HP ExpertONE HP Certification Look-up Tool (CLT) User Guide What is the HP Certification Look-up Tool? The Certification Look-up Tool (CLT) is a tool that will allow you to consult, review, and report on your partner program certification and learning criteria status in a quick and convenient way. The CLT provides an overview of partner employees Learning History (completed certifications, exams, and training) that are being taken into account for the various partner program aspects. The access to the tool is restricted to people who have been assigned the role of HP Smart Portal Partner Portal Administrators (PPAs), HP Partner Education Managers (PEMs), or HP Champion (a role assigned by HP for individuals who hold the partner-relationship with HP). The CLT offers several views to look at partner program certification criteria. Gap Summary a high-level view of your certification status according to your partner program criteria. Gap Analysis a more detailed view that shows all of your partner program s certification requirements that still need to be completed in order to be eligible for partner program status (or benefits). The Gap Analysis allows you to measure the progress towards the certifications contributing to your partner program criteria. Activity allows you to search certification, exam, and learning achievements for your organization. Education allows you to quickly locate a training center in your local area. How to access the HP Certification Look-up Tool 1. Log in to the HP Smart Portal at www.hp.com/eur/smartportal. 2. Select Train and certify from the menu. 2
3. Under Resources, select HP Certification Look-up Tool. Please note that only users who have been given access rights to the CLT will see the link under Resources (i.e., Partner Portal Administrators, Partner Education Managers, and HP Champions). 4. Click the Access button and a new window opens. To get current information on the HP Certification Look-up Tool, select the FAQ link. The current Frequently Asked Questions (FAQ) are also published at the end of this document. 3
5. The Certification Look-up Tool main menu appears so you can start reviewing your organization s certification and training history. Using the HP Certification Look-up Tool A. Home Screen Your Partner Location ID and Partner Name are shown in the blue bar. To get you easily started, you will find key functionalities of the tool and their brief descriptions in the four gray boxes shown in the middle of the screen and repeated in the left menu bar. Please note: Partners not participating in a supported HP partner program will experience a reduced menu. The functions Gap Summary and Gap Analysis are linked to participation in an HP partner program (supported through the Certification Look-up Tool). For more information on the HP partner programs your company participates in, please contact your HP account manager or consult the Partner Programs section in the HP Smart Portal. B. Gap Summary After you select Gap Summary from your menu, an overview of your eligible partner programs and specializations will be listed here with their corresponding status. The Gap Summary shows a line for every program and specialization and whether the certification requirements have been met. Green background = requirements met Yellow background = requirements not met Please note: Clicking on a partner program in this screen will take you to the Gap Analysis screen, showing the list of all the certification requirement details. 4
Please contact your HP Account Manager in case you were expecting more partner programs to appear in this list. Note: HP ServiceONE partner program status is only available in terms of completing the mandatory sales certification criteria. Any statuses with regards to service or solution qualification requirements linked to ServiceONE are not available through this tool. Please check with your Service Account Manager for more detailed program status information. C. Gap Analysis The Gap Analysis allows you, as an HP partner, to measure your progress towards the achievement of specific certifications required for your partner programs. 1. Search for single or multiple partner programs for your organization. 2. Click on Requirements for an overview of the current program criteria. 3. Select the + under the Details column to see additional details of the Students contributing to these partner program criteria with their certifications. 4. You can download your program details to a Microsoft Excel spreadsheet. Please note: This view does not provide a status on the overall partner program status. Only an overview of the status on the certification and/or training requirements is being provided. In order to consult your current specialization and partner program compensation status, please visit the Smart Portal. Color coding is used to quickly illustrate the overall status of the certification and/or training requirements for each of your HP partner program criteria. Green background = requirements met Yellow background = requirements not met By clicking on the yellow box, you can view the outstanding activity requirements for that certification as shown in the next screen. 5
Click the + symbol under the Details column to see additional details of the Students contributing to this partner program criteria with their certifications. The details will include the certification name, date acquired, student name, and student location. CLT users can also download the Gap Analysis report to an Excel spreadsheet. Click the Export to Excel link at the top of the Gap Analysis table. You can either open the file or save the copy into your personal computer folder. 6
D. Activities When you select Activities, you are able to search by Learner, Activity Type (Certifications, Exams, and Training), and Activity Detail. Each category has a convenient pull-down menu to refine your search criteria. 7
