FAQ for Sage U.S. Payroll Subscriptions Sage 100/100c Why is Sage implementing a Payroll subscription? Sage is changing the way it provides you with U.S. payroll; implementing a payroll subscription with the basis that a customer s cost for payroll is based on the range of employees for whom they process payroll. Customers that pay fewer employees will pay less for payroll than customers that pay more employees. Does my Sage Business Care plan for Sage 100/100c need to be current to subscribe to the Sage 100/100c U.S. Payroll subscriptions? Yes. If you want to subscribe to Sage 100/100cU.S. Payroll must have a current Sage Business Care plan. What is included in the Payroll subscriptions? The Sage 100/100cU.S. Payroll subscriptions include the same payroll processing capabilities you are using in your current Payroll and Direct Deposit modules, and will reflect tiered pricing based on the number of paychecks processed during payroll periods. The subscription covers: U.S. Payroll module, for customers new to payroll. Direct deposit module, for customers new to payroll. U.S. Payroll support and maintenance. Tax table updates (for supported versions). Direct deposit services including Sage passing the ACH file to the bank. (New) Unlimited support call, chat, and online resources for payroll EFT or direct deposit file generation issues. Free Anytime Learning for payroll and direct deposit course offerings through Sage University. How are the Sage 100/100c U.S. Payroll subscriptions different from the Payroll and Direct Deposit modules we are using today? Effective with your upcoming renewal, customer support and maintenance for your Payroll and Direct Deposit modules (including payroll tax table updates) will no longer be included in your Sage Business Care plan. The new Sage 100/100c U.S. Payroll subscriptions will be billed separately from your Sage Business Care plan for your ERP software. Are Aatrix W-2 and 1099 e-filing services included in the Sage 100/100c U.S. Payroll subscriptions? Aatrix W-2 and 1099 e-filing services are not included in the Sage 100/100c U.S. Payroll subscriptions at this time. The cost for these services is additional. How do I pay for the Sage 100/100c U.S. Payroll subscription? You have the option to subscribe to the Sage 100/100c U.S. Payroll by making one of the following commitments: An annual commitment paid annually An annual commitment paid monthly.
The subscription is processed as an automatic debit from your credit card or as an ACH debit transaction from their bank account. Customers cannot pay for the subscription using a check. Your subscription will automatically renew on the anniversary of tier subscription date, and you will be billed for the subscription automatically without notice from Sage. Should Sage experience an issue with the method of payment selected, we will attempt to contact the customer three times for ten business days. Sage does make every effort to contact the person identified as the billing contact. If during this time this information is not able to be obtained, the following reactivation fees apply: $0, if a customer resolves the issue within three business days 1-45 days = $500 (Canada: $625) 46-90 days = $1,250 (Canada: $1,563) 91+ days =$2,500 (Canada: $3,125) When you have a change in your billing point of contact please contact Sage, at 866-996-7241, option 3. Are the Sage 100/100c Payroll subscriptions the only payroll solutions offered for Sage 100/100c? No. Sage offers other payroll solutions for Sage 100/100ccustomers: Sage 100/100c U.S. Payroll subscription This solution allows you to use the capabilities of the Sage U.S. Payroll and Direct Deposit modules and adds new direct deposit services that transmit the ACH file to the bank. You will pay separately through Aatrix for tax filing W-2s, 1099s, and end-of-year processing. Sage Payroll Services These are cloud-based self-service and full-service payroll solutions that include direct deposit and e-file capabilities and offer you the choice to be supported by a Sage payroll professional located in the U.S. HRMS (includes payroll) This is a modular human resource offering that includes payroll capabilities. How do I determine which payroll solution is best for my business? Sage 100/100c and U.S. Payroll subscription This solution is best for those who want control of performing payroll, want or need to track job cost and/or are using the Job Cost module, are looking for an integrated solution, or don't need to have access to payroll from a different location than your business. Sage Payroll Services These cloud-based solutions are best for customers that either want to process payroll on their own or to have someone process payroll for them. Those that are looking for an integrated solution, with access to payroll from different locations than their business, and often are processing payroll in more than one state. Customers processing in one or more of the heavily regulated states like NY, MA, PA, OH, and CA are also good candidates for this payroll service. HRMS (includes payroll) This is for customers who want or need HR capabilities like benefit management, compliance reporting, and performance management. They also want or need an integrated solution and the ability to provide employee self-service as part of their business' payroll experience.
