Maryland MESA Database School Coordinators Login and Registration Training Handout The following information will assist users in creating a user profile in the database, managing student profiles for your MESA program (School Coordinators), and retrieving forgotten usernames and passwords. 1. Getting Started - First, open your internet browser and go to the Maryland MESA homepage - http://www.jhuapl.edu/mesa. To create your user login and password, click on the link labeled MESA Database located on the right-hand side of the webpage. 2. Creating Username and Password - To create a user profile in the Maryland MESA database, click on the link labeled Please Click Here to Create an Account
3. Creating a New Account - To create a new account, you will be required to populate all fields designated with an asterisk and select your role in the MESA program. Roles include Administrators, Alumni & Volunteers, Regional Coordinators, School Coordinators, and Students. After all necessary information is filled in, click the button labeled next. 4. School Coordinator Profile - School Coordinators will be asked to fill out data regarding personal demographics, years active in MESA, school information, contact information, and MESA club meeting days and times. After you have filled in and submitted your information, the MESA Central office will be notified that you have registered and will approve your account. You will receive email notification once your account has been approved by the MESA Central Office. School Coordinators can elect to receive email notifications when students register for new accounts. To enable the email notification, check the box next to the email notification data field in the school coordinator profile. Please note that if you do not see your school as an option in the database, you need to make sure you have a principal agreement on file with the MESA Central Office.
5. Student Profiles - MESA students will follow the same procedure previously described to set up an account in the MESA database. MESA coordinators can elect to have students or parents set up student profiles on their own or have students or parents fill out Student Information Forms and coordinators can input data themselves (as it was with the old system). We recommend having student input information because the system is really designed for the student to input the information and update his/her as they progress through the MESA program each year. If you do elect to input student information in the database, the Student Information Form is located on the Maryland MESA website. You can locate the form by going to Resources Tab located at the top of the MESA homepage and then selecting Forms. OR
6. Student Profile Example - Here an example of what a student profile will look like in the database. Students will be asked to fill out data regarding their career interest, awards and recognitions, additional STEM program involvement, personal demographics, and contact information for both the student and parents/guardians. If school coordinators elect to utilize the Student Information Form and create student profiles on their own, coordinators will need to follow all steps to set up student profiles including creating a password and username for students as well as filling out the students profile information page shown here in this slide.
7. Accepting Students - This is the layout of the page you will see when you log in to your account. When a student creates his or her profile, the student s name will appear on the school coordinator s homepage and the school coordinator will need to authorize the student s registration. Once the school coordinator approves or denies the student s registration, the student will receive notification of the status of his or her account. Students will only be able to login and view his or her profile after the school coordinator has approved his or her registration. School Coordinators can elect to receive email notifications when a student registers. The option to enable email notification is located in the school coordinator profile. The transfer link allows the school coordinator to transfer a MESA student into another MESA school program. Use this link to transfer rising 5 th and 8 th grade students into their feeder school MESA programs or when a student transfers to another school with an existing MESA program during the school year.
8. View Student List - To view a student roster, click the red button labeled View Student List. The Student List page provides the name, grade level, registration status, and username of all students who have created a profile for your school in the MESA database. 9. Navigating the MESA Database - To return to the main page, you can either push the back button in the web browser or press the link labeled Home located in the top left corner of the page. To logout of the Maryland MESA database, click the link labeled Logout also located at the top right corner of the webpage.
10. Updating School Profile - Clicking the link labeled update school profile will open a page containing information about your school. Most of the school profile data fields have already been populated. However, the MESA Central Office is asking school coordinators to update the school principal s name and address in the school profile. Once coordinators have updated the principal s name and email address, he or she will need to hit the update button located at the bottom of the page to submit the changes to the database.
11. Requesting Forgotten Username To request your forgotten username, select the link labeled Forgot Username? and the database will prompt you to enter your first and last name, middle initial, birthday, and role in the MESA program. Roles include Administrators, Alumni & Volunteers, Regional Coordinators, School Coordinators, and Students. After all necessary information is filled in, click the button labeled Request Username. Your username will be emailed to the email address you provided in your user profile. Students without an email address in the MESA database will need to contact his or her MESA school coordinator or the MESA Central Office to retrieve the forgotten username.
12. Requesting Forgotten Password - To request your forgotten password, click the link labeled Forgot Password? and the system will prompt you to enter your username. After you have entered your password, press the button labeled Request Password. Your password will be emailed to the email address you provided in your user profile. Students without an email address in the MESA database will need to contact his or her MESA School Coordinator or the MESA Central Office to retrieve the forgotten password. Please Note: The password will be emailed to the email address on file. If you do not have an email address on file, please contact your MESA School Coordinator or Maryland MESA to retrieve your password. 13.
