create a NEW igo Organization to house and manage these applications, let your Customer Account Manager know that you would like a new organization, rather than using an existing one. Pick an Agent to which your agency s unmatched igo Applications should be associated to. You can either choose an existing Agent in your system, or your Customer Account Manager can create a new Agent for you called igo Default Agent. You will be manually re-assigning the correct agent, once created, in Agency Integrator. Last Steps Your Customer Account Manager will work with the igo Professional Services team to start the feeds from igo to Agency Integrator, and will notify you when the feeds have been activated. Viewing igo Applications When a Producer submits an e-app or ticket through igo, you will be able to view the application as a Pre-application through the Command Center in Agency Integrator. 3 P age
Click Command Center on the top menu bar. TechNote: igo Drop/Ticket Integration On the bottom half of the page, the Application List, select igo or igo Drop Ticket from the dropdown choice marked Filter. This will load a list of eapps or tickets that have been submitted to your agency by Producers using igo. Double click on any row in the filtered list to view the Pre-Application Detail page for that eapp or ticket. 4 P age
The bottom of the Pre-application Detail page contains many Tabs that will allow you to perform a review of the ticket as submitted by the Producer, including a way to view imaged documents. Viewing Imaged igo Documents Any imaged documents sent from the Producer via igo will also be visible in Agency Integrator for your review. Click Tabs on the top menu bar and select Document Vault: 5 P age
A Documents tab will appear containing a list of all associated images. 6 P age
Right click on the form/document you would like to view. It will appear in a separate pop-up window as either a PDF or TIFF image: TechNote: igo Drop/Ticket Integration After reviewing the ticket, you can change the status from Inquiry Received to any other pre-app status, or even roll the case into a formal case in order to get the app to drop off the Command Center filter. Case Decision After thoroughly reviewing the e-app, each case needs to be marked with a decision either Go or No Go. E-Apps marked Go will be submitted directly to the Carrier. E-Apps marked No Go will go back to the Producer for further re-working and submission in igo. Drop Tickets are processed differently and need not be decisioned. They will be marked as Go automatically. 7 P age
Marking an eapp as Go On the top-right of the Pre-application Detail page for an igo Application only, you will see a dropdown menu called eapp. If the application is in good order, and ready to be submitted, select Go from the eapp drop-down list. Marking a case as Go will add the igo Go Code to the case. Selecting a case decision will also cause the case to drop off of the igo Command Center Filter. Marking an eapp as No Go If the application is not in good order and needs further follow up, select No Go from the eapp drop-down list. Selecting No Go will send the e-app back to igo and notify the Producer that further review and a resubmission is needed. It will also change the Status of the case to Void. This change in Status will also cause the case to drop off of the igo Command Center Filter, as a resubmission by the producer will result in a new case in Agency Integrator. Adding Notes to Case Decision Once you have selected either Go or No Go, a modal window will pop up, asking for further information or Comments. Some of these fields are required in order to successfully submit the case to the Carrier. Those that are required will be indicated by a red *. 8 P age
If you have selected No Go, the Producer will want to know why the application was not in good order. Enter your notes here so that the Producer can see the reason for your decision and make appropriate adjustments on their resubmission in igo. Click the OK button on the bottom of the modal window to save your changes and to send the information you entered back to igo. Viewing the igo Case Decision You can view the decision Comments at any time by clicking the Comments tab, on the bottom half of the Pre-application Detail page. 9 P age
Comments with a description of either igo = Go or igo = No Go will contain the additional notes left by the user at the time of the decision. Rolling an igo Pre-app to a Formal Application The e-app arrives from igo as a Pre-application in Agency Integrator. To formalize the Pre-app, you will roll it to a Formal application. The rolling process allows you to visit all the tabs present in the application entry process and select GA#s, Hierarchies, Forms, Requirements, Commission Schedules, etc. and apply them to the igo application. Before or after marking your Case Decision, you can Click the Actions menu and select Roll Preapplication to Formal. 10 P age
The Application Entry page appears, with all information from the Pre-application already populated in the appropriate fields. Proceed through the Application Entry process, visiting each tab and populating information as desired for the Formal Application. 11 P age
FAQs TechNote: igo Drop/Ticket Integration What if the agent submitting the igo hasn t already been added as a Contact in Agency Integrator? The case will still be created, but it will be associated with whatever Agent you specified as your igo Default Agent in the setup process. You will need to re-assign the correct Agent to the case, once added as a Contact in your system. Are requirements generated when an igo case is created? No. Requirements will need to be manually added if needed. Alternatively, when you roll the Pre-application to Formal, requirements can be generated. If my agency has active Memos turned on using the New Application trigger will they generate when an igo is created? No. Memos will need to be manually generated for igo cases, if desired. Alternatively, memo triggers can be setup to trigger after a roll has been completed from Pre-app to Formal. Will hierarchies be added automatically to igo cases? No. Hierarchies will need to be manually added. Alternatively, Hierarchies can be attached automatically or manually during the roll process from Pre-app to Formal. Will commission schedules be applied automatically to the igo Drop Tickets? No. You can manually attach the Commission Schedule by clicking the Recalculate Commissions button on the Agents tab. What organization will the igo Drop Tickets be assigned to? If the agent has a default Org. that one If the agent has one and only one Org. that one If the agent has more than one organization, and none are marked default the case will be created in the default org. assigned to the EAPP or IGOAUTO Data Users. If the agent on the igo Application does not match an agent in Agency Integrator, the case will still be created, but it will be assigned to the Default Agent.