On what date do Sage 100/100c customers need to subscribe to Sage U.S. Payroll? Starting May 1, 2016, existing Sage 100/100c U.S. Payroll module customers will be asked to subscribe to payroll on their Sage Business Care renewal date. On what date will customers new to payroll begin to place orders for payroll as a subscription? Effective April 18, 2016, all new orders placed for payroll will be charged based on a payroll tier and billed as a subscription separate from a customer s Sage Business Care plan for their ERP. How is the cost of the subscription determined? Subscription cost is based on a tier that represents the number of paychecks processed during pay periods for a range of employees. How is my payroll tier determined? Your payroll tier is determined by counting the number of employees that are marked Active in the U.S. Payroll module on the employee maintenance screen and identifying from these the number for whom the customer processes a paycheck during a specified pay period. Employees that are in archived, backed up, or in separate databases of the payroll software should only be considered in a tier calculation if they are active and employees for whom a paycheck will be processed. RKL esolutions or Sage will assist you in calculating your payroll tier. What is the subscription cost associated with each payroll tier? The payroll subscription cost associated with each tier for Sage 100/100c customers new to payroll and for those that own their existing Payroll module are listed below. Customers that are new to payroll are subject to a $2,500 up-front fee. The up-front fee is waived for existing Payroll customers. Can I subscribe to Sage 100/100c U.S. Payroll before their renewal date? Yes. After May 1, 2016, as an existing Payroll and Direct Deposit you may subscribe to Sage 100/100c U.S. Payroll prior to their Sage Business Care renewal by contacting Sage at 800-987-5212. You may also take preorders for customers new to Sage U.S. Payroll starting 3/18/16 by calling this same number. What happens if I don t subscribe to Sage 100/100c U.S. Payroll? Payroll will be removed from your company s Sage Business Care plan. Sage 100/100c customers that are on versions of the software that are no longer supported will need to find an alternative payroll solution by April 30, 2017. If you are on an unsupported version of the software, your Payroll module will work through this date and will still be supported. However, Sage 100 customers on unsupported versions will not have access to tax table updates (TTU). The Payroll and Direct Deposit modules for Sage 100 customers that are on software versions that are supported (2014 or higher) will continue to function as they have in the past. These customers will also continue to get TTU, IRS, and ACA updates to support their year-end filing through April 30, 2017. After April 30, 2017, you will need to obtain an alternative payroll solution. After this date, payroll TTU and software upgrades for supported versions will be limited to customers that have subscribed for payroll. What happens if I terminate my Sage 100/100c U.S. Payroll subscription or allow it to expire? If you terminate the Sage 100/100c Payroll subscription or let it expire, you will no longer have access to any new payroll tax table updates or software upgrades nor any payroll tax table updates and software upgrades previously provided during the subscription period. In cases where your credit card expires or ACH bank routing information has changed, Sage will try for three business days to reach you to update the information on file. Will I be able to file their taxes at the end of the year if I do not move to the Sage 100/100c U.S. Payroll subscription? Yes. Sage 100/100c customers that are on supported versions of the software will continue to get their TTU updates and end-of-year filing information through April 30, 2017. How do I get support on Sage 100/100c U.S. Payroll? Customers subscribed to Sage 100/100c U.S. Payroll now get unlimited access to online resources such as the Knowledgebase and Sage City. You can also chat an unlimited number of times and can make an unlimited number of calls to support with questions about payroll and direct deposit. To reach Sage 100/100c customer support, they can call 800-854-3415. What services are included in the unlimited payroll support provided as a part of the Sage 100/100c U.S. Payroll subscription? The unlimited payroll support includes unrestricted phone, web, and Knowledgebase access, as well as free Anytime Learning for payroll and direct deposit course offerings through Sage University. When will the Sage U.S. Payroll platform or framework for Sage 100/100c be updated? Sage is currently determining when the U.S. Payroll platform or framework for Sage 100/100c will be updated and will share this date as soon as it becomes generally available.
How will the Sage 100/100c U.S. Payroll subscriptions get installed? Customers will get a new payroll key that can be added on the system configuration/registration tab. This key will unlock the tier and direct deposit capabilities in the software. Customers that are on current versions of Sage the software are not required to upgrade their ERP software to install and use the Sage U.S. Payroll capabilities.
