mytraining INSTRUCTION GUIDE This guide is to be used as a resource for successfully completing training within the mytraining training management system LOGGING INTO MYTRAINING To log into mytraining: 1. Log into my.ufl.edu with your GatorLink Username and Password 2. From the Main Menu, navigate to My Self Service > Training and Development > mytraining Enrollment.

An additional method of logging into mytraining depends on whether you are a UF or UF Health Shands employee. The steps listed below are specific for each group. UF Employee 1. Access http://mytraining.hr.ufl.edu 2. Click the University of Florida button. 3. Login with your UF Username and Password UF Health Shands Employee 1. Access http://mytraining.ufhealth.org 2. Click the UF Health Shands button 3. Login with your UF Health Shands Username and Password 2

If you do not meet the definition for either a UF or UF Health Shands employee, you would click the Other button. NAVIGATING THE INTERFACE After logging into mytraining, you will see the mytraining Dashboard. The Dashboard allows you to locate learning activities; launch, complete and cancel those activities; view your training transcript; print diplomas; and complete evaluations. Learner Tab As a Learner, you will see the Learner tab at the top of the screen which is automatically defaulted to the Dashboard view. The Dashboard is also referred to as the Home page. If you mouse over the Learner tab, you will see a drop-down list with the following three option categories: 3

Beneath the Learner tab you will see a Search and Help icons. The Search icon will display the Catalog where you can locate available learning activities by category. The Help icon will display help relevant to where the learner is within the system. The Log off function is located on the far right side of the Search and Help icons. By clicking your name, you will be offered an option to log off. Right Panel On the right side of the Dashboard you will see a breadcrumb trail at the very top of the screen. As you navigate within the mytraining environment this trail will display the path you have taken. You can use the breadcrumb trail to move back up the path you have followed. Clicking Home will take you back to the Dashboard. 4

Directly beneath the breadcrumb trail in the right panel you will find the News page, the To Do list and the Catalog. The News page will display any new, important information relevant to you as a learner. For example, this page may contain announcements, directions, or helpful links. The To Do list initially displays fully expanded and shows you the learning activities to which you have been assigned, have registered for and/or have recently launched. In this section, you can view activities details, cancel registrations, start online courses and access curriculum content. 5

The Catalog shows you all catalog categories. You can locate relevant training by clicking a category and drilling down to find the desired learning activity. 6

Left Panel The Left panel allows you to search specifically for the desired learning activities, access your Training Transcript, view learning activities to which you are currently registered, view any required or recommended learning activities, and read any system generated messages sent to you. SEARCHING FOR LEARNING ACTIVITIES You can search for learning activities either by using the main Activity Search function or searching the Catalog. Dashboard Search 1. Click the Activity Search box in the left panel of the Dashboard. 2. Enter the search criteria. NOTE: You can search by course name, course code, or relevant key words. 3. Click the Search Training icon (magnifying glass) or hit the Enter key to run the search. 7

4. Confirm desired learning activity appears in right panel Catalog Search 1. From the Dashboard, scroll down until you see the Catalog in the right panel. 2. Locate and select a relevant category or sub-category 3. Drill-down, if needed, until you locate the desired learning activity 8

COMPLETING TRAINING There are various types of learning activities available in mytraining. The most common learning activities are listed below. Online Courses A standalone learning activity that either contains an internal assessment or does not include an assessment at all. To launch an online course, click the Start button. Curricula A curriculum is a container that holds multiple learning activities. For example, a curriculum might contain an online course, a document, and an assessment. To launch a curriculum, click the Register button Instructor-Led Courses/Classes An Instructor-Led course/class is a face-to-face learning event that will occur at a particular date and time. After registering, you will attend the class session at the proper time at the indicated location. To register for an Instructor-Led course/class, click the Register button. 9

Assessments An assessment is a learning activity strictly designed to assess learning. You will rarely see an assessment display as an independent learning activity. However, you will often see it included in a curriculum. 10

Curriculum Registration When registering for a curriculum, you will see a screen similar to below: The number of learning activities included in the curriculum will be indicated by the Activity tabs. The individual learning activities that are included in the curriculum will display as blocks. If any of the blocks are grey, those learning activities are required and cannot be removed from the curriculum. If any of the blocks are white, those learning activities are optional and you will select them to include them in the curriculum. If a block is outlined in green, this indicates that learning activity has been updated since the last time you registered for or completed the curriculum. The list of selected learning activities will appear in the right Selected Activities panel. If any of the activities are optional, you will see an X next to them so that you can remove them from the list of chosen activities. After selecting the appropriate learning activities, click the Next button and then the Submit button. 11

Instructor-Led Course/Class Registration Instructor-Led learning activities will display as either courses or classes in mytraining. When registering for a course, you will be taken to a screen that displays the various class sessions available. Select the desired date/time of the session(s) you wish to attend, click Next, and then click Submit. If the Instructor-Led learning activity is displayed as a class, the search results will display each individual upcoming class session. Select the Register button for desired class you wish to attend, then click Submit. Click Done to return to the Dashboard. When registering for an instructor-led class, you may see a screen similar to below: 12

CANCELLING REGISTRATIONS After registering for a learning activity, you may decide not to attend or complete the learning activity. There are several methods to cancel registrations; however, the method listed below is the most direct. 1. In the Right Panel, locate the To Do section 2. Within the To Do section, locate the activity you wish to cancel (you may need to scroll) 3. Click the Cancel Registration link 13

4. Click the Cancel Marked button 5. Confirm the cancelled activity no longer appears in your To Do list. ACCESSING YOUR TRAINING TRANSCRIPT All activities that you have completed will appear in your Training Transcript whether you successfully passed any included assessments or not. 14

By default, transcript information is sorted by Completion Date. You can also sort the transcript contents by Activity name, Start Date, Expiration Date, or Score. You may also export the transcript data to a PDF file or print a hard copy if desired. The PDF file will appear in a separate browser tab. Click OK on the download window before accessing the PDF file. COMPLETING EVALUATIONS As part of our continuing desire to improve training at UF/UFHealth, you will receive a request to submit an evaluation after each learning activity you attend. You will receive notification of waiting evals in your To Do list and also via email. 15

Completing evaluations via To Do list 1. Click evaluation notification link in To Do list. 2. Click the Start button of the evaluation you wish to complete. 3. Complete the evaluation and click the Submit button. 16

Completing evaluations via email 1. Open the evaluation request message within your email application. 2. Click either evaluation link found within the email message. 3. Log into mytraining to access the evaluations page. 4. Complete the evaluation and click the Submit button. PRINTING DIPLOMAS Certain learning activities that you have successfully passed will provide access to a diploma that you can print if desired. 1. Click the Training Transcript link in the Left Panel 2. Locate the activity that contains the diploma (you may need to scroll) 3. Click the Diploma icon 17

4. Confirm the correct information appears in the displayed diploma 5. If you wish to print or export the diploma as a PDF file, scroll up (if needed) and click either the Print or Export to PDF button. (If you don t wish to print the diploma, click the Close button) 18
