Darton State College Proctored Testing Information 1. What is a proctored exam? A proctored exam is an exam taken at an approved off- campus location. A proctor is the person who monitors you during the exam to ensure the integrity and security of the exam process. All costs associated with proctored exams are the responsibility of the student. 2. Does my class/instructor require proctored exams? To determine if your class/instructor requires proctored exams visit http://online.darton.edu Additional Course Fees. Please note the number of proctored exams required and the proctor options accepted (see number 3). 3. What options do I have? Depending on the course and instructor you may have any of the following options be sure to check your instructor s directions to verify which methods are approved for your course. Darton State s Testing Center Albany Campus go to http://www.darton.edu/current/testing/online.php to review the testing schedule and find dates/times that will work with your schedule and the available dates your instructor has set for the test. If testing at Darton s Testing Center, you do not need to submit a proctor approval form; you will show up at the testing center on the day of your exam. There is no fee associated with this option, be sure to bring proper identification. Darton State s Cordele Center contact the Cordele Center at 229-276- 2589 to schedule an appointment during the dates/times your instructor has set for the test. You must schedule your test appointment at least three days in advance of your test date. There is no fee associated with this option, be sure to bring proper identification. Proctor U Online Proctor U is an online service that allows you to complete your exam from your home computer. You will need to have a computer with a webcam, microphone, and high speed internet access. For information the Proctor U student information handout and go to this website: www.proctoru.com/darton. You will need to set up an account and follow the instructions to schedule an appointment for your test. There is a fee associated with this option and depends on the length of the exam the student is responsible for the payment of fees. (See table below). Fees are set by the selected proctor site and are the responsibility of the student. This process requires the student to work with his or her online support specialist, an acceptable off- campus proctor site, and his or her instructor. The student should: 1. locate an acceptable proctor 2. print the Off- Campus Testing Site and Proctor Approval Form found in your online class complete the student information section of the form 3. have the proctor complete the site information section of the form 4. Fax or email the completed form to the appropriate Online Support Specialist (The contact information for the Online Support Specialist is located at the bottom left- hand corner of the form.) 5. Forms should be submitted by the second week of class during the fall and spring semesters and by the end of the first week of class during the summer. Do not wait until a few days before your exam to find a proctor. Requesting approval for a proctor on the day of your exam is unacceptable. Note: Each division at Darton has a designated Online Support Specialist so it is important that you submit your form to the correct person. For example, if you are submitting a proctor form for your biology exams,
it should go to the Science/Math Division Online Support Specialist. Sending it to the incorrect person will result in a delay in the approval of your proctor or a potentially lost form. If more than one class requires proctored exams, you need to submit a separate form for each class. Make sure you use the form posted in each specific class. For example, do not use the form for your biology class to request a proctor for your history class. Please read the form carefully and make sure all sections are completed; incomplete forms will not be processed. How do I know if my proctor has been approved? The appropriate Online Support Specialist will notify you via email if your proctor has been approved or denied. Depending on the volume of proctor forms received, it may be 3-5 days before you receive a response. Please make sure you check your Darton student email account, MyDC, before calling about the status of your proctor approval form. If it has been longer than one week and you have not received a response, please check with the appropriate Online Support Specialist to ensure your form was received. Please note that the only e- mail information regarding your test will be sent to is your MyDC e- mail address. How do I schedule my exams? Once your proctor has been approved, it is your responsibility to contact the proctor and schedule an appointment to take the exam(s). Your instructor will provide you with the exam dates for the entire semester. Some locations may require you to schedule your appointment weeks in advance and others may require only a few days notice. Un you are testing at Darton s Testing Center, do NOT show up on the day of your exam and expect to be proctored without an appointment. What should I expect on the day of the exam? You must show your proctor a photo ID in order to take the exam. Do not take your textbooks or class notes with you to your proctor location, as you will not be allowed to use any additional sources during the exam. If your exam requires the use of a calculator, your proctor will be informed of the type of calculator you may use. Cell phones are not allowed to be used as calculators or for any other reason during an exam. If your exam is computerized, you will log in to your online class to take the exam. Your proctor will enter the password for you. If your exam is paper/pencil, your proctor will have a copy ready for you. If you need scratch paper, your proctor will provide this for you. Proctors will take up your exam and any scratch paper used when you are done. Once you begin the exam, you will not be allowed to leave for any reason until you are finished. Exams are timed and proctors are informed of the time requirements. I showed up to take my exam but my proctor did not have my exam information. What do I do? Online Support Specialists send the exam information to the proctors at least one day in advance of the scheduled exam date. In order to avoid any problems on testing day, it is recommended that you contact your proctor a day before your exam to ensure that the proctor instructions have been received. If you arrive at your testing location and your proctor has not received the information, contact the appropriate Online Support Specialist ASAP so the information can be sent again. If you cannot reach the Online Support Specialist, contact your instructor for assistance. If you have not followed the instructions for submitting a proctor approval form, your proctor will not be sent the exam information. Do I have to take my exam on the scheduled date? Yes, plan to take the exam on the scheduled exam date. Some instructors allow flexibility; others do not. Most instructors state their policy on this in the syllabus or post somewhere in the online class. What if my proctor is not available on the day of my exam? Inform your instructor of this and ask permission to test on a different day. If this is not possible, you may need to find another proctor. If I want to use the same proctor as last semester, do I have to submit a new proctor approval form? Yes, you must submit a new form each semester, regard if it is the same proctor or even the same class. Keep in mind that it is possible a proctor you used for one class will not be approved for another class. Different disciplines require different levels of proctoring and may vary by instructor.
