Community College Adult High School Program (CCAHS) This document details the coding of students leaving high school to attend a Community College Adult High School Program (CCAHS) pursuant to SBE policy GCS-Q-000. The complete policy can be viewed here: http://sbepolicy.dpi.state.nc.us/. The policy indicates that students who leave high school to attend an approved North Carolina CCAHS program shall be coded with the W2T Leaver code. This code indicates their intent to complete high school in the adult setting. Documentation that students are enrolled in the CCAHS must be provided to the traditional school. This documentation must be updated on an ongoing basis (quarter or semester, as determined by the LEA and CCAHS) to ensure that the student maintains continual enrollment in the CCAHS. These students shall not be verified as dropouts until they fail to complete or return to the CCAHS. Students who complete the CCAHS shall be counted as graduates for the traditional school. Section A: Students who leave during the current school year. NOTE: Only students who are verified in an Adult High School Program receive the W2T exit code. All other students receive the exit code appropriate for their exit reason as defined in the SASA (Student Attendance and Student Accounting Manual). 1. For currently enrolled students who verify enrollment in an adult high school program: a. Search for the student to be withdrawn. b. Withdraw student from school following the Transfer Out of School section of the Transferring Out of School QRD: i. http://www.nc-sis.org/documents/admit_withdraw/ps_qrd_transfer_out.pdf c. Exit Code is W2T d. Select Comm Coll Adult High School (CCAHS) value from the Dropout Reason drop-down menu. e. Navigate to transfer info screen. f. Check box to Verified Dropout. g. Click Submit. 2. For students previously withdrawn in the current school year who later verify enrollment in an adult high school program: a. Search for student to be withdrawn (using / search prefix to include inactive students). b. Navigate to Transfer Information Screen c. Change exit code for current year enrollment line to W2T d. Section B: Students who left during the previous school year NOTE: The W2T Exit Code cannot be used before School Year 2015-2016. NOTE: Students have one calendar year from leaving school to verify enrollment in a CCAHS. 1. Search for student to be withdrawn (using / search prefix to include inactive students). 2. Select student from search results. 3. Re-enroll the student into the school (Functions > Re-Enroll in School). a. Entry date and exit date are the same (no-show student) b. Entry Code is E1 (E1 Init enroll-this year) c. Restore class enrollments is set to NO d. Ensure all required fields have data. e. Click Submit button. f. 4. Navigate to Transfer Info Screen 5. Select the record created in step 3 6. Select Comm Coll Adult High School (CCAHS) value from the Dropout Reason drop-down menu. 7. Check box to Verified Dropout. 8. Click Submit. PowerSchool 8.3-12/09/2015 NCDPI Page 6 of 15

Section C: Students who fail to complete the Community College Adult High School Program by June 30 th of their 5 year cohort graduation year. NOTE: This is the year of grade nine entry plus 5. 1. Search for student to be withdrawn (using / search prefix to include inactive students). 2. Select the student from the matching results. 3. Re-enroll the student into the school (Functions > Re-Enroll in School). a. Entry date and exit date are the same (no-show student) b. Entry Code is: i. R6 if re-enrollment is in same school year OR ii. E1 (E1 Init enroll-this year) if re-enrollment is in a new school year. c. Restore class enrollments is set to NO. d. Ensure all required fields have data. e. Click Submit button. f. Transfer the student out of School (Functions>Transfer Out of School) g. Exit Code is W2 (Early Leaver Withdrawal) h. 4. Navigate to the student s Transfer Information screen 5. Click record created in step 3. a. Select the appropriate value from the Dropout Reason drop-down menu. b. Section D: Students who fail to provide documentation of continuous program enrollment to the high school NOTE: Written documentation must be provided to the high school verifying they are still enrolled and attending the Community College Adult High School Program each quarter or semester. 1. Search for student to be withdrawn (using / search prefix to include inactive students). 2. Select the student from the matching results. 3. Re-enroll the student into the school (Functions > Re-Enroll in School) a. Date of re-enrollment is the date the student fails to return to the Community College Adult High School Program. b. Exit date is same as entry date. c. Entry Code is: i. R6 if re-enrollment is in same school year OR ii. E1 (E1 Init enroll-this year) if re-enrollment is in a new school year. d. Section E: Students graduating from a community College Adult High School Program 1. Search for student to be withdrawn (using / search prefix to include inactive students). 2. Select the student from the matching results. 3. Re-enroll the student into the school (Functions > Re-Enroll in School) a. Date of re-enrollment is the date the student completed the Community College Adult High School Program b. Exit date is same as entry date c. Entry Code is: i. R6 if re-enrollment is in same school year OR ii. E1 (E1 Init. enroll-this year) if re-enrollment is in a new school year. d. Restore class enrollments is set to NO. e. Complete reenrollment screen. f. Click Submit button. g. Transfer Student out of School (Functions>Transfer Out of School) h. Exit Code is W6 i. Click Submit button. 4. Navigate to Students Academics Screen (NC Information > Academics) a. Complete fields as required for all other graduating students: i. Grade 9 Entry Date is required ii. Diploma Granted Date is the same date as the Entry Date. iii. Diploma Issued is required. iv. Diploma Type is required. 1. Use: Future Ready Core b. Ensure all required fields have data. c.
