The SOLAS Container Weight Verification Requirement Verified Gross Mass (VGM) UASC Online features and functionalities 16 June, 2016 Further to our advisory dated 24 January, 2016, in our quest to ensure customers are as informed as possible, we have shared details on UASC s online feature and functionalities, as well as submission of VGM information by you and your designated parties. Our online system displays the VGM cut-off dates and alerts you on all the important milestones; predominantly related to UASC s online platform and ERP. Effective 1 July, 2016, we will be ready with an easy to use and complete VGM solution for our registered UASC Online customers. VGM cut-off timelines UASC Online keeps you well informed on VGM cut-off timelines at every step of the process, including sailing schedules, booking, shipping instructions, Bill of Lading corrections and active shipments. VGM cut-off date and Due for VGM Our e-commerce portal assists you by exhibiting and alerting VGM cut-off dates throughout the documentation process with an option to filter due for VGM shipments only. VGM submitted for all containers in a specific booking is displayed in green, whereas VGM due for one or more containers will be displayed in red. Click the date to see the VGM status of all containers. Find VGM status How do I know VGM is submitted for my shipments? Can I search the VGM status against a booking or bill of lading number? The answer is YES! It is possible to search the VGM status of your shipments through two easy steps. Select search reference type from a pre-defined list e.g. by container number, booking or Bill of Lading number Update reference number and click Search button to see the VGM status
Submit VGM information to UASC directly A flexible and user friendly interface is available for you to submit the VGM from UASC s online portal. We have also included the option to submit VGM by specific container (or) for all containers in a booking or a Bill of Lading. Choose an appropriate search reference to submit VGM i.e. by container (or) booking (or) Bill of Lading Type reference and choose your preference for container selection i.e., VGM pending only (or) Custom selection (or) all available containers Complete all mandatory fields and other required information in the VGM Information section Update weight and UOM (Unit of Measurement) in the bottom grid and submit VGM See Action section where we have included the option to copy weight to all or specific containers. It is also possible to remove containers which are already selected for VGM submission. If you select this option, VGM submission details will be removed, while booking details will remain. A tool tip will be available against each field for you to understand what needs to be inserted in that field. Important Note: VGM amendments for a container can be submitted by retrieving the same booking number/container number. The history of amendments can be seen by clicking the Submitted accepted link under VGM status as shown below.
Authorize Third Parties (ATP) to submit VGM
UASC Online admin users are permitted to create and manage Authorized Third Parties (ATP), who can, in turn, submit the VGM on your behalf. Admin users can activate, de-activate, reset passwords and notify the ATP. An ATP with valid user credentials will be able to submit the VGM on your behalf. Admin users from the customer side will have access to create and manage user credentials, as well as notify ATPs directly from UASC Online. Who is the UASC Online Admin user of your company? Click your name and see the assigned UASC Online role under My Colleagues list. Don t have an Admin user for UASC Online? Please contact ecommerce@uasc.net immediately and include the existing UASC Online user email of whom you want to provide admin rights.
Alert message and quick link to submit VGM As a proactive measure, if VGM submission is pending for one or more containers of a specific transaction, UASC Online alerts customers while submitting Shipping Instructions and Bill of Lading corrections - with a quick link to the VGM submission screen. Other modes to transmit VGM information to UASC We are well prepared to support our customers to meet the VGM compliance. Though UASC Online is our preferred mode, it is also possible to transmit VGM from a number of alternative solutions. If you do not use any of our e-commerce solutions, we will accept VGM information by email. However, please note that if VGM is submitted by email, there will be a delay in processing your request due to the time needed to manually feed the data to our systems and additional charges may occur.