Proctor Approval Policy Darton College has set the following minimum requirements for proctor sites and proctors. (Some disciplines will require standards that are more stringent usually requiring that the student use only a College, University, or Testing Center.) Proctor Site Requirements: It is important that approved proctor sites have the ability to: Safeguard and protect the honesty, integrity, and fairness of the test and the testing procedure. Including the ability to lock away tests and secure password information. Provide a distraction- free environment conducive to testing. Provide the student access to a computer with Internet access or a quiet space to take paper/pencil exams. Provide adequate parking which meets ADA requirements. Proctor Sites may NOT be a private residence un given special exception due to mobility limitations or special needs. (To secure this special exception the student must work with the college s Disability Services office.. http://www.darton.edu/current/stu_aff/disabilityservices.php ) Proctor Requirements: The proctor ensures the security and integrity of the exam process, and Must be an objective third party with no interest in the student s test results. Proctors may not be family members, supervisors, friends, or co- workers or be employed by or supervised by a family member or friend. Must be a professional who is knowledgeable in safeguarding proper testing conditions. o Must provide a professional e- mail account and physical work address to verify his or her title. (A professional URL is preferred.) Examples of Approved Proctor Sites/Proctors: o University/College Testing Centers Private Testing Centers (e.g.: Sylvan) Public Libraries Embassy Education Officer Military Base Education Officer Overseas Military Non- commissioned officer in charge or Officer in Charge School Principal, Vice Principal, Full- time Librarian, Teacher, or School Counselor College Professor, Dean, or Director Human Resource Manager, Training Director, Training Officer Examples of Unacceptable Proctor Sites/Proctors: Neighbor, relative, friend Supervisor or co- worker Employee of a family member or friend Student Teachers or Graduate Students Minister, Priest, or Rabbi Coach Athletic Advisors Proctoring Guidelines: 1. The student must present picture identification and pay any necessary proctor fees before taking the examination. Proctor fees are determined by the individual proctor sites and Darton College bears no responsibility for the price point of the fee or the collection thereof. Students may be required to provide a postage paid envelope to the proctor for the return of testing materials. 2. The student may not use a personal laptop or computer for electronic tests and may not have any electronic devices, including but not limited to: cell phones, ipods, ipad s, and other tablet devices.
3. The student may use a calculator IF the testing instructions permit them to do so. 4. The student should not have access to any materials other than those specified on the testing instructions. Possession of unauthorized materials is considered evidence of scholastic dishonesty. 5. The student should remain in the testing area until the examination is complete. If the student decides not to take the examination immediately after seeing it, they will forfeit the right to take the examination. 6. The student must complete the test within the designated time and in one sitting. For paper/pencil tests, the proctor should indicate on the exam the time the test was started and the time the test ended. It is the student s responsibility to ensure that the test is taken within the allotted amount of time. 7. The examination or password must remain in the possession of the proctor at all times. Passwords for online tests should be entered by the proctor and remain hidden from the student. The students should never be in possession of the examination or password after the exam has been administered. All testing documentation should be returned to the proctor including scratch paper. Students are not permitted to have a copy of the examination or to copy or print any part of it. 8. The proctor should observe the student throughout the entire testing period. If at any time during the testing process the proctor observes behavior considered academically dishonest, the proctor is to immediately collect all examination materials from the student and return them along with a written, signed description of the behavior observed. Proper Proctor Etiquette Review the proctor policy document to familiarize yourself with appropriate/approvable proctor sites and proctors. Choose one of these locations or proctors that are located nearest you. Contact the site/proctor the first week of class to let them know you are taking a class at Darton State that requires proctor testing. Ask if they would be willing to proctor tests for you. Make sure to find out the following: o Fee, if any o Site policy on proctoring for other schools (Ex. How far in advance do you need to schedule your test with them and what times are they available for testing.) If the site is available for you to take your test on the date needed, work with the proctor/site to complete the proctor approval form found within your course. It is best practice to go to the site to get the form completed. Do not try to avoid going to the site by emailing or faxing the approval form to the proctor. That leaves room for misunderstanding and prolonged approval of your site. NOTE: Approval forms are specific to your class please do not put more than one class per form. Submit proctor approval form within the first week of class by faxing to the number listed on the form. YOU CANNOT PROCTOR WITHOUT A PROCTOR APPROVAL FORM. Call the proctor/site the day prior to the test to verify that you are on the schedule. (Proctor information is sent to the proctor/site 24 hours in advance of the test.) You MUST notify your proctor if you are unable to make scheduled time or if you have changed your proctor location. Bring a picture ID to the test the proctor is required to verify your identity prior to
administering the test.
