What is it? Scan to Desktop is a feature that allows images scanned from an MFP to be written to shared Windows network folders. The Scan Setup Wizard is a Windows utility that helps end users create these network folders on their computer file systems and link them to a specified MFP. How does it work? The Scan Setup Wizard is a software utility that runs as a desktop wizard. The utility interacts with the Windows operating system and the MFP to create a Windows shared folder and a corresponding Quick Access Folder in the Scan to Desktop application on the MFP. This utility simplifies and automates the configuration steps that users would typically perform manually when configuring Send to Folder or Scan to Desktop. Note that the Scan Setup Wizard is currently only supported on the M3027 MFP and M5025 MFP (called Scan to Desktop on lite products) but will eventually support the entire fleet of current MFP products (called Send to Folder on non-lite products). The Scan Setup Wizard performs the following steps: 1. Searches for and displays compatible devices. 2. Shares the specified folder. 3. Ensures the permissions on the folder are configured correctly so that the MFP Scan to Desktop application can write to the folder. 4. Prompts the user for credentials that will be stored on the MFP. These user credentials are used to access the shared folder. System Requirements Operating System Support Microsoft Windows 2000 32-bit Microsoft Windows 2003 Server 32-bit and 64 bit Microsoft Windows XP 32-bit and 64 bit Microsoft Windows Vista 32-bit and 64 bit File and Print Sharing for Microsoft Networks service must be installed in order to use this utility. This service is located in the Local Area Connection properties. In Windows XP, Local Area Connection can be accessed using the following steps: 1. Right-click My Network Places. 2. Select Properties. 3. Right-click Local Area Connection. 4. Select Properties. Network Support Requires TCP/IP V4 network (does not support connecting to the device over USB) with either Domain or Workgroup configuration. Page 2 of 10

Supported MFPs and minimum firmware version The HP MFP Scan Setup Wizard is currently only supported on the M3027 MFP and M5025 MFP products. The MFP FW must be upgraded to the following minimum version before the Scan Setup Wizard will work correctly. Note: The Scan Setup Wizard will discover MFPs on the network that are not currently supported, including the M3035 MFP, M4345 MFP, and M5035 MFP. Minimum Firmware Version M3027MFP - 48.041.3 (20070924) M5025MFP - 48.041.4 (20071002) Obtaining the Software The MFP Scan Setup Wizard is available on http://www.hp.com under Drivers and Downloads. The Drivers and Downloads page can be accessed from the product s support website. The Scan Setup Wizard is located under Utility. http://www.hp.com/support/ljm3027mfp http://www.hp.com/support/ljm5025mfp The Scan Setup Wizard installation package is approximately 30.8MB. Note that this package contains a specific version of device firmware. The firmware upgrade file is approximately 28MB. Future versions of this utility will be much smaller in size. Installation Installation is a matter of downloading the self-extracting executable and running it. Once the user downloads the executable file, the following dialog box displays. 1. Use the Browse button to browse to a specific installation folder. Page 3 of 10
2. Once the installation folder is selected, click Unzip to extract the following files to either an M3027mfp_Scan_Setup folder or an M5025mfp_Scan_Setup folder. The Scan Setup Wizard automatically creates one of these two folders within the installation folder, depending on which product the Scan Setup Wizard was downloaded for. A special version of firmware is required for this release. Running the Utility 1. Either browse to the folder where the HPSSW.EXE file is located and double-click it, or select Start > Run and browse to the HPSSW.EXE file and then select OK. 2. The Welcome dialog window displays. Select the Help me find my device on the Network link. Page 4 of 10
3. The Scan Setup Wizard begins searching for compatible devices. Page 5 of 10
4. After the search completes, the window displays a list of compatible devices. Select the desired device from the list and click OK. 5. The Welcome dialog window displays again, this time with the selected device IP address shown in the IP Address (IPv4) text box. Click Next. Page 6 of 10
6. The Authentication dialog window displays. Select the Store user name and password checkbox, and user credentials automatically fill in the Domain, User Name, and Password fields. Select Next. Note: In a peer-to-peer environment, the Domain is the user s computer name. 7. The Folder Name dialog window displays. Use the Browse button to browse to a desired folder location. You can also rename the folder using the Folder name field, if desired. Then click Create. Page 7 of 10
8. A window displays indicating the Network Folder is being created. 9. Once the Network Folder creation is complete, a window displays indicating the folder has been successfully created. After reviewing the information in the window, select Finish. Page 8 of 10
Known Issues and Walkarounds The Scan Setup Wizard will discover MFPs on the network that are not currently supported by this utility. If the user runs the utility and selects an unsupported device, the Send to Folder application will be configured. If the utility is used to configure Send to Folder, the only way to remove a folder is to use the EWS Send to Folder configuration method. Access Denied errors appear when two accounts with the same name are used on the PC. This can occur if there is a local system account and a Domain account with the same name. To resolve this issue, delete the local user account and re-run the Scan Setup Wizard. Using a stored blank password results in a failure. To resolve this issue, you must modify the local security policy. Alter the Account Options to disable the Limit local account use of blank passwords to console logon only. In Windows XP, if after running the Scan Setup Wizard you receive an Access Denied error on the device control panel, you must disable Use simple file sharing. To do this, perform the following: 1. Double-click on My Computer. 2. Select Tools from the My Computer top menu bar. 3. Select Folder Options. 4. In the drop-down list, select the View tab. 5. Scroll to the bottom of the Advanced Settings list and uncheck Use simple file sharing (Recommended). In Windows Vista, if you have issues scanning back to your computer, such as doing a scan and not receiving any files on your computer, you will need to enable file sharing. To do this, perform the following steps: 1. Select the desktop Start button. 2. Select Control Panel. 3. Beneath the Network and Internet icon, select View network status and tasks. 4. Under Sharing and Discovery, make sure Network Discovery is On, File Sharing is On, and Password protected sharing is On. 5. Select Apply and scan the job at the device again. If Port 1783 has been disabled on the Jetdirect card, an application error occurs and the Scan Setup Wizard closes. The only walkaround is to enable port 1783.
