How To Use Microsoft Outlook Mail Introduction Use Outlook Mail to review daily messages regarding the status of your system backup and database maintenance. You can also check for price updates, MAC price updates, GPI updates, Medi-Span updates, etc., and idigicall messages from McKesson Pharmacy Systems. If you are a new user, or you are logging into the system for the first time, you must follow the instructions below. NOTE: It is recommended that you designate a single user as the person to access mail daily. Only the user logged in when messages are received becomes the sole owner of these messages and the messages cannot be viewed by other users. Steps To Access Outlook Mail 1. Double-click the Microsoft Outlook icon from the Desktop. Skip to Step 5 unless the Internet E-mail - store window displays similar to the following: NOTE: This window may display the first time for each user. 2. Type store in the Password field. 3. Select the Save this password in your password list check box. 4. Click OK. 5. The Inbox-Microsoft Outlook window opens and retrieves all pending messages. You can now use Outlook Mail. System Messaging Information The following is a list of messages that should be reviewed on a daily basis. The messages contain important information regarding the status of your computer system. Backup Status Subject: System Backup Status To read the backup status, double-click on the BKUPSTAT.txt icon (circled above). A text file will open in Notepad. Review the file for successfully completed messages on all drives. If you have any questions, please contact an MPS Customer Support Representative. It is very important to check the backup status message. This message indicates whether a good backup is accomplished each night. The backup contains pharmacy data and other system information. Refer to the Getting Started Guide section for more information. Important: If you receive an unsuccessful backup message, Contact Pharmaserv Support at 1-800-424-0444. Database Maintenance Subject: SQL Server DB Maintenance Report S######\dbrel02t (Success) Subject: SQL Server DB Maintenance Report S######\dbrel02t (Failed) Maintenance is performed on the Pharmaserv database on a scheduled nightly basis. The maintenance provides a system check that ensures the integrity of your pharmacy data. This is very important if data recovery is required. Below is an example of a Database Maintenance message. If the word (SUCCESS) is in the subject line, the maintenance is running fine. If the word FAILED is in the subject line, it is very important that you contact Pharmaserv Support and notify a representative that your nightly database maintenance has failed. Digicall and Scheduled Task Messaging Information Scheduled Task Messages The following messages should be checked on a weekly basis to ensure that scheduled tasks are running successfully. Scheduled tasks include GPI updates, price updates, MAC price updates, and Medi-Span updates. If you have a scheduled task reporting a Failed Status, contact Pharmaserv Support for assistance. NDC Linking The GPI Category Update and NDC GPI Reference are two related NDC linking tasks. The NDC linking ensures that your generic drugs are linked to the related brand drugs. Price Updates Price updates from MPS update the AWP pricing of your items. A daily price file update can be transmitted to your system via the MPS idigicall process. MAC Price Updates The monthly MAC (Maximum Allowable Cost) updates are special pricing that are available. Medi-Span Updates Medi-Span provides imprint and warning messages via MPS. Imprint updates are currently sent from MPS via idigicall on a monthly basis. idigicall Messages These are messages that are sent on a weekly basis to the Pharmaserv system via idigicall on your pharmacy s designated day. These messages may consist of important Third Party information like changes in coverage, correspondence from MPS, and much more. If there are any questions about the informational mail messages, contact Pharmaserv Support. Frequently Asked Questions (FAQs) How do I delete messages that I have already read? There are a couple different ways you can do this. You can delete messages by highlighting the subject line and pressing the Delete key on your keyboard. You may also highlight the subject line and click the Delete button on the tool bar. I have NO mail messages at all in my Inbox or you are not receiving certain messages, for example there are no backup messages or no idigicall messages showing in mail. Another user may have already logged into mail and viewed the messages. (Remember: Only the user logged in when messages are received becomes the sole owner of these messages and the messages cannot be viewed by other users.) If this is not the reason, it is important that you contact the Pharmaserv Helpdesk for assistance. Some causes could be: The idigicall source was not able to successfully connect to your computer system, or the backup may not be executing properly. Can I use Outlook for other mail, such as Internet mail? NO. Using the Outlook program provided by MPS for uses other than MPS mail will cause problems when receiving your mail from McKesson.
