PC-LINK DATA TO XLS SPREADSHEET PROCEDURE GUIDE

Sharp Electronic Cash Register PC-Link Data conversion to Excel spreadsheet and return ER-A247 / ER-A347 Overview This document is designed to give Sharp Authorized dealers the basic knowledge for editing the PC- Link created XML files using Microsoft Excel. This is not designed to be a comprehensive manual on the use of the Sharp cash registers, PC-Link program or Excel. Each of those products has its own manual or help resource which should be consulted for specific questions or operations. Equipment required PC-Link Program Available for download from www.sharp-pos.com PC-Link Manual Available for download from www.sharp-pos.com ERA247 / ERA347 Instruction Manual Available for download from www.sharp-pos.com SD Card See SD Card information below for details Microsoft Excel 2003, 2007 or 2010 (Tested versions) Additional Resources Sample.xls spreadsheets made from all XML files and ready for use in Excel 2003 and 2007, available for download from www.sharp-pos.com (PCLink_XLS_Samples.zip) ERA247 / ERA347 Service Programming Manual Available for download from www.sharp-pos.com SD Card information The Sharp Register is designed to work with SD and SDHC cards from 2GB to 32GB in size. It will not work with Mini or Micro SD cards and adaptors. NOTE: Not all SD cards by all manufacturers have the same operating characteristics. Sharp has tested the following specific cards SanDisk: SDSDB-4096, SDSDH-008G, SDSDx-016G PNY: P-SD2GB-EF, P-SDHC4G4-EF/M1 Kingston: P-SD2GB-EF 2

1. Save Register program data PROCEDURE: NOTE: This is a summary of the SD card SAVING operations on the register. Please consult the Instruction Manual for detailed information. (Step 3) 1. Insert SD card 2. Press the [MODE] button on the register (Step 4) 3. Select 7 SD CARD MODE 4. Select 3 FOLDER CONTROL 5. Choose 1 CREATE FOLDER (Step 5) 6. Enter the NAME of the folder desired using the numeric keypad for text entry (similar to phone texting keys) (Step 6) 7. Press [CA/AT/NS] button 8. Choose 1.OK to make the new folder on the SD card 9. Press [ESC/CANCEL] button 1 time (Step 10) 10. Select 1 SAVING 11. Choose 3 ALL PROGRAM (Step 11) 12. Choose 1.OK to save the program to the SD card 13. When saving is complete remove SD card from register NOTE: DO NOT remove SD card during Processing, damage to the SD card or the register data may result 3

2. Get register program from SD card to PC-Link PROCEDURE: NOTES: a. This is a summary of specific PC-Link operations. Please consult the PC-Link Manual for details on installation and operations b. If you are using the sample.xls files available from www.sharp-pos.com these steps are not required. Skip directly to section 4. Exporting spreadsheet changes to XML files (Steps 3 and 4) 1. Insert SD card into PC 2. Start PC-Link program 3. Select File(F) (Steps 5, 6 and 7) 4. Choose All to SD/All from SD(T). 5. Select your SD drive letter 6. Choose Folder name you created in Section 1 7. Click [All from SD] button (Step 8) 8. Choose [Yes] to execute the import 9. Check each tab in PC-Link program to confirm import of expected data: Dept / PLU / Clerk / Logo Text / Tax. 10.Close PC-Link program NOTE: the PC-Link program MUST be closed after importing the register data in order to create the XML files for Section 3 Importing XML files to Microsoft Excel spreadsheet 4

3. Importing XML files to Excel spreadsheet PROCEDURE: NOTES: a. This is a summary of specific Microsoft Excel application operations. Please consult Excel help and documentation for more detailed information b. If you are using the sample.xls files available from www.sharp-pos.com, these steps are not required. Skip directly to section 4. Exporting spreadsheet changes to XML files (Step 2 Microsoft Excel 2003) 1. Star Excel application NOTE: Sharp has tested this in Microsoft Excel 2003 and 2007 2. Select Import Excel 2003 a. Data b. XML c. Import Excel 2007 a. Developer ribbon b. Import (Step 2 Microsoft Excel 2007) (Step 3 Microsoft Excel 2007) 3. Choose the desired XML file for Data Import By default the XML files will be stored in folder \\MyDocuments\SHARP_ECR\Ax47U\SHOP_NAME1 (Step 4) 4. Choose [OK] to schema message 5

