EscapiaVRS Guest Contact Migration Instructions Escapia VRS can import 2 types of contact records GUEST CONTACTS and OWNER CONTACTS. This document will discuss the GUEST CONTACT MIGRATION excel import template, field requirements and the migration process. To access the Guest Contact Module: Click on the CONTACTS tab. Then click on the FIND CONTACTS menu. Then select the FIND CUSTOMERS option. This will take you to the CUSTOMER CONTACT page. At the top right of the page, locate the UPLOAD CUSTOMERS button & Click it. Page 2 of 13
GUEST CONTACT EXCEL TEMPLATE Downloading the Template: The first step of using the Guest Contact migration tool is to download the Guest Contact Template Spreadsheet. The spreadsheet contains the contact fields that you can use to build your guest list. From the BULK UPLOAD page... Click on the DOWNLOAD TEMPLATE button. A Windows Pop Up dialog box will request you either OPEN or SAVE the file. Select the SAVE option. Save the file on your machine in an Easy-To-Locate area (for example: My Documents). Once you have saved the file, locate and open the file named CustomerBulkUpload.xls. Page 3 of 13
GUEST CONTACT EXCEL TEMPLATE (continued) The Customer Bulk Upload Spreadsheet: The Customer Bulk Upload Spreadsheet has two tabs SHEET1 and HELP. Sheet 1 displays the fields that you are able to use in each of the columns. The Help tab contains helpful tips and steps to help you through the migration process. Click on the SHEET 1 tab at the bottom. Review the available fields. PLEASE NOTE: (1) PLEASE DO NOT CHANGE THE NAME OF THE SHEET 1 TAB. The Bulk Upload Module will error out if the tab name is changed. (2) PLEASE DO NOT CHANGE THE NAME OF THE COLUMN HEADERS. The Bulk Upload Module will error out if the column headers are changed. FIELD REQUIREMENTS The Customer Bulk Upload Template Field Requirements: The bulk upload template spreadsheet allows you to copy/paste your data into each of the cells to create an import file. Each of the cells in the template have specific value requirements. Please review the list below to see the requirements for each cell. IMPORT PROCESS Once you have completed the Bulk Upload Template Spreadsheet, you can begin import process. The basic steps are very simple and straight forward, the tricky part will be fixing the errors that may cause the import process to stop. Please note: If the import process is stopped due to an error, none of the records will be imported. This is by design. This ensures that duplicate records are not loaded into the system. Import Process Steps: From the Customer Bulk Upload Page, click on the BROWSE button. A Windows Explorer pop up will appear and request you navigate to the location of your bulk upload template. Locate and Select the Bulk Upload Template Excel Spreadsheet you wish to import. Once you select the spreadsheet, click the UPLOAD button. Once you click the UPLOAD button, the import module will display progress. The screen will change the display when the import is complete or if an error has occurred. Progress Display: Page 8 of 13
ADDRESSING ERROR MESSAGES If the bulk upload template spreadsheet you are using is not formatted correctly, you may receive errors during the import process. If an error occurs during the import process, none of the records form the bulk upload spreadsheet will be migrated. This is as designed to help minimize duplicate records. The error message will display the error results below the migration tool. The First & Last Name, along with the Error Cell(s) and the error will appear. When you receive an error message during the import process you must go back into the bulk upload template spreadsheet to correct the error, save the template with the corrections made and then re-upload the file. You may have to repeat this process multiple times depending on the number of errors received. Page 9 of 13
