Introduction This guide is designed for an accounting firm s clients who will have access to document management features through NetClient CS portals. Think of your NetClient CS portal as an extension of your accounting firm s website through which the firm can securely and quickly exchange electronic documents with you and deliver electronic documents to you. Sharing documents electronically is good for the environment because it doesn t require the use of resources that are required to produce and transport printed documents. Also, unlike email messages and their attachments, NetClient CS portals use encryption technology to ensure that your information is secure. Depending on your document-management needs, your accounting firm will provide you with access to the ClientFlow module, the File Exchange module, or both. ClientFlow interacts directly with your accounting firm s document-management system, which allows for the fast and convenient exchange of documents and information between you and your accounting firm. File Exchange also provides a fast and convenient way to exchange documents, and it has additional features, such as a Private folder in which you can store your most important documents. System Requirements for NetClient CS You must have a high-speed Internet connection to use NetClient CS. NetClient CS is compatible with the following Internet browsers. Getting started with NetClient CS In this chapter, you will learn how to register your NetClient CS account, how to log in to NetClient CS, and how to access key features of NetClient CS. Note: The images in this guide are examples. Depending on the features your accounting firm enabled for you, your NetClient CS portal may look different. Activating your NetClient CS account After your accounting firm creates a NetClient CS account for you, you will receive a NetClient CS activation email message from register@netclientcs.com. The message will contain a link through which you can create a login and password for your portal. Important! If you do not receive an activation email message, contact your accounting firm. Follow these steps to activate your NetClient CS account. 1. In the activation email message, click the registration link to create your login and register your account. Getting started with NetClient CS 2. In the NetClient CS registration screen, enter a login in the Create Login field. Tip: Use your email address as your login to make it easier to remember. 3. Enter a password in the Enter Password field. Notes Passwords must be at least seven characters long and must include letters and numbers (for example: password1 ). Passwords can contain symbols, such as %, $, and #. Passwords are case sensitive (for example, PassWord1 ). 4. Re-enter the password in the Confirm Password field. Notes If you have questions or if you have difficulty accessing your NetClient CS account, contact your accounting firm. After you register your account, you can log in to NetClient CS from your accounting firm s website. You can also bookmark the NetClient CS login screen in your browser. Getting started with NetClient CS Additional information You must change your password at regular intervals for security purposes. Passwords cannot be reused. Note: If you want to know how often you will be required to reset your password, contact your accounting firm. If you forget your password, you can reset it by answering a series of security questions that you can specify after you activate your account by clicking the My Account link in the Home Dashboard. If you enter an incorrect password, you can click the Help! I ve forgotten my password link to request that NetClient CS send you a temporary password via email. If ten consecutive, unsuccessful login attempts are made to log in to a NetClient CS account, NetClient CS locks the login for that account. NetClient CS will send an email message to the email address that is assigned to your login to notify you of the attempts and to provide a link to unlock the login immediately. NetClient will unlock your account when you click the link in the email message or when the lock expires automatically after 30 minutes. Navigating in NetClient CS NetClient CS provides quick access to all the features you need to manage your portal documents. Managing portal documents with ClientFlow This chapter describes how to manage portal documents in NetClient CS using ClientFlow. Viewing ClientFlow documents After you register your NetClient account, you can view the documents that your accounting firm has placed in ClientFlow for you. 1. Log in to NetClient CS through the link on your accounting firm s website. 2. In the Home Dashboard, click the ClientFlow link under the Document Management heading. 3. In the ClientFlow screen, click a folder to view its contents. NetClient CS Document Management Portal User Guide 7

