Your Guide to Student Accounts at Trent Welcome to Trent for the 2015/2016 academic year! We have compiled this helpful guide, designed to assist you with questions about your student account. This booklet will provide you with information on academic fees, deposit, important dates, payment information and more. We want to make it easy for you to manage your accounts with us. Please note this publication is up-to-date as of the date of publication but we encourage you to visit our website for the most up-to-date information. Your Payment Schedule Mark Your Calendar! Remember that your student number is your account number include this information whenever you make a payment at Trent. May 2015: Apply for OSAP Apply for OSAP for 2015 academic year to ensure your loan is processed on time to meet the payment deadlines. June 2, 2015: Tuition Deposit (Or within 3 days of accepting your offer) $500.00 for full-time students $200.00 for part-time students Receipt of this non-refundable payment confirms your intention to attend Trent for September 2015. All students are required to pay the deposit, even if you are being funded through the Ontario Student Assistance Program (OSAP) or out-of province student loan. August 14, 2015: Registration Fees Payment Deadline* (2015/16 Payment in full or first instalment) You can choose to pay your full payment now or the first instalment (50% of the total). Don t forget to deduct your deposit. September 30, 2015: First instalment due for OSAP students. After this date, a late fee will be charged. December 15, 2015: Tuition fees due in full for new students starting University in January December 15, 2015: Payment Deadline* (Second Instalment) If you opted to pay in two instalments, your second payment (50% of the total) fees is now due. Please check your account statement available on your MyTrent portal for updated account information and account balance. * PLEASE NOTE: If your payments are late or not paid in full, you may be subject to further fees, including a $75 late fee and interest. OSAP Recipients Apply for OSAP as early as May 2015 for the upcoming study year beginning in September. If you are a confirmed OSAP recipient and will be using OSAP funds to pay your registration fees, please be aware that OSAP is released after the fee deadline date. Please note: Students who do not finalize their loan documentation to ensure that payments are remitted to the University on or before September 30, 2015 and/or January 29, 2016, will be charged a late payment penalty. For examples of paying with OSAP visit www.trentu.ca/financialservices/payment.php scroll to OSAP example. For information regarding OSAP funding, please email (financialaid@trentu.ca) or visit their website at (www.trentu.ca/financialaid) Other Important Information and Deadlines Claim your Trent ID online Go to www.trentu.ca/mytrent/activate.php to activate your Trent account if you haven t already done so. Through this online account, you will be able to begin using your Trent e-mail address and access the MyTrent student portal. Not able to claim your ID, please contact the helpdesk for support at it@trentu.ca Health and Dental Benefits: Health and dental benefits are not to be deducted from your August 14, 2015 registration fees payment. If you have alternative health and dental coverage and wish to opt-out you will need to complete the online opt-out with the appropriate Student Association. Students who complete a valid opt-out with the Student Association, will receive their refund as arranged by each association. Please visit their website for more information. Questions? Things to Know about Your Student Account TUITION FEES for the 2015/16 Academic Year Please visit our website www.trentu.ca/financialservices for information on fees. You should be aware that these fees exclude housing/ meal charges for students accepted into residence. Residence fees, meal plans, books and special course-related fees are in addition to the registration fees. Instructors will advise you during class of additional course fees for field trips or supplementary material etc. Starting mid July,access to your invoice for your 2015/16 courses will be available online. Tuition invoice and online statement can be accessed by logging on to mytrent, opening myaccount, clicking on the student tab and opening your student account statement. To access your invoice, click on the link in the Number column to view your detailed invoice. Residence and Scholarships An invoice for your residence will also be available online on your mytrent, if applicable. Scholarship/bursary award information will be available on or before August 1. Registration changes made after your account has been billed will be updated the second week of August. Please note, payment in full or the first instalment of your fees is due by August 14, 2015. If you choose to pay your 2015/2016 fees by instalment, you are required to pay 50% of the Total Payable on your statement. Fees owed from a prior session are due in full immediately. The second instalment is due by December 15, 2015. Fees should be paid by the due date to avoid paying late charges. The preferred method of payment is online banking with your banking institution. Pg. 9 Payment Methods Online Banking (Preferred Method) Paying online or by telephone banking through your financial institution is easy and convenient. To make your payment, go to your financial institution website and set up Trent University as a bill payee and make your payment. Important: your 7 digit student number is your account number. Please note: Payments made online will be dated on the student account the date payment is made and payments can take 3-5 business days to be updated onto the student account. Payment at Most Canadian Banks Payment can be made at most Canadian banks. Please note: Payments made at a Canadian Bank will be dated on the student account the date payment is made, please note that payments can take 3-5 business days to be updated onto the student account. Cheque/Money Order Make cheque or money order in Canadian funds only, payable to Trent University. Ensure the student name and student number are on the front of the cheque. Debit Card/ Cash Cash and debit card payments will be accepted at the Student Accounts Office, Suite #114, Blackburn Hall, Trent University. (Monday-Thursday 9:00am-4:00pm and Friday 10:00 am-4:00pm). E-Mail Payment/Money Transfers E-mail payments are NOT ACCEPTED. Mastercard Payment Only (Visa not accepted) Those wishing to make payment using credit cards can do so using our web-based payment system. Credit Card payments will include a non-refundable fee calculated at a rate of 1.95% of the total purchase. This fee is displayed separately on the payment page, will appear separately on the credit card statement and is paid to the card processing agency, not to Trent University http://www.trentu.ca/financialservices/onlinepay Western Union Bank to Bank Transfer for International Students To avoid high retail exchange rates and banking charges related to international wire transfers, and to pay in your home currency and ensure your funds are clearly identifiable to the university when they arrive, try the Western Union transfer. Please note: Refunds for excess funds transferred by wire payment will not be refunded by cheque to the student, but will be returned to sender using original payment instruction. Refund Schedule Full-time Peterborough Students registered in 3.5 credits or more are full-time and are billed full-time Peterborough fees. Refunds are not applicable to full-time students. If you are a full-time student dropping to a part-time course load and remain part-time until April 29, 2016 you will be credited according to the course drop date and refund schedule. Please note that refunds will not be issued until after the last date to register in winter courses (January 20, 2016). Durham and All Part-time Students If you are full-time Durham student or studying on a part-time basis and drop courses, you will be credited according to the course drop date and refund schedule. Pg. 10 Withdrawal: Students dropping all courses or withdrawing from Trent University will forfeit the non-refundable deposit prior to Sept. 24, 2015. After this date, a refund of fees will be calculated according to the withdrawal date, visit our website at www.trentu.ca/financialservices/refunds.php for more information. How to Get Your Student Tax Forms The student tax forms (T2202a and T4a) will be available online to all students through your MyTrent account by February 29, 2016. After entering your personal login information, you can find the forms under the MyArchives section. You should know that these forms are only available electronically the University does not produce hard copies of the tax forms. If your parents require the forms for tax purposes, you will be responsible for providing them with copies. Duplicate copies of tax forms from prior years are subject to a fee of $18.50 for each document requested. NOTE: Residence fees are not eligible for the tax form. If you have questions about this ineligibility, please direct your inquiries to the Canada Revenue Agency. Visit www.trentu.ca/financialservices/taxforms.php for more information. Freedom of Information Due to the Freedom of Information Act, personal information cannot be released to anyone other than the student without the student's signed consent. This includes parents, relatives, faculty, public and private organizations. Students wanting to give authorization for others to contact the Student Accounts Office on their behalf must complete the Privacy Protection for Students form under the Academic tab on your MyTrent portal, tick the Student Accounts information box and submit.