(Step 5) 5. Choose [OK] to accept import into existing worksheet (Step 6 Microsoft Excel 2007) 6. The data will be shown in the spreadsheet with column headers for each field NOTE: appearance may vary by Excel version and user settings Changes can be made and new items added within the defined column structure. i.e. Always put ONLY numbers in numeric fields and use predefined text in TYPE fields. -Copy and Paste values from existing fields is supported and recomended. This spreadsheet can be saved as a standard xls/xlsx file for sharing and later use. To prepare the changes for use in PC-Link and sending to the register proceed to Section 4. 4. Exporting spreadsheet changes to XML files PROCEDURE: NOTES: a. This is a summary of specific Microsoft Excel application operations. Please consult Excel help and documentation for more detailed information. (Step 3 Microsoft Excel 2003) 1. Start Microsoft Excel application NOTE: Sharp has tested this in Excel 2003 and 2007 2. Open the spreadsheet with changed register data (Step 3 Microsoft Excel 2007) 3. Select Export Excel 2003 a. Data b. XML c. Export Excel 2007 a. Developer ribbon b. Export (Step 4) 4. Choose the desired XML file to overwrite with the changed register iinformation. By default the XML files will be stored in folder: \\MyDocuments\SHARP_ECR\A247U\SHOP_NAME1 or \\MyDocuments\SHARP_ECR\A347U\SHOP_NAME1 (Step 5) 5. Choose [Yes] to confirm replacing the existing XML file. 7

5. Send changed register program to SD card from PC-Link PROCEDURE: NOTES: a. This is a summary of specific PC-Link operations. Please consult the PC-Link Manual for detailed information. There are two (2) options for sending program changes to the SD card: Option 1 to send All PC-Link program data to SD card Option 2 to send individual prorgam data (i.e. only Dept or only PLU, only clerk, etc.) (Steps 3 and 4) Option 1 send All to SD 1. Insert SD card into PC 2. Start PC-Link program 3. Select File(F) (Steps 5, 6 and 7) 4. Choose All to SD/All from SD(T). 5. Select your SD drive letter 6. Choose Folder name desired 7. Click on [All to SD] button (Step 8) 8. Choose [Yes] to execute the export 8

Option 2 send individual program data to SD 1. Insert SD card into PC (Steps 3, 4 and 5) 2. Start PC-Link program 3. Select the TAB which contains the data for transfer (export to SD) 4. Confirm the correct data is shown 5. Click on [Send to SD] button (Step 6 and 7) 6. Select Folder name desired 7. Click on [OK] button (Step 8) 8. Choose [Yes] to execute the export 9

6. Loading changed register program data PROCEDURE: NOTE: This is a summary of the SD card LOADING operations on the register. Please consult the Instruction Manual for detailed information. There are two (2) options for loading program changes Option 1 to load All program data to register Option 2 to load individual program data only (i.e. only Dept or only PLU, only clerk, etc.) (Step 3) Option 1 Load All to register 1. Insert SD card 2. Press the [MODE] button on the register (Step 4) 3. Select 7 SD CARD MODE 4. Select 3 FOLDER CONTROL 5. Choose 2 SELECT FOLDER (Step 5) 6. Choose the folder holding the changed program (Step 6) 7. Press [CA/AT/NS] button to select 9. Press [ESC/CANCEL] button 1 time (Step 10) 10. Select 1 LOADING 11. Choose 3 ALL PROGRAM (Step 11) 12. Choose 1.OK to Load the program to the SD card 13. After Loading is complete you can remove SD card from register NOTE: DO NOT remove Sd card during Processing. 10

Option 2 load individual program data to register (Step 3) 1. Insert SD card 2. Press the [MODE] button on the register (Step 4) 3. Select 7 SD CARD MODE 4. Select 3 FOLDER CONTROL 5. Choose 2 SELECT FOLDER (Step 5) 6. Choose the folder holding the changed program (Step 6) 7. Press [CA/AT/NS] button to select 9. Press [ESC/CANCEL] button 1 time (Step 10) 10. Select 1 LOADING (Step 11) 11. Choose 3 IND. PROGRAM 12. Select the Program data to load and press [CA/AT/NS] button (Step 12) 13. Choose 1.OK to Load the program to the SD card 14. After Loading complete remove SD card from register NOTE: DO NOT remove SD card during Processing, damage to the SD card or the register data may result 11
