SCA 50 Year - Merchant Application Many thanks to Mistress Seraphina from Gulf Wars for allowing us to use her Gulf Wars Merchant Application as a foundation for the SCA 50 Year Celebration Application. Merchanting Dates and Hours : On Site: - Merchants will be allowed on site to unload and set up beginning Thursday, June 16, 2016. Time to be announced. Selling: - Merchants will be allowed to sell once you are set up. - Merchants MUST be open for sale, by Noon, Sunday, June 19, 2016. - Merchants MUST close down sales by 6:00pm Saturday June 25, 2016 - Quiet hours are 10:00pm 7:00am. You may sell during these hours, we ask that you keep the noise level down. - Merchants MUST be open daily from 11:00am 6:00pm - Wednesday June 22,2016 is midnight madness. All merchants will be required to stay open until at least 11:00pm. You may close Wednesday for up to 4 hours during the day but must be reopened by 7:00PM. The rain date for Midnight Madness will be Thursday June 23, 2016. - This is your vacation too! If you would like to participate in any of the activities, we encourage you to do so! We ask that while you are away you leave a We Will Return At sign: - If you need to arrive later than Sunday, or leave earlier than Saturday due to other events.please just talk to us and let us know. We will make arrangements if at all possible to assist. Merchant Booth Sizes: Bazaar Merchants: These booths will be located in 2 pole barns. They will be arranged in aisles, and assigned according to the size needed and also the merchandise being sold. The layout for the bazaar will not be made until we know which vendors will be attending and the booth sizes they require. All prices listed will be for the booth space only. Individuals attending and merchanting must also register and pay the registration fees for the event. 10 x 20 - $50.00 20 x 20 - $75.00 20 x 40 - $125.00 No spaces larger than 20 x 40 will be offered in the Bazaar. Electricity is available for all merchants in the Bazaar area. You will need to provide your own surge protectors and extension cords. Tables and chairs will be provided in the following quantities in the bazaar area only. 10 x 20 one table and 2 chairs 20 x 20 two tables and 3 chairs 20 x 40 three tables and 4 chairs Extra tables will be available for $5 each.
Tent Merchants: The cost for each tent merchant will be figured individually at $.15 per square foot. You will also need to include space for your ropes. Ropes will NOT be allowed to cross with neighboring merchants. There are many electric lines running through the site. The electric company will be marking the ground with line placement. Tent Merchants will be REQUIRED to stay totally within their marked area, including ropes and stakes. There will be limited electricity available in the Tent Merchant Area. You will need to provide your own surge protectors and extension cords. No tables and chairs will be provided in the Tent Merchant Area. Ground fires are prohibited at this site. If you use flame-producing appliances such as Coleman-type lanterns or stoves they must be the on-off type. You must have a fire extinguisher immediately available. PERIOD or PERIOD-APPEARING TENTS ARE REQUIRED! It may rain!! Come Prepared!! All modern-looking items such as modern tables, chairs, plastic tubs, shelving units, etc. must be covered. Items visible from the road should look period. Allowable tent materials are canvas or other solid fabric covering. Commercial rental tents are allowed. You May NOT Trench. The Details: - There will be no Wi-Fi available. - For early arrival, prior to Friday gate opening, all members of your party must be pre registered or they will NOT be allowed on site NO ARGUMENT, NO APPEAL. Your helpers MUST be listed on your registration form as arriving early. The merchant office provides a list to the gate. Make sure that everyone who needs to be on site early to assist you with set up is listed on your packet. No exceptions. - Merchant space is limited. Acceptance as a SCA 50 Year Merchant will be made from the pool of applications based on: How well you follow the instructions in this application; history at other wars; acceptable merchandise; if there is a space big enough for you. - Merchants who are not selected will be notified and given a choice of two options 1) Refund of fees.or. 2) Placed on a waiting list for cancellations. - Participation as a merchant constitutes agreement with the published rules and regulations. By registering to merchant at the SCA 50 Year all merchants, their agents, employees and affiliates agree to abide by all the rules and regulations of the State of Indiana and The Society for Creative Anachronism Inc. - Registration gives the merchant the privilege of selling as an independent contractor. Registration as a merchant is a privilege granted by SCA 50 Year, not a right. The Merchantcrat or Autocrat may revoke said approval or refuse to accept any application without reason or cause of any kind. Infractions of the rules may result in withdrawal of merchant privileges and expulsion from SCA 50 Year. - If another merchant is selling with you, in your space, their merchandise is considered to be on consignment and you are responsible for collecting and turning in the Indiana sales tax. - Vehicles must be moved to the parking lot as soon as you are done unloading. If you arrive at night, you may wait until morning to move. Your vehicle must be parked in the parking lot before you may begin selling. Vehicles are not permitted in the merchant area between 11am and 6pm (except during set up and pack out). - Every merchant MUST have a sign that is visible as people walk around the Bazaar and Tent Merchant area. - All merchants must conform to acceptable SCA standards of dress. This means Medieval / Renaissance clothing, not fantasy garb. - As SCA 50 Year is a family friendly event, merchandise inappropriate to a family situation should not be outwardly displayed. This is medieval reenactment, NOT fantasy, science fiction, or post 1600 CE time period. Remember this in your merchandise. Modern clothing with SCA themed artwork is acceptable. - Three listings in the site book are included with your Merchant Fee. Additional listings are $3 each. Listing Headings are included in the application, please check them off accordingly. - Owners of Service Animals should contact the Autocrat in advance.
Paperwork and Payment: - MERCHANT APPLICATIONS MUST BE POSTMARKED BY THE DEADLINE OF DECEMBER 15, 2015. - We are not accepting applications via email or electronic methods. You will need to include a check for the merchant fees with your application. - The Merchant fee does NOT include your entry fee to the SCA 50 Year event. - Checks or Money Orders for Merchant Fees must be made out to SCA, Inc., SCA 50 Year - Checks will be deposited within 1 4 weeks. If you are concerned that your check might bounce, please send a money order. - Cancellations and Refunds: In order to receive a refund of your Merchant Fees you must notify the Merchantcrat of your cancellation and request for a refund no later than April 1, 2016. - Bounced Check In the event that your check for your Merchant fee bounces, a $35 fee will be assessed for each check returned as bounced. If you bounce a check, your application will be canceled, and you will still ow SCA 50 year the bounced check fee. - Confirmation of the merchant application being received does not imply that you have been accepted as a merchant for the SCA 50 Year. If you are missing information, documentation or funds, your application will not be considered until it is complete. INSTRUCTIONS FOR FILLING OUT PAPERWORK: 1.