Managing portal documents with ClientFlow Notes Columns in the ClientFlow screen contain values that your accounting firm assigns to each document for easy organization and quick access. To resize a column, click and drag its border. Click a column heading to sort the documents in the list by the information in that column. The ClientFlow screen will be empty if your accounting firm has not published any documents to the NetClient CS portal for you to view and you have not uploaded any documents recently. 4. Managing portal documents with ClientFlow Notes Because documents in ClientFlow are read only, you cannot edit them. If you need to edit a document, save a copy of it to your local drive by choosing File > Save As (or by clicking the Save button in the Acrobat toolbar), edit the document, and then upload it to NetClient CS as described in Uploading documents to ClientFlow on page 9. You can view documents only if the software applications in which the documents were created are installed on your computer. For example, to view a DOC or DOCX file, Microsoft Word must be installed on your computer. 5. Click the close button when you are done viewing the document. 6. Click the Up icon to return to top-level ClientFlow screen. Uploading documents to ClientFlow Follow these steps to upload a document to ClientFlow. 1. Click the folder to which you will upload the document. 2. Click the Upload icon and then click the Select Files button. Tip: Click the Upload icon again to cancel the upload. 3. Navigate to the documents you want to upload, select them, and click the Open button. 4. Click the Upload button below the selected files. Members of your accounting firm can now view the document. Note: If your accounting firm enabled the Auto Publish feature, the uploaded document will be available to you through ClientFlow. (The Auto Publish feature provides a record of documents you have uploaded in NetClient CS.) 5. Click the Sign Out link to sign out of NetClient CS. Managing portal documents with ClientFlow Additional information You can upload files of any type to ClientFlow. Note that TIFF files are converted to PDF files during upload. You can upload files of up to 1 gigabyte (GB). Your NetClient CS session may time out if your Internet connection is not fast enough to complete a single upload within three hours. You can upload multiple documents or files to ClientFlow simultaneously. Please notify your accounting firm when you upload documents. Your accounting firm determines which documents you can view through ClientFlow and can remove documents from your portal at any time. 10 NetClient CS Document Management Portal User Guide

Managing portal documents with File Exchange Your accounting firm may also provide files to you through the File Exchange module in NetClient CS. As with ClientFlow, you download File Exchange files to your computer, complete or modify the files as necessary, and then upload the files to your portal, where your accounting firm can then access the updated files. File Exchange folder types If you have access to File Exchange, your accounting firm will provide one or more of the following types of folders. Permanent: Files that are placed in permanent folders will remain in the folders until a member of your accounting firm deletes them. Files in permanent folders are visible to you and to members of your accounting firm. Temporary: Files that are placed in temporary folders are available for 14 days after they are uploaded. After 14 days, NetClient CS deletes the contents of these folders automatically. Files that are placed in temporary folders are visible to you and to members of your accounting firm. Private: Files that you place in the Private folder are accessible only to you. No one at your accounting firm can view these files. Files remain in the Private folder until you delete them. Note: File Exchange folders may be empty if your firm has not yet published any documents to your NetClient CS portal, or if you have not recently uploaded any documents. Temporary folders are empty if files have not been uploaded to them within the last 14 days. NetClient CS Document Management Portal User Guide 11

Managing portal documents with File Exchange Viewing File Exchange documents Follow these steps to view documents through File Exchange. 1. Log in to NetClient CS through the link on your accounting firm s website. 2. In the Home Dashboard, click the File Exchange link under the Document Management heading. Note: A statement appears under the File Exchange link if new files are available for you. If new files are available, you can follow the red flags to locate the new files. 3. In the File Exchange screen, click a folder to view its contents. Tips If the items in the list extend beyond the current view, you can use the toolbar controls at the bottom of the File Exchange screen to search for an item, navigate through subsequent pages, refresh the current view, or set the number of items to be displayed in the current view. Click the Home icon to return the Home Dashboard. Click the Up icon to go up one folder level. Click the Remove icon to remove the red flags that appear to the right of newly uploaded files. 12 NetClient CS Document Management Portal User Guide

Note: You can view documents only if the software applications in which the documents were created are installed on your computer. Managing portal documents with File Exchange Notes You can upload a single file of up to 250 MB with each upload. When uploading multiple files at once, the total size of all files cannot exceed 250 MB. To remove a document that you selected for uploading, click the Remove icon for the pending file. Managing files in the Private folder Within the Private folder, you have additional options for managing files. You can create subfolders by clicking the New icon. You can delete files or subfolders by marking the adjacent checkboxes and clicking the Delete Selected button. You can view the access history for a file by right-clicking it and choosing History. 14 NetClient CS Document Management Portal User Guide

Managing portal documents with File Exchange Additional information You can upload any type of file to File Exchange, and you can view the file in its native format. If your accounting firm set up File Exchange notifications for you, you will receive email messages to notify you that new files are available in File Exchange. Please contact a member of your accounting firm to let her know that you uploaded files. Your accounting firm determines which files they will share with you through File Exchange. Members of your accounting firm can remove files from permanent and temporary folders at any time. (Note that only you can remove files from the Private folder.)