CLT users can also download the Gap Analysis report to an Excel spreadsheet. Click the Export to Excel link at the top of the Gap Analysis table. You can either open the file or save the copy into your personal computer folder. E. Education Select the Education link from the CLT home page to locate your nearest HP ExpertONE Learning Partner that can provide training sessions to help you meet your certification requirements. F. Learning Center Notice* * If applicable, the Learning Center Notice link will be visible when a specific employee with an HP Learner ID in your organization does not have access to The Learning Center. The Certification Look-up Tool provides partner organizations that are participating in HP partner programs with a tool to consult, review, and report on their program certification statuses. The tool is also accessible to HP employees who manage HP partner relationships. Who can use the HP Certification Look-up Tool? The access through the Smart Portal is granted only to people with HP Smart Portal Partner Portal Administrator (PPA), HP Partner Education Manager (PEM), and HP Champion user rights, as well as internal HP employees. To ensure the integrity of personal certification statuses, the information on partner program completion only needs to be shared with people who are following-up on partner program criteria. 3. How is the information I see in the HP Certification Look-up Tool tied to partner programs? The HP Certification Look-up Tool is a supporting tool specifically designed to provide an overview of the certification and learning status for partner programs. The tool provides a specific gap analysis functionality that will easily allow you to see what has been completed or what needs to be completed. 4. What is the difference between TOP Shape and the Certification Look-up Tool? Both tools show the partner s program participation and the compliance versus the certification and learning program criteria. The key differences between the two tools are as follows: Certification Look-up Tool Is an online tool accessible through the Smart Portal Is available 24x7 Has a report function that has many options and is more flexible Has, in principle, a daily refresh of new certification/training/exam data Also offers exam and training status information for the individuals within the partner company working towards completing a certification TOP Shape Is an email sent to HP partners every month; not accessible online and not easily accessible to HP employees Report is limited to only the specific partner organization certification status; information available on course and exam completion is only refreshed once a month 9
5. How accurate and up-to-date is the information within the Certification Look-up Tool? The data from the Learning Center is loaded in the Certification Look-up Tool on a daily basis. It reflects all training, exam, and certification information that is available online through the Learning Center with delay of two days maximum. In case you see different certification/exam information in the Learning Center that is not available in the Certification Look-up Tool, please contact ExpertONEsupport.EMEA@hp.com. 6. What is the difference between the two standard reports offered within the tool: Gap Summary and Gap Analysis? The Gap Summary report is a high-level view of the partners certification status for the different partner programs the partner is participating in or working towards. The Gap Analysis report is a more detailed view that shows all of the partner program s certification and training requirements that are open and still to be completed by the partner, according to the partner programs the partner is participating in or working towards. 7. How do I find the requirements for obtaining a certification? The HP Certification Look-up Tool does not provide the requirements to obtain a specific certification. Please visit the Certification Explorer to find out all certification details. The CLT has been designed to provide the requirements in terms of certifications, training, or exams for partner programs. Please note: Certifications are based upon completion of exam(s). Training is not required for obtaining a certification, but it is highly recommended to assist with passing exams. I am now logged in to Smart Portal, but I cannot access the Train & Certify page. Make sure you have accepted the Terms and Conditions the first time you click on Train & Certify. 9. Why don t I see the learners who enrolled in a course or attempted to take an exam in the Activities menu? The information displayed in this tool is only for acquired training, exams, or certifications. No enrolled, incomplete, failed, or revoked information will be shown. 10. What if I don t see an employee of my company in the HP Certification Look-up Tool? Make sure the missing learner: Is part of your organization in the HP Smart Portal. You can check this with your HP Smart Portal Partner Portal Administrator (PPA). Has completed the registration by following instructions on How to access The Learning Center. If you still encounter learners not being linked to your company, please click on the Contact HP link within the Smart Portal. 11. What if I have questions on how my Company Name or Location ID is displayed? For making changes to your Company Name, your HP Smart Portal Partner Portal Administrator (PPA) may go to the Company Profile link on the HP Smart Portal or click on the Contact HP link. For questions about your Location ID, you may also contact ic.usermanagement@hp.com. 12. Who should I contact if I don t see the partner programs listed that my company wants to attain? Please contact your account manager. If you don t have an account manager, contact your local PartnerONE team. 13. Who should I contact to delete a partner program out of my company s profile? Please contact your account manager. If you don t have an account manager, contact your local PartnerONE team. 14. What is the difference between the Certification Look-up Tool and the Specializations status report (also available through Smart Portal)? The Specializations status report in Smart Portal here shows (for eligible partners) the specializations you hold, along with compensation status for each Specialization. The Certification Look-up Tool provides extra certification information to complement these reports, showing the detailed certification criteria status for the Specializations we know you are planning to obtain/retain. 10
